Veritas Enterprise VaultTMEnsure digital compliance andeffective information governance.OVERVIEWAddressing regulatory compliance and data privacy is one of the most challenging problems companies face within IT today. Should youkeep or delete information? What retention policy should you apply to it? Is your retention strategy compliant with industry regulations? And is there a way to automate all of this without increasing infrastructure overhead?Planning for, managing and storing an explosion of information is another big challenge. Regardless of whether your organization isregulated or not, there is a growing need to search electronic information for other reasons, including internal audits, HR requests, compliance supervision and legal cases. Archiving to a central repository helps you to be more proactive and prepared when it comes tosearch and eDiscovery, because it’s not a matter of if, but a matter of when. (See Figure 1.)As the most widely deployed archiving solution in the market, Veritas Enterprise Vault has enabled tens of thousands of customers tobetter store, manage and discover their email, social media, messaging and electronic files. Veritas has more than 20 years’ experiencehelping customers do exactly that.FEATURES AND BENEFITS Seamless end user experience—Provide easy access to archived information anytime, anywhere via users’ existing tools(Microsoft Outlook , OneDrive, Office 365 etc.) while online, disconnected from the network or on mobile devices. Flexible .PST and .NSF migration—Automatically locate and migrate existing .PSTand .NSF files into the archive to help regain control of the information contained inthose files. Central control of .PST and .NSF files streamlines eDiscovery andreduces storage costs, backup windows and risk associated with lost or stolen files. Flexible classification—Empower your end users to move individual email intounique retention folders based on parameters set forth by your organization, oranalyze Exchange email content and metadata with Veritas Information Classifierto automatically determine the retention strategy for that message andattachment. You can also assign Classification tags to flag the message forsupervisory review within the Enterprise Vault Compliance Accelerator. These tagsare searchable and can be used as filters within Enterprise Vault and the VeritaseDiscovery Platform.Figure1. Enterprise Vault lets you archive all sources intoa single repository.

Intuitive electronic discovery with guided review—Improve the identification and review of archived content with advanced search, conversation threading and bulk marking and tagging. Relevant items are easily preserved within the archive for legal hold. Integrationwith the eDiscovery Platform expands search to non-archived content and allows for more granular review and analysis. Produce fast search results and apply instant legal holds—With granular search capabilities and legal holds you can apply inminutes, not hours, you can ensure compliance, avoid vendor lock-in and ensure that all of your content sources are included in yourcompliance strategy. Flexible deployment options—Maintain an efficient archive by using storage tiering, compression and global deduplication. Archiveon-premises or in the cloud with support for Azure, AWS and other public cloud repositories.AN ARCHIVE FOR ALL CONTENT SOURCESNatively and through integrated partners, Enterprise Vault targets sources across the data center to archive infrequently accessed, duplicate and business records into a centrally managed repository. Information is indexed, compressed and deduplicated to reduce spaceand expense. Over 80 content sources are supported, which include:Office 365 ArchivingWith Enterprise Vault, Office 365 users can: Automate retention, compliance enforcement and supervision in accordance with company and regulatory policy by customizing thesolution to meet your organization’s specific requirements. Trust our Information Governance infrastructure experts to perform regular maintenance and release feature updates with a sharp focuson meeting your legal discovery and compliance requirements.Vault Cache and Virtual VaultVault Cache and Virtual Vault are built-in features of EnterpriseVault focused on making the end user experience as seamlessas possible. Vault Cache provides users with an intuitive, fastway to access their archived email whether connected to thenetwork or not, by caching a copy of archived messages locally. With Virtual Vault, end-user search and retrieval of archived emailis performed using the native Outlook interface and search toolswith no reliance on shortcuts. Users can click, drag, search, andretrieve archived email from within Outlook just as they wouldwith live email. (See Figure 2.)Figure 2. Vault Cache and Virtual Vault

Locate and Ingest .PST and .NSF filesEmail archiving can completely eliminate the need for .PST and .NSF files, resulting in more productive users, reduced potential for dataloss and improved backup and restore processes. Administrators can locate and archive files that are already created from their originallocations. Administrators may optionally delete original .PST files once they are in the archive. During the archive process, these messagesand attachments are indexed, retention policies are applied and end users maintain access to their messages via Virtual Vault (for Exchangecustomers) and standard email clients such as Outlook Web Access (OWA) and Domino Web Access (DWA). Instead of manually having tosearch the network, make copies of files or make end users volunteer their personal archives, IT and legal teams can easily search across allarchived content for discovery purposes.Veritas Information ClassifierVeritas Information Classifier is built into Enterprise Vault and includesmore than 700 preconfigured data classification patterns and morethan 110 policies to help identify common data privacy and regulatorycompliance principles. Veritas regularly adds to and updates thesepatterns and policies to support new and changing complianceregulations. (See Figure 3.)Classification within Enterprise Vault enables administrators to:Figure 3. The Enterprise Vault archiving workflow withmetadata indexing and Information Classifieer Tag content for easier search and retrieval. Discard content that doesn’t need to be archived. Set retention times. Determine storage partitions such as WORM, non-WORM and fast progression to cloud secondary storage. Leverage classification tags for discovery searches to find relevant content. Facilitate discovery of personal information to facilitate “Right to be Forgotten” use cases for GDPR, CCPA and otherdata privacy regulations. Determine which content should be included in Supervision review to meet SEC 17a-4 and MiFID II regulations. U.S. Federal agencies can take advantage of Capstone-style records management that leverages classification to determine permanentor temporary records.File System ArchivingFile servers can quickly become a dumping ground where users store theirbusiness and sometimes personal files.Remove non-business, infrequentlyaccessed and duplicate content from file servers by archiving based on filetype, age and other criteria. (See Figure 4.) Doing so lets you reclaim space onservers while expediting consolidation projects and helping postpone futurestorage purchases. To support information governance, you can apply retentionpolicies for as long as necessary for end user access and legal needs.Figure 4. Enterprise Vault features a seamless file systemarchiving user experience.

Integration with Veritas NetBackup and Veritas Backup Exec A backup is not an archive. They are two separate functions: Backup is for recovery and archiving is for storage optimization and eDiscovery.Deploying Enterprise Vault can improve backup and recovery service-level agreements (SLAs) by removing static and duplicate data fromthe daily, weekly and monthly backup processes. NetBackup, Backup Exec and Enterprise Vault integration allows you to define automatic,policy-based migration strategies that move archived data from disks managed by Enterprise Vault to tape or other media managed byNetBackup or Backup Exec, helping you leverage your backup infrastructure to manage archived data and reduce your long-term total costof ownership (TCO). You can use both NetBackup and Backup Exec to back up the critical components of Enterprise Vault.Improve Search and eDiscoveryAny IT administrator or legal counsel who has responded to a lawsuit, internal investigation or compliance audit understands the challengesof information governance, meeting court-sanctioned deadlines and expensive third-party review. The entire process needs to bestreamlined and made easier to defensibly and cost-effectively respond to eDiscovery requests. The answer is an intelligent informationgovernance solution with a purpose-built eDiscovery platform.Enterprise Vault provides a single repository of information archived across multiple content sources. This setup ensures relevantinformation is correctly preserved and made available for eDiscovery cases. Archived information is indexed and searchable, allowinginvestigators to conduct an early case assessment with Enterprise Vault Discovery Accelerator or a more robust review and analysis withthe eDiscovery Platform.Compliance Supervision and ReviewEnterprise Vault Compliance Accelerator allows companies toperform cost-effective supervisory review of e-mail, instantmessaging, social media all other electronic communicationsto help ensure compliance with corporate policy and regulatorybodies. Providing the framework to select and sample target email, manage its review by appropriate reviewers and record the processfor audit purposes, Compliance Accelerator helps decrease thecost and effort of email supervision, review and compliance.Compliance Accelerator can further automate the process whenused in conjunction with Information Classifier by flagging taggedOffice 365 messages for review. (See Figure 6.)Lower Total Cost of OperationsFigure 6. Get intelligent search and review withEnterprise Vault’s Compliance Accelerator.Enterprise Vault archiving optimizes your primary storage to savespace and reduce expenses. When information is archived, it is indexed, compressed and deduplicated to reduce the footprint and total costof ownership of the archive. When a file has already been archived once, Enterprise Vault knows not to store it twice. And even though it isdeduplicated in the archive, users maintain access to it until the retention period has expired.Enterprise Vault is storage-agnostic, meaning it does not rely on any specific type of storage device. You can store data on any combinationof supported storage devices, allowing you to tier data and move it over time to ensure that as data ages it is stored on the most suitablestorage medium and that archived data has the smallest possible storage footprint. Enterprise Vault can also archive to storage devicesthat have native deduplication functionality. In these cases, customers turn off Enterprise Vault deduplication and instead leverage theappliance deduplication.Enterprise Vault is also VMware Ready certified, allowing you to benefit from the increased agility of running in a virtual environment whilemaintaining performance similar to running on a physical server. How to Leverage the CloudVeritas provides you with the flexibility to deploy best-of-breed archiving solutions on-premises, in a hybrid environment or in the cloud.Regardless of your deployment model, Veritas can provide the solution that best meets the immediate and long-term informationmanagement goals of your organization.
