Batch File Upload Quick ReferenceTraining versus ProductionDuring the initial stage of NIBRS certification and testing, you should be logged into the NIBRSTraining database rather than Production.The link to the Training database is http://nibrs.waspc.org/WIBRS Train/login.aspAfter certification, the link to the Production database is http://nibrs.waspc.org/WIBRS/Links to both Training and Production databases as well as manuals and othertraining aids are located at http://www.waspc.org/index.php?d 1671

Step 1: Create Your Data FileCreate your data file from your records management system (RMS). Be sure the file is named inthis format:WA0000000.0000 (Your agency’s nine-digit ORI number).(two-digit month)(two-digit year)This file should be saved on your computer in a local file so you can browse to find it.Log into the WASPC NIBRS Repository database with the user credentials you have beenprovided by WASPC.Log into the StateNIBRS Repositorywith your assignedLogin Name,Password, and ORI.2

Step 2: Upload Your Data FileOn the left-hand side ofthe screen, the MenuItems list is located. Select“Batch File Upload” on theMenu list.3

Click “Browse” tolocate the data filesaved on your localcomputer and click onthe file name to chooseand insert the data file.Then click “Upload”.You will be promptedto select the monthand year of the datafile - then click“Process File”.When the messageappears, “Your filehas been uploaded”,click “OK”.Your file will process through the error checking in the WASPC Repository. This should takeapproximately five to ten minutes for smaller files and longer for larger files.The next step is to check to see if there are any errors.4

Step 3: Error CheckingSelect “Batch Error Report” to see ifthere are any errors from theBatch File Upload.NOTE: These incidents will not go to theFBI for processing. You will need to fixthe errors and resubmit the incident withnext month’s Batch File Upload.Select the Batch File you want toview - it will list batch files anddates processed.Click “Select”.If you have any questions regarding creation your RMS data file, please contact your RMS vendor.If you have questions regarding NIBRS or the State Repository, please contact the WASPCCriminal Justice Information Support (CJIS) Department at cjis@waspc.org or (360) 486-2380.5
