Using Non-Academic RequirementsGeorgia Enhancements 8.24Information Technology ServicesUniversity System of GeorgiaUsing the NSLCRI. Access the Process Submission Control Form (GJAPCTL)IntroductionUpdate time stamps for NSLCR reporting using the Time Status CalculationUpdate process (ZFRTMST). The process also calculates the number ofhours enrolled.Determine the Withdrawn Enrollment Status and calculate hours toexclude the withdrawn courses on the Clearinghouse Extract Report(ZFRNSLC).Purpose ofEnhancementsThe Time Status Calculation Update Process (SFRTMST) has been cloned asZFRTMST, which is used to update time stamps for both NSLC and NSLDSreporting. The Clearinghouse Extract Process (SFRNSLC) has been cloned asZFRNSLC. The Student Status Confirmation Report (SFRSSCR) has beencloned as ZFRSSCR.The cloned reports account for requirements for the Georgia HOPEenhancement, the Satisfactory Academic Progress enhancement, andAcademic Data Warehouse reporting. The Clearinghouse Extract Report(ZFRNSLC) uses an alternative method from Banner baseline fordetermining Withdrawn Enrollment Status(es) and calculating hours sothat withdrawn courses are not included.ZFRTMST, ZFRNSLC, and ZFRSSCR use the values entered in the WithdrawnEnrollment Status Code(s) to determine a Withdrawn status instead ofchecking the Headcount flag associated with a student’s Enrollment Statuscode.WarningNote: When using ZFRTMST, ZFRNSLC, and ZFRSSCR, disable the DynamicCalculation of Time Status and Update/Insert of Time Status Records bysetting the ‘Calc Time Status’ indicator on the Term Control form(SOATERM) to ‘N.’ Otherwise, when Time Status Calculations occur inSFAREGS, SFAMASS, and VSATREG, set the ‘Calc Time Status’ indicator onSOATERM to ‘Y.’Georgia Enhancements 8.24 User DocumentationNon-Academic RequirementsPage 8July 2013

Update Time StampsUpdate timestamps forNSLCR(ZFRTMST)The Time Status Calculation Update process (ZFRTMST) updates the timestamps for both NSLCR and NSLDS reporting. First ZFRTMST calculateshours enrolled by adding all hours, then subtracts hours associated withcourses whose Course Status Code(s) match the Withdrawn CourseStatus Code(s) parameter.Georgia Enhancements 8.24 User DocumentationNon-Academic RequirementsPage 9July 2013

Using Non-Academic RequirementsGeorgia Enhancements 8.24Information Technology ServicesUniversity System of GeorgiaIII. Verify NSLCR Report1. Generate theClearinghouseExtract Report(ZFRNSLC)ZFRNSLC corrects the handling of students not enrolled in the current termby checking for a withdrawn status for these students in the last enrolledterm. For students who withdrew in the last term attended, the errormessages that they have a missing or invalid time status are not generated. The Clearinghouse Extract Report Process (ZFRNSLC) uses SPRIDEN ID forSSN if SPBPERS SSN is not available and if SPRIDEN ID is a valid SSN. Thereport checks SFRSTCR to ensure that only students who are actuallyenrolled and registered are selected.New optional parameters have been added to SFRNSLC to allow moreflexibility in reporting. Users can report the start and end dates ofenrollment by student for a term. Courses must have the Count inEnrollment indicator checked on STVRSTS for the course registration statuscode, and the student cannot be withdrawn. Optionally, users can reportinformation for a student for majors 1 and 2 and the associatedCIP codes, email address, gender, race, class level, Banner ID, and SSN.Georgia Enhancements 8.24 User DocumentationNon-Academic RequirementsPage 11July 2013

Using Non-Academic RequirementsGeorgia Enhancements 8.24Information Technology ServicesUniversity System of GeorgiaStudent Schedule Form (ZSASECT)DescriptionThe Student Schedule form (ZSASECT) is a clone of Banner baselineSchedule form (SSASECT) that allows the Instructional Method field tobe updated after registration has occurred for the course section. Thefield has been used by some institutions to identify sections to beextracted through the ICGORLDI process. Previously, the InstructionalMethod field prevented any updates when registration existed for thesection.DeliveryTechnologyThe Delivery Technology tab facilitates the entry of distance educationtechnology information. The Delivery Technology tab is essentially aclone of the Section Contracts portion of the Contract and BlockSchedule Information tab from the Schedule Detail form (SSADETL).The Instructional Method field can be cleared and blank. The Delivery isalso accessible via the Options menu for ZSASECT. Some form fieldnames have been changed, but the field validations will remain thesame and the data will be stored in the same SSRSCCD table fields asare currently used by SSADETL. The information entered on ZSASECTwill backfill the SSADETL fields.Georgia Enhancements 8.24 User DocumentationNon-Academic RequirementsPage 14July 2013

Using Non-Academic RequirementsGeorgia Enhancements 8.24Information Technology ServicesUniversity System of GeorgiaAppendix B: Process No Longer SupportedAppendix B includes the Regents’ Test Score Load process (ZHRRTLD), for which ITS hasdiscontinued support.Regents’ Test Load Process FlowDescription of theRegents’ Test LoadProcessThe Regents’ Test Score Load process (ZHRRTLD) loads Regents’ Testscores for the reading and essay tests into the SORTEST table. For eachrecord in the Regents’ test scores file, the student ID is searchedagainst the tables, SPRIDEN and SPBPERS, and the test score codes arevalidated against the Test Code Validation form (STVTESC).Effective Fall 2008, two new fields will be included in the Regents’ Testdata load file. These fields will indicate “low failure” for the Readingand Essay portions of the Regents’ Test. The existing Regents’ TestScore Load process (ZHRRTLD) and ZHRTRLD table have been updatedto load the new fields into the Accommodation field on the Test ScoreInformation form (SOATEST).“Since the Regents' Skills Requirement addresses the minimum levelsof collegiate reading and writing skill, the core curriculum will developthat level in the great majority of students. However, there are somecases in which basic skills may be at such a low level that the studentneeds more help than offered through the core curriculum. So, inaddition to the pass-fail status on the Regents' Test, indicators of "lowfailure" will be identified for institutional use. These indicate whenstudents' performance is not close to the cutoff point, which in turnwill indicate that those students need early intervention in order toaugment the core curriculum. The indicators (one for reading and onefor writing) are included on students’ data records which are returnedto institutions after each test administration (a “1” in column 54 of theRegents’ Test data record indicates a low-failure for reading and a “1”in column 55 of the Regents’ Test data record indicates a low-failure foressay).”Georgia Enhancements 8.24 User DocumentationNon-Academic RequirementsPage B-1July 2013
