2022 Houston BOMA ExpoOfficial Regulations and Conditions of Contract1.This Houston BOMA 2021 revised edition of Guidelinesfor Display Rules and Regulations is intended to be usedas a resource for exhibitors and Show Management increating consistent and fair exhibiting standards for theorganization’s events. The text has been updated withthe intent of affording exhibitors a maximum return onthe exhibit investments. Compliance with fire, safety,Americans with Disabilities Act (ADA), and othergovernment requirements have also been addressed.It is Houston BOMA’s goal that by establishing theseRegulations and Conditions of Contract, each exhibitorshall be provided with all the information necessary toproperly design and build exhibits, as well as plan theirbooth’s layout and content. Information regarding theprofessional standards of decorum expected of exhibitorscan be found below. Our goal is to assure all exhibitors,regardless of exhibit size or location, an environmentconducive to successful interaction with their audiences.2.Event. The event will be held at NRG Center, One NRGPark. Booth set-up is on May 18, 2022 from 3:00 – 8:00 PM.Booth break- down is on May 19, 2022, from 6:00 – 8:00 PM.3.Contract for Space. By submitting an application for exhibitspace, the applicant releases the Houston BuildingOwners and Managers Association and its agents fromany and all liabilities to applicant, its agent, licensees, oremployees that may arise or be asserted as a result ofsubmission of an application or of participation in thisexhibit. Houston BOMA determines the eligibility of anycompany or product for exhibit. Acceptance of applicationdoes not imply endorsement by Houston BOMA of theapplicant’s products, nor does rejection imply lack ofmerit of product or manufacturer.This application for space (when endorsed by HoustonBOMA with notice of space assignment) constitutes acontract for the right to use the space. Rental for space ispayable with this application. No refund may be made forspace that is not used or for space that is unused duringpart of the exhibit. Houston BOMA may rent or use itwithout obligation or refund.4.Booths. Booths are 10-feet wide by 10-feet deep, unlessotherwise indicated on floor plan. Booths of uniform designflame-proofed drapes with tubular aluminum framing will besupplied by Freeman. Background height is 8 feet, dividerheight is 36 inches. Electrical hook-ups are not included andmust be purchased from Freeman. Carpet is NOT provided.5.Security. We will provide security from 3:00 PM on May18 until the end of the BOMA Expo on May 19. It shouldbe made clear, however, that although Houston BOMA isproviding this service, we are not responsible for any lossof material by an exhibitor. We urge you to take everyprecaution to prevent loss or damage. Obtain properinsurance coverage for your goods from the time yourshipment leaves your office, during move in, on showdays, during move out, and until all materials have beenreturned to their point of origin.6.Attendee Information. It is the exhibitor’s responsibility tocollect contact information from Expo attendees. It isHouston BOMA policy that we do not release memberemail or telephone contact information.7.Displays. Exhibits may not project beyond the spaceallotted or interfere with traffic to exhibits of others.Exhibit spaces exceeding four booths located adjacent toone another or across the aisle from one another may notexceed the 8 feet height limitation that has beenprescribed for other areas unless the plans for suchinstallation have been approved in writing by HoustonBOMA at least 60 days prior to the show.Background fixtures and showcases up to 8 feet in heightmay be installed in the exhibit space to a distance of 4feet from the back wall of the space, but may not exceeda height of 36 inches in the remaining area of the booth,and must be designed and constructed so as not todetract from the appearance of the adjoining booths orthe exhibit floor.The space provided will be as shown on the floor planinsofar as possible, but Houston BOMA reserves the rightto make changes at any time in the location, size anddisplay limits of any booth if this is in the best overallinterest of the exhibit.8 . Use of Exhibitor Space. No exhibitor may sublet, assign orapportion any part of the space allotted, or represent,advertise or distribute literature for the product orservice for any other firm or individual except asapproved in writing by Houston BOMA. The purposes of3

the exhibit are to inform and educate Expo attendeesregarding services and uses of the products. Sales ororders may not be solicited or taken.9.Restrictions. Houston BOMA reserves the right to restrictexhibits which, because of noise, odor, method ofoperation, or any other reason, become objectionable orotherwise detract from or are out of keeping with thecharacter of the Houston BOMA Expo 2020. It may forbidinstallation or request removal or discontinuance of anyexhibit or promotion which, if continued, departssubstantially from the design and description givenadvance approval. In the event of such restrictions orevictions, Houston BOMA is not liable for any refund ofrental or other expenses.Advertising, displays, demonstrations, conferences, andentertainment, in the interest of business are notpermitted except by firms that have rented space toexhibit. Music is not permitted.10. Conduct. Exhibitors operating sound motion pictureequipment, record players, loud-speakers or any othernoise-creating devices shall do so only at a level which willnot interfere with other exhibitors or add unduly togeneral acoustic inconvenience or Houston BOMA mayrequire all demonstrations, interviews and other exhibitactivities be halted so as not to infringe on the rights ofother exhibitors or of fend visitors to the exhibit.No undignified manner of attracting attention will bepermitted. All booth attendants shall be dressed modestlyand in good business taste.11. Civility. Houston BOMA and BOMA Expo are environmentsin which all people are expected to behave in a mannerthat engenders mutual respect, treating each other withcourtesy and civility regardless of position or status withinthe company. Rude, disrespectful behavior is unwelcomeand will not be tolerated. Lack of respectful and civilconduct by exhibitors will result in a formal report to theHouston BOMA Board of Directors and the possibility ofbeing excluded from future Expos.12. Souvenirs and Samples. Distribution of souvenirs andsamples in a dignified fashion is permitted provided thereis no interference with other exhibits, and the souvenirsor samples pertain to or contribute to the exhibits.Houston BOMA may withhold or withdraw permission todistribute souvenirs, advertising or other materials itconsiders objectionable.13. Fire Regulations. Booth decorations and constructionmust conform to the fire regulations of the City ofHouston and NRG Center. Combustible or explosivematerials and substances may not be used. Cloth andother flammable materials must be flame-proofed.14. Demonstrations. Demonstrations are defined as the partof the exhibit program involving the interaction of exhibitpersonnel and their audience through corporatepresentations, product demonstrations, or sampling.Demonstration areas must be organized within theexhibitor’s space and may not interfere with any trafficaisle. Sampling or demonstration tables must be placed aminimum of 2 ft. from the aisle line. Should spectators orsamplers interfere with the normal traffic flow in the aisleor overflow into neighboring exhibits, Expo managementwill request that the presentation or sampling beeliminated.The aisles are the property of the entire show and eachexhibitor has the responsibility to assure proper flow oftraffic through the entire show. When large crowdsgather to watch a demonstration or for sampling andinterfere with the flow of traffic down aisles or createexcessive crowds in neighboring booths, it is aninfringement on the rights of other exhibitors. Aisles mustnot be obstructed at any time.Exhibitors must police their own booths to be sure thenoise levels from demonstrations or sound systems arekept to a minimum and do not interfere with others.Remember the use of sound systems or equipmentproducing sound is an exception to the rule, not a right.Expo management reserves the right to determine atwhat point sound constitutes interference with othersand must be discontinued.All product demonstrations involving any moving andpotentially hazardous machines, displays or parts, musthave hazard barriers to prevent accidental injury tospectators. Demonstrations must always be supervised byexhibitor personnel who can stop the demonstration inthe event of an emergency and all demonstrationsinvolving potentially hazardous by-products such as dust,fumes, sparks or flames, must be approved in writing byexposition management 60 days prior to the show.15. Care of Premises. No part of an exhibit and no signs orother materials may be pasted, nailed, or otherwise4

affixed to walls, doors, or other surfaces in a way thatmight mar or deface the venue or booth equipment andfurnishings. Damage from failure to observe this notice ispayable by the Exhibitor.16. Exhibitor’s Representative. A representative of theExhibitor must be in attendance throughout the period ofthe exhibition. The Exhibitor is to notify Houston BOMA inadvance who their official representative will be.17. Exhibitor Nametags. The official representatives will uponregistering, receive two complimentary name badges per10x10 booth, four complimentary name badges per 10x20silver sponsorship booth, six complimentary name badgesper 20x20 gold sponsorship booth, or ten complimentaryname badges per 30x20 platinum sponsorship booth willbe provided.Additional nametags will be provided at 25 each if paidwith the application or 35 each if requested any timeafter submission of application or onsite.All representatives of exhibiting companies must wearBOMA-provided identification badges while on the exhibitfloor and must be employed by the exhibiting membercompany. No person without a name badge will beallowed on the showroom floor on the day of the Expo.No exceptions.18. Exhibit Admission Hours. There will be no set up on theday of the Expo. Following exhibitor move in on May 18,exhibitors will only be allowed on the exhibit floor at12:00 PM on May 19, one hour prior to the opening of theExpo. No rolling carts or dollies will be allowed on theshow floor the day of the show.19. Removal Exhibit Hours. The exhibit hall will close promptlyat 6:00 PM on Thursday, May 19. Exhibits are not to bedismantled or removed, in whole or in part, prior to theofficial closing at 6:00 PM. Doing so will result in not beinginvited back to participate in future BOMA Expos.Beginning at this time, empty exhibitor boxes/crates willbe returned. All break down must be complete by 8:00PM on May 19.20. Americans with Disabilities Act (ADA). All exhibitingcompanies are required to be in compliance with theAmericans with Disabilities Act (ADA), and are encouragedto be sensitive, and as reasonably accommodating aspossible, to attendees with disabilities. Informationregarding ADA compliance is available from the U.S.Department of Justice ADA Information Line, (800) 5140301, and from the ADA website atwww.usdoj.gov/crt/ada/adahom1.htm.21. Structural Integrity. All exhibit displays should bedesigned and erected in a manner that will withstandnormal contact or vibration caused by neighboringexhibitors, hall laborers, or installation/dismantlingequipment, such as forklifts. Displays should also be ableto withstand moderate wind effects that may occur in theexhibit hall when freight doors are open.22. Vehicles. Any use of a vehicle within the exhibit spacemust be pre-approved by Show Management at least 90days prior to show set-up.23. Flammable and Toxic Materials. All materials used indisplay construction or decorating should be made of fireretardant materials and be certified as flame retardant.Samples should also be available for testing. Materialsthat cannot be treated to meet the requirements may notbe used. A flame-proofing certificate should be availablefor inspection. Exhibitors should be aware of localregulations regarding fire/safety and environment whichmust be adhered to.Exhibitors should dispose of any waste products theygenerate during the exhibition in accordance withguidelines established by the Environmental ProtectionAgency and the facility.24. Lighting. Exhibitors should adhere to the followingguidelines when determining booth lighting:No lighting, fixtures, lighting trusses, or overhead lightingare allowed outside the boundaries of the exhibit space.Lighting, including gobos, should be directed to the innerconfines of the booth space. Lighting should not projectonto other exhibits or exhibitions aisles.Lighting which is potentially harmful, such as lasers orultraviolet lighting, should comply with facility rules andbe approved in writing by Show Management.Lighting that spins, rotates, pulsates, and otherspecialized lighting effects should be in good taste andnot interfere with neighboring exhibitors or otherwisedetract from the general atmosphere of the event.25. Balloons. Balloons of any type are not allowed on theshow floor.5

26. Storage. Fire regulations prohibit storing product,literature, empty packing containers, or packing materialsbehind back drapes or under draped tables.27. Towers and Canopies. A tower is a free-standing exhibitcomponent separate from the main exhibit fixture. Theheight restriction is the same as that which applies to theappropriate exhibit space configuration being used.A canopy (frame) can be either decorative or functional.Canopies for In-line and End-cap booths should complywith Line-of-Sight requirements. Canopy supports are tobe no wider than three inches 3in (.08m).28. Ceilings. Ceilings are not permitted for Inline-line and Endcap booths.assumes no liability for loss or damage, through anycause, of goods, exhibits or other materials owned,rented, or leased by the exhibitor. The Exhibitor shallindemnify against and hold harmless from anycomplaints, suits, or liabilities resulting from negligence ofthe Exhibitor in connection with the Exhibitor’s use ofexhibit space.34. Interpretation and Enforcement. These regulationsbecome a part of the contract between the Exhibitor andHouston Building Owners and Managers Association. Allmatters in question not covered by these regulations aresubject to the decision of Houston BOMA, and alldecisions so made shall be binding on all par ties affectedby them as by the original regulations. Any exhibitor thatdoes not adhere to contract will risk being restricted fromexhibiting in future Houston BOMA Expos.29. Hanging Signs and Graphics. Hanging signs are allowed for20 x 20 booths or larger. 10 x 10 booths do not qualify forhanging signs. Height limitation from the floor to thebottom of the sign is 16ft (4.87m) and must be directlyover contracted space only.30. Multi-Story Exhibit. A Multi-story Exhibit is a booth wherethe display fixture includes two or more levels. Multistoried Exhibits require prior approval by the exhibitfacility, relevant local government agency, as well as showmanagement. The city building department needs to issuea building permit based on an application and drawingsprepared and submitted by a licensed architect orengineer. Exhibitors should obtain local buildingregulations. All other NRG Arena rules and regulationsmust be followed.31. Smoke Detectors. All areas that are enclosed by solid wallsand ceilings must be provided with approved smokedetectors which are audible outside the area of the booth.A fire watch may also be required.32. During the Expo. All main and cross aisles, corridors, exits,stair ways, etc. must be maintained at the required widthat all times when the exhibit is open. All fire hose cabinetsand emergency exits (including those inside an exhibitspace) must be visible and accessible at all times. Noobstructions (chairs, tables, displays, easels, etc.) will beallowed to protrude into the aisles.33. Liability and Insurance. Houston BOMA will employreputable guards and will take reasonable precautions tosafeguard Exhibitor’s property; however, Houston BOMA6
