IntroductionThroughout the spectrum of maintenance, facilities and asset managementsoftware, it can be difficult finding a system that offers the specific setof features you need to effectively operate your maintenance crewsor buildings. It also doesn’t help that vendors use a wide range ofinterchangeable terms to describe their features. To help, we’ve compiled feature information from 30 leading vendorsthat offer maintenance and facilities management products, using product brochures, data sheets, instructional manuals, websites, knowledge bases and support communities. The application areas included in this guide make up what is known asan integrated workplace management system (IWMS). Not every systemincluded here is an IWMS, but the functionality available in each type—CMMS, CAFM or EAM systems—fall within the IWMS functional area. Each table in this report is based on a common application of thesesystems, and features the vendors offering the most comprehensivefunctionality in that area. However, keep in mind: If a vendor in the table doesn’t have a check for a certainfunction, it’s still possible to have that feature custom-builtfor your needs. Many vendors in this space are able to customizeand add functionality for any client. Tables generally indicate strengths as opposed to gaps inapplication coverage. Vendors typically don’t list every singlefeature available in their system online or in documents, but insteadchoose to highlight the areas where their system offers the greatestbenefits.Note: You can click on the names of products in tables to view descriptionsand user reviews.Maintenance and Facilities Management4

Computerized MaintenanceManagement Systems (CMMS)Considered the core of any facilities system, maintenance managementfunctionality is what enables teams to create and assign work orders, planpreventive maintenance tasks based on time or condition, manage spareparts and track the cost of upkeep. These systems have helped companies reduce maintenance costs andextend the life of assets for decades, so the common features are nearlyuniversal across products. However, a few specific applications—preventive maintenance, asset andinventory management—offer more diversity in functionality.Preventative MaintenancePreventive maintenance is the act of performing maintenance tasks ona regular schedule to minimize the likelihood of a failure. With historicalmaintenance data, teams can determine the optimal time to schedulework so that assets are productive longer.Bigfoot CMMSDirect LineFacilitiesManagementeXpressFacility OneHippo CMMSOfficeSpacePreventative Maintenance FeaturesWork Orders Triggers & Alerts Scheduling Meter Feeds Materials & Parts Labor Tracking Reporting Maintenance and Facilities Management 5

Computerized Maintenance Management Systems (CMMS)Certain aspects of preventive maintenance technology are especiallyuseful for specific types of industries or assets: Meter feeds enable condition-based maintenance: Temperature, vibration, electrical or other condition data can be fed directly intoa CMMS, and the system will automatically trigger a maintenancetask when conditions fall outside pre-set thresholds. This capability is useful for companies with machines that are expensiveto fix after they’ve failed, or assets that are critical to operations. Materials and parts refers to the ability of a system to providea list of materials or spare parts required for a particular job onthe work order. Many products will sync with inventory data toensure workers know what they need to complete a task and thatstock counts are accurate.Linking materials and parts can be particularly useful for field techniciansand other workers responsible for assets or buildings spread across alarge area. These types of workers often carry a mobile device to managetheir tasks, and including the appropriate materials and parts in a workorder adds convenience.Maintenance and Facilities Management6

This helps managers determine the most effectiveway to repair equipment so that each task is uniform and maximizes assetuptime. Most systems structure assets in this way.Alternatively, not every system offers equipment reservation capabilities, which lets employees check-out tools or other assets for specific jobs. This is less important for building managers, and more important if youmanage a team of field technicians.QR and Barcoding lets users scan a code with a mobile device, savingsignificant time when retrieving details about an asset or checking outa tool. This makes the feature a must-have for any maintenance team.Maintenance and Facilities Management7

Computerized Maintenance Management Systems (CMMS)Inventory ManagementAssets need to be fixed with spare parts and materials, but it costs moneyto store them; That’s where inventory management comes into play.Balanced inventory management is critical to minimizing the costs of itemsand spare parts you must keep in stock to complete maintenance tasks. Users can complete purchase orders manually,or set-up reorder alerts to notify users and/or automatically generateorders when physical inventory counts reach a specific number.Supplier management offers a central location for users to track thecontact information and rates of third parties that provide parts, materialsor services for your business. Like other data, users can generate reportsto determine your best options for price, availability and speed of delivery.Maintenance and Facilities Management8

Facilities (CAFM) and WorkplaceManagement (IWMS)An IWMS, as originally defined by Gartner, contains: Maintenance management Space and facilities management Capital project management Real estate management Energy managementA CAFM can contain many of these core IWMS applications. We’ve alreadycovered maintenance management, and you’ll be able to find commonenergy management functionality in nearly every system that offers it.This may include: importing utility data, submetering, benchmarking, emissions tracking and reporting.Beyond those, we have space, capital project and real estate management. You’ll see more variety in these offerings as we cover the common featuresbelow.Space ManagementSpace management is a functional area that is most often used by facilitiesmanagers to test out various way to test arrangements of furniture andequipment, schedule rooms for meetings or events and determine thecost of space usage based on departments.Maintenance and Facilities Management9

Facilities (CAFM) and Workplace Management (IWMS) Room Scheduling Move Management Chargeback BIM/CAD Integration Office SpaceIBM TRIRIGA iOfficeFM: InteractSpace PlanningInfor EAMConceptEvolutionSpace Management Features Facilities managers responsible for an entire office complex, educationalcampus or multiple government buildings take full advantage of thesefeatures: Move management helps companies efficiently transition fromone area of a building to another, or to another building altogether.Managers can view workflows for individual tasks and employeescan submit requests so that the move is quick and comprehensive. Chargeback refers to the ability to divide occupancy costs amongdepartments or individual companies within a managed officespace. This improves the accuracy of expenses related to facilitiesand can help forecast the cost of additional spaces. CAD drawing integration gives managers a 2D or 3D floor planview of the entire facility to better understand your space usageand move management. Building information modeling (BIM) goes beyond CAD drawingsto offer a shared repository of data for the entire life of the buildingfor any stakeholders to access. The BIM model could includehistorical information, owners, technical and geographical detailsand more information used to make long term decisions.Maintenance and Facilities Management10

Facilities (CAFM) and Workplace Management (IWMS)Capital Project ManagementFunctionality to assist with capital projects tends to be reserved forcompanies with a large portfolio of facilities that are performing newconstruction, renovations or improvements. These projects need to be tracked closely to stay within budget, time andresource constraints, so this application serves as a centralized locationfor any stakeholders—construction and facility managers, engineers, contractors, suppliers, etc.—to find information or documents regardingthe project. As this feature is generaly aimed at larger companies, fewer systems offerits full breadth of capabilities:AccruentFM: InteractIBM TRIRIGAInfor EAMRosmiman IWMSTrackplanCapital Project Management FeaturesBudget & CostTracking Project Tracking DocumentManagementReporting These products are more facilities-focused or full IWMS suites, so whilesome may not offer reporting in the core system, the vendors will havemodules that can integrate to handle analysis of data and provide reportsfor stakeholders.Maintenance and Facilities Management11

Facilities (CAFM) and Workplace Management (IWMS)Real Estate ManagementWhile capital program management helps companies complete newprojects, real estate management is just that: It helps manage an entireportfolio of buildings.Companies with so many assets need a centralized system to manageexpenses and revenues, total cost of ownership and important KPIsrelated to real estate. This may include storing leases, tracking importantlease dates like expirations and maintaining compliance with financialaccounting standards.AccruentARCHIBUSFM: InteractIBM TRIRIGANetFacilitiesRosmiman IWMSReal Estate Management FeaturesLease Administration Lease Accounting FASB Compliant Again, fewer systems will offer this functionality along with all the othersin this guide, unless denoted as a IWMS.The U.S. Financial Accounting Standards Board (FASB) updated its standardsin 2016 requiring public companies to report more information aboutlease expenses on balance and income statements by 2019.Many vendors have already implemented tweaks to their software to helpusers with this change in regulations in various ways, like automating howlease expenses are classified, for example. This guide was designed to assist buyers in their research, but we can do moreto make this process simpler. MethodologyTo collect the data in this report, we surveyed publicly availabledocumentation of CMMS, CAFM, EAM and IWMS software. We examinedproduct brochures, white papers, data sheets, websites, instructionalmanuals, knowledge bases and support forums. All of the information we examined for the above tables is first-party: Ifthe vendor doesn’t say it offers a given feature, we didn’t check it in thetable, even in cases where literature from consulting firms indicates thatthe vendor does offer it. We considered publications by vendors and theirchannel partners as the only authoritative source of information aboutfunctionality coverage. Results are representative of our vendor sample, not necessarilymaintenance and facilities management software as a whole.
