These will be scheduledafter a few “Introduction to SharePoint Online” trainings are completed.There are four levels of training: SharePoint Online 101 – Introduction to SharePoint Online SharePoint Online 102 – Document Management(Prerequisite SharePoint Online 101) SharePoint Online 201 ‐ Site Owner Training(Prerequisites SharePoint Online 101 and 102 and approved SharePoint site request) SharePoint Online 202 – Advanced Site Owner Training(Prerequisites SharePoint Online 101 and 102 and 201)1
12/13/2018What is SharePoint Online? A cloud‐based service that is apart of the Microsoft Office365 suite of products. Offers a secure place to store,organize, share and accessinformation from any locationor device.Why Use SharePoint Online? Offers a secure place to store,organize, share and accessinformation from any location ordevice that has a web browser andinternet access. Save your division money by offeringcloud based storage at a lower costthan dedicated server storage. Offers extra features to safeguardyour data such as hourly backups,version control and check‐in/check‐out functionality.2
12/13/2018Logging into SharePoint Browse to https://portal.office.com or https://ncadmin.nc.gov/intranet ,then enter your DOA email address into the required field, then click on the next button. On the next screen, enter your NCID account password when prompted and then click on Sign in.Reconsider Using Internet Explorer 11 (IE 11) Internet Explorer 11 was released in 2013. It'snow considered outdated and causes userinstability when using SharePoint Online orother modern Office 365 products. Chrome, Firefox or current versions of MicrosoftEdge are the preferred browsers until furthernotice. Chrome is available in the Windows SystemCenter for user installation. Firefox must beinstalled by the DIT Service Desk. If you haveissues installing these browsers, then contactthe DIT Service Desk for further assistance.3
12/13/20184 Hour Timeout DIT has implemented a securitypolicy that will prompt you to eithercontinue or log out of yourSharePoint account after 4 hours ofinactivity. Why? SharePoint is a collaborativetool that can be accessed from anycomputer including public usecomputers, therefore it couldpotentially be left logged into apublic computer. Always log off or lock a computerlogged into SharePoint before leavingthe computer unattended.Types of SharePoint SitesHUB A large portal site used to connect and organize sitesbased on organizational attributes such as project,department, division, or region.Communication A large portal site which is a great place to shareinformation such as news, events, documents, reportsand lists.Groups A smaller division or team based site that providescollaboration tools to communicate and share content.Utilizes a subscription model for users to subscribe orunsubscribe membership to the site with an emailcomponent.Team site with modern layout Legacy classic site with modern layout. New sites willnot used this model.4
12/13/2018Team Site vs. GroupsTeamSite A basic SharePoint site that team members can access andorganize content. Team members can also collaborate on the content.Examples for team sites include sites for a special projects,divisions or team projects. Legacy & Deprecated Includes collaboration tools, such as a SharePoint site, anExchange mailing group and easy user management.Groups To become a member of the group, the user can subscribe tothe group site by requesting access or the site owner cangrant the user permission to access the site.Types of sites example5
