Provider Onboarding Center (POC)Aetna’s new strategic platform thatcentralizes onboarding operations tocomplete the following. Requesting credentialing Update demographics Get Contracted. This is true even for theAllina Health Aetna plan.The POC only supports Medical and BHproducts. You are required to select aproduct that your applying for. If the userselects “Medical or Behavioral Health”, theywill continue within the POC. As an existing contracted provider, youshould select that you are joining “As anindividual provider joining an existing grouppractice”.Then click on the “Continue” button after youhave reviewed the list of what you need toget started.New Practitioner HospitalistFax a letter to 1-859-455-8650Hospital based providers:If you are joining an already contracted hospitalbased group, you do not need to complete theRequest for Participation.Have your group administrator fax a letter to 1859-455-8650 with details including: Provider Name Phone number(s) Billing location NPI TIN Group Name DOB Servicing Location(s)Complete the Request for Participation if you are interested in contracting as a nonhospital-based or office-based provider type.Request for Participation (RFP) ProcessWhen completing a Request for Participation in the POC, a submitter will movethrough a series of web forms (see diagram) to provide the necessary information tocomplete an application.At various points in the application process, the POC will check the informationsubmitted against internal Aetna data in real-time to tailor the application process tothe user’s scenario (see gray lines above). 2022 Allina Health and Aetna Insurance Company
Submitter InformationWhen starting a new Request forParticipation, the submitter must entergeneral contact information, includingLast Name, First Name, Role (optional),Email, Phone Number, and Fax Number.Communications regarding the statusof the application will be sent to theemail address provided. You now alsohave the ability to add a secondarycontact in this section. The form notifiesusers that the secondary email will onlybe used for application communicationsif the primary email returns an“undelivered” response.Network CheckOnce the submitter completes the firstpage of the form, they will proceed tothe “Network Check” page of theapplication, which includes two sections,the “Network Participation Check” andthe “Tax ID and NPI Information”.Network Participation CheckIn first section of the “Network Check”page, a submitter must complete the“Network Participation Check”questions. This portion of the Request forParticipation collects information abouthow the provider wants to be added tothe Aetna Network and the state and zipcode the provider is applying to.Network Participation CheckMore than likely as an existing contractedprovider, you will be selecting the “A solopractitioner joining an existing group thatparticipates with Aetna” or Allina Health Aetna. 2022 Allina Health and Aetna Insurance Company
For “Select the situation that isapplicable to you”, you will most likely beusing the “I want to be contracted in thestate selected below”The “Minnesota Applicants” question willonly appear when the submitter enters aMinnesota zip code.NOTE: If applying for Allina Health Aetnanetwork, be sure to answer the questionwith “YES” following the selection of thestate of Minnesota.Tax ID & NPI Information section If the TIN is not found, thefollowing question will be shownin a pop-up window: “Is your TINa group or individual Tax ID?”If the NPI is not found or displaysas non-par in Allina Health AetnaProvider Database, the followingquestion will be shown in a popup window: “I am joining as a:o Option 1) MedicalProfessional,o Option 2) Behavioral HealthProfessional”.If the TIN is not found and the NPIis non-par, both previousquestions will appear. 2022 Allina Health and Aetna Insurance Company
If the NPI is for a par provider, thefollowing pop-up will appear withadditional questions to direct the submitterto the correct form.Please check with your assigned AllinaHealth Aetna resources if you receive thefollowing on your applicationIf the submitter selects “None of the above apply”, they will proceed with theapplication process as usual. If the user selects any other option, they will bedirected to the “Existing Provider Resources” site, which provides instructions onhow to update information for an existing par provider or terminate participation.Specialty DetailsOnce the RFP has been assigned aRequest ID, the submitter will completethe “Specialty Details” portion of theapplication. This page of the form collectsinformation, like “Degree Type” and“Specialty” that will enable the POC tocheck the panel status in real time.Please inform your Allina Health Aetnacontacts if you receive a denial forcapacity. Or resubmit the application andmake sure you select “Yes” to applyingfor the Allina Health Aetna Joint VentureNetwork.When applicable, a pop-up will appearwith information around Aetna’scredentialing process through CAQH. Thesubmitter must acknowledge that theirCAQH ProView application needs to be in“Reattestation” or “Initial ApplicationComplete” status with Aetna as anauthorized health plan to allow forcredentialing.If you MCC/CredSmart, please select “Acknowledge and Continue” 2022 Allina Health and Aetna Insurance Company
