Completing Onboarding Items (Employee)After New Hire paperwork (PAN, IT Request form) has been sent to HR from the hiring manager, we(HR) then “launch” the onboarding process. As the start of the “launch”, a welcome email with onboarding instructions is first sent to thenew employee*Sample email sent to new hire Once the new employee has created their Onboarding Portal credentials, they are taken intothe Onboarding “Gateway” (UltiPro verbiage for “portal”)*A new hire’s homepage within the Onboarding Gateway

The new hire will click on the green “Get Started” icon found on the homepage and begin theirportion of the onboarding process by providing various pieces of informationNote: All new employees are required to complete this step on or before their first day of work-for-pay(and prior to any on-the-job training or work done on site) Once the new employee has completed and submitted their information, their statusshould read “Completed!” within the portal homepage

Completing Onboarding Items (Manager)After the new hire completes their portion of the onboarding process, the manager must reviewseveral pieces of information and complete any necessary action items in the UltiPro OnboardingGateway.1. By hovering over the Menu icon on your UltiPro homepage, go to My Team2. Select Onboarding3. Select Onboarding Gateway4. Find the newly hired employee’s name under the New Hires section5. Click on the employee’s name (highlighted in blue)

6. Click on Task 1 (Documents to sign)7. Sign all required documents8. Click on Task 3 (Form I-9)Note: Task 2 will be completed by the Human Resources department9. Review Section 1 before completing items in Section 2Note: If the Employee Information is incorrect in Section 1, select the blue hyperlink “RequestCorrection from New Hire”

10. Select the employment eligibility document option under Section 2Note: If you are unsure what type of document(s) your employee has provided, use the bluehyperlink “List of Acceptable Documents” as a point of reference11. Fill in all applicable/required fields for the specified document(s)List A (above) OR List B List C (below)

12. Complete the Certification section (provide new hire Start Date, site address, and signature)Once all tasks are finalized, the newly hired employee should receive a “Completed” status.
