1. Introduction1.1 Purpose of This Guide This ordering guide is designed to help Cisco partners order Cisco WebEx subscriptions; specifically, to: Understand the Cisco WebEx products being offered Understand the specific Cisco WebEx Global Price List (GPL) and Cisco Wholesale Price List (WPL)offers, and identify the best ones for your customers Ensure customers purchase the correct quantities and types of SKUs to minimize the risk of order rejection Know the entire quote-to-fulfillment process for these offers1.2 AudienceThis guide is for Cisco sales staff and partners qualified to sell Cisco GPL and Cisco WPL WebEx offers. For moreinformation, please visit Partner Central.1.3 ScopeThis ordering guide provides information about pricing, packaging, and ordering for Cisco WebEx productsavailable on the Cisco GPL and WPL.1.4 Important Note: Meeting ApplicationsThroughout this document, we will refer to “WebEx Meeting Applications.” Cisco WebEx Meeting Applications is ageneral category that includes both Cisco WebEx Meetings, and Cisco WebEx Meeting Center. Cisco WebEx Meetings is the next-generation Cisco WebEx product line. Much like Meeting Center,it facilitates the sharing of presentations, documents, applications, and desktops in real time with anyone,anywhere, anytime. WebEx Meetings also includes persistent meeting spaces to support the entiremeeting lifecycle. For more information, see Table 1 (Cisco WebEx Products and Add-ons). Cisco WebEx Meeting Center was replaced by Cisco WebEx Meetings in June 2012, though somecustomers can still opt to select Meeting Center. For more information, see Table 1 (Cisco WebExProducts and Add-ons).For the purpose of all Cisco WebEx GPL offers, these two applications should be considered interchangeable.The detailed differences between these two applications are outlined in detail in the “What’s the co webex meetings vs meeting center.pdf.It is important to understand that these two applications will share a single set of SKUs. A partner must only enterthe generic “Meeting Application” SKU when submitting an order. After the order has been completed, the partner(or customer) will then have the ability to choose between the two WebEx Meeting Applications as they fill out theprovisioning form. Each call type, whencombined with an originating or terminating country, consumes a different number of equivalent minutes. A fixed ratio isassigned to each call type and country combination. For more information see the Cisco WebEx Audio Ordering Guide.AIM FederationThe AIM Federation program allows the Connect deployment to communicate with contacts that use the AOL AIM network forinstant messaging. The federated instant messaging experience is presented transparently to end users, while providing acohesive network community consisting of both Connect and AIM network contacts. AIM Federation capability is available for all web conferencing offers that include Cisco WebEx Messenger Application (Instant Messaging [IM]).WebEx EnabledTelePresenceCisco WebEx Enabled TelePresence offers companies a manner in which they can advance business-to-business and internalcomminications by brining together video, unified communications, and web conferencing in an easy-to-use meetingexperience. WebEx TelePresence is available through the Cisco GPL and must be enabled with new or existing Cisco WebExConferencing Services.More details about the Cisco WebEx Messenger application are available ex.html. 2013 Cisco and/or its affiliates. 3. Understanding the Offers3.1 Licensing ModelsThe Cisco WebEx offers are divided into two categories: Company-wide offers and Access offers. The Companywide offers include the Employee Count and Active User licensing models and the Access offers include theNamed User and Ports licensing models. The Access offers also include a set of SKUs that you can use to “stepup” from Ports to Named User and from web conferencing to Enterprise Edition. See Table 1 (ProductDescriptions).Note:Licensing model and service dicates the number of participants allowed in a web conferencing session.3.1.1 Company-wide OffersEmployee Count: This subscription is designed for a company to purchase the offering for each employee withintheir entire organization. For example, a 1000-employee organization will need to purchase 1000 licenses. Thismodel offers simplicity in procurement and predictability in cost for organizations willing to make an enterprisewide licensing commitment.Note:In order to purchase the Employee Count subscription, your organization must have a minimum of 100employees. If your organization has fewer than 100 employees or does not need to enable collaboration for allemployees, consider the Named User offers outlined in this document.Active User: This subscription is designed for organizations that expect broad usage of Cisco WebEx services,expect the usage to grow over time, and prefer a fixed annual payment. In this model, the initial subscription isbased on 15 percent of the total employee count, yet all employees receive access to the Cisco WebEx service.In year two, Cisco will calculate the number of active users averaged over the immediately preceding three-monthperiod (months nine, 10, and 11) to determine the new subscription count. An employee is considered an activeuser if it hosts one or more meetings per month. The year two subscription is the number of active userscalculated in the audit or the amount of the initial subscription, whichever is greater, meaning that if the numberof active users falls below 15 percent of the total employee base, the customer still needs to renew for the full 15percent.3.1.2 Access OffersNamed User: This subscription is designed for organizations that want the simplest possible approach to buyingCisco WebEx applications. A Named User is any individual who may schedule and host meetings. User accountsare individualized and may not be shared or used by anyone other than the one employee to whom the useraccount is assigned. Named Users can hold an unlimited number of meetings with up to 25 participants permeeting, and one meeting per named user is allowed at any time. An organization must purchase a minimum of25 Named Users in order to buy from the GPL, and there is no maximum order size.Ports: With the Ports model, customers have access to a specific number of concurrent users, shared across theentire system. For example, if a customer purchases a license for 100 ports, 100 people can use the WebExservice at any one time. The breakdown might be anything from a single meeting with one host and 99 attendeesto 50 meetings - each with a single host and a single attendee - or anywhere in between. Whatever thestbreakdown, the total number of users across the system at any one time cannot exceed 100. Ports OveragesIf the total number of people (as measured by network connections), that are connected to a physical serveror online service at any one point in time exceeds the number of licensed ports for 15 minutes or more in any24-hour period (an “overage”), than you may be charged an overage fee.In the event of an overage, Cisco WebEx will notify you by email (an “Overage Notice”). Within 30 days ofreceipt of an Overage Notice, you must either:1.Purchase additional ports to meet your current business needs and align with your historical usage; or2.Reduce your current peak port usage (the highest level of overage, upon expiration of the 30 days) toalign with your subscription purchaseIf you receive an Overage Notice in any consecutive two-month period, WebEx reserves the right to suspendthe subscriber’s WebEx account upon five calendar days’ notice. Such suspension will continue until theparties reach a written agreement on the subscriber’s continued usage of the service. If such agreementcannot be reached within 15 calendar days from the date of suspension, Cisco WebEx reserves the right toterminate for breach pursuant to the purchase agreement.Please note that you can also purchase Meeting Center and meetings ports through the Cisco UnifiedWorkspace Licensing (CUWL) Pro bundle. Refer to the Cisco CUWL Pro Ordering Guide for additionaldetails.3.1.3 Step-upsStep-ups are not associated with any specific licensing model, but rather the ability to upgrade from one licensingmodel to another. Step-ups must co-terminate to the existing service. To upgrade from MeetingCenter or Meetings Ports to Enterprise Edition Named User subscriptions, you must purchase the relevant Type Aand Type B SKUs together - either on the same order or in subsequent orders.It is also not possible to step up from one Meeting Application (Meeting Center) to the other one (Meetings), orvice versa. Any step-up must be to the same Meeting Application that the customer already owns. Step-up Type Bwould either be used to jump from Meeting Center to Enterprise Edition or from Meetings to Enterprise Edition.3.2 Subscription TypeThere are three types of subscriptions to choose:3.2.1 New1.A “New” subscription is for orders where the customer does not currenly have a subscription to WebExservices and is effectively starting a brand new WebEx subscription. New is defined as a new service or anew licensing model. Separate SKUs have been created for new subscriptions and the high-level SKUswill have a “-NEW” for clear identificaiton. WebEx subscription for a different service. Both annual (1-,2-,3- or 5-year) and monthly (NM1-NM59)SKUs have been created for the “New” subscription type.3.2.2 Renew2.A “Renew” subscription is for orders where an existing WebEx subscriber is nearing the end of asubscription term and simply wants to renew the existing subscription. Separate SKUs have been createdfor renewing subscriptions and the high-level SKUs will have a “-RENEW” for clear identification.Note: You cannot use the Add-on SKUs to extend the duration of a contract. Customers who are coming tothe end of their current contract must renew with one of the Renew SKUs (1-, 2-, 3-, or 5-year) for all usersthat need access to the service after the point of renewal.3.2.3 Add-on3.An “Add-on” subscription is for orders where the existing WebEx subscriber wants to add an existingsubscription. When there is a current subscription then the additional service must co-terminate to theremaining term length of the existing service. Separate SKUs have been created for Add-ons to existingsubscriptions and the high-level SKUs will have “-ADDON” for clear identification. SKUs are listed in Appendix D Table 15.Customers may also opt to purchase Cisco Cloud Connected Audio through the GPL, Partner Audio through apartner, WebEx Audio through Cisco WebEx direct, or no audio.It is important to note that Cisco MeetingPlace Audio does not work with the Cisco WebEx Meetings platform.Those customers will need to choose Cisco WebEx Meeting Center at the provisioning time.3.5.2 Add-on WebEx Cloud StorageAdditional storage is available for purchase through the GPL at the time of initial purchase or during thesubscription term.There are two ways to obtain WebEx Cloud Storage, which the customer can use to store uploaded files ornetwork-based meeting recordings. Committed Add-on Storage: Add-on refers to additional storage purchased by a subscriber, in excess of the storage included in theirinitial WebEx purchase. Add-on storage is available in 1 GB increments, with 50 GB minimum, for a time period up to 60 months. The customer must purchase as many months of storage as they have remaining on their WebExcontract. These SKUS are listed below in Appendix D, Table 15.Storage Add-on Example:1. A customer buys a five-year (60 month) WebEx contract2. The customer comes back in six months, and wants to buy 90 more Gigabytes of storage.3. Since the customer has 4.5 years (54 months) of WebEx contract remaining, they must purchase a 54month storage SKU. Since the customer wants 90 GB of storage, they must purchase 90 of this SKU. Overage Storage: Storage used in excess of the included storage and the committed add-on storage. An overageagreement is required and is available at http://try.webex.com/mk/get/STORAGE CONTRACT FORM. Overage storage will be billed monthly in arrears for actual usa
