Title: Understanding SSN/FIEN Vendor Setup for 1099’sThis article applies to: Sage MIP Fund Accounting v 17.x and laterQuestion: When I produce my 1099’s through Aatrix sometimes it pulls thecompany name, sometimes it pulls the proprietor name. How do I determine andcontrol what gets pulled?Answer:The name that gets pulled depends on what type of 1099 Tax ID number thevendor has and what form (Federal or Recipient) you are filing.If you go to Maintain Vendors and go to the 1099 Information Tab you canchoose what type of Tax ID NumberFEIN Filing Vendor. Note that the Proprietor name is NOT Required. The Namecontrol is required.SSN or Sole Proprietor. Note that the Proprietor name IS required as is the namecontrol field

The differences in these setups will determine how the information is pulled ontothe 1099.Recipient CopiesFEIN Vendors on the Recipient CopyFEIN Vendors will normally print the Value in the Name Field on the first line ofthe 1099 and the Proprietor Name (If present) on the second line of the 1099.

If the proprietor name is not present, the second line will be blank. For FEINvendors this second line is optional and not required.Aatrix has three additional name fields in the Aatrix grid that are no used by MIP.It is possible to enter information manually into those fields. If that is done thosefields will populate in place of the Proprietor name.

For Vendors with an SSN on the Recipient CopyVendors who file under a SSN number will print the proprietor name first and thevendor name second. The IRS really only requires the proprietor name to be onthe top, the vendor name beneath it is optional.The information recorded in these printouts is what will be eFile through Aatrix.

Question:I have a vendor who is an FEIN vendor but I would like to have his name print onhis 1099 is that possible?Answer:Yes. If you are dealing with an FEIN vendor it is possible to include the name inthe printout. To do so you would need to add the name to the Aatrix grid prior toprinting. If you add the name to the Last Name and First Name columns it willprint in the 1099.If this change is made the following form would be printed.The added name would be inserted after the company name before the address.It is not possible on a FEIN type vendor to have the name print on the top line asper the IRS this is supposed to be the company name, not the name of theperson running the company.Question:If I uncheck the “Check if FEIN” box it converts the format to a SSN type and onthe 1099 it prints the proprietors name on the top box is this ok?Answer:If the vendor is a FEIN type vendor that box should remain checked. The boxexists to quickly toggle the vendor type in the Aatrix grid without having torecalculate from MIP. If the box is unchecked it will behave like a SSN typevendor regardless of what is in MIP. The box should reflect the true type ofvendor that they are registered as with the IRS.

Question:I have a FEIN vendor that has a DBA name. I have set up the DBA as theVendor name so that the checks will show the correct name. I have the actualvendors name that is registered with the IRS in the proprietor name. Whenprinting the 1099’s I need to have the registered name print on the top line. Howdo I do that?Answer:You will either need to change the vendor name in maintain vendors or edit thename in the Aatrix grid. The program will always pass the vendor name to thefirst line on a 1099.Federal Copies behave a lttle bit differently.FEIN Vendors Federal CopyFor FEIN Vendors on the Federal Copy of the 1099 it will print the name in theVendor ID on the first line and the proprietor name (if present) on the second lineIf the Optional First/Middle/Last Names are used, they will print in place of theproprietor name on the second line.
