This means that aisle carpetwill abut your display carpet, making it essential for your display to fitwithin the confines of your booth.In order for aisle carpet to be properly installed and cleaned, it isrequested that your exhibit installation activities remain within theconfines of your booth. At the conclusion of the convention, it isadvised and requested that no booth equipment/crates/boxes remain inthe aisles to afford quick and safe removal of the carpet duringdismantling.ANNOUNCEMENTS:The public address system of the Puerto Rico Convention Center willnot be used for the purpose of announcing exhibitor prizes or thelocation of individuals. Any announcements are intended for generalevent information and emergencies.BOOTH SIGNS:Each exhibitor is provided a booth identification sign, which measures7” x 44.”CLEANING OF EXHIBITS:Management will clean the exhibit hall aisles and lounge areas daily.It is the responsibility of each exhibitor to maintain the cleanliness oftheir exhibit throughout the show. A booth cleaning order form isprovided in the Exhibitor Services Section of this manual.EMPTY BOXES/CRATES:Empty boxes, crates, cases and cartons are not permitted on the exhibitfloor. The removal and storage of empties are part of your materialhandling package. Upon set-up of your booth, empty boxes, crates,etc. that you will need at the end of the show should be labeled with“empty” stickers. These stickers are available from InclusiveManagement Services on-site. Inclusive Management Services willremove these boxes from your booth and return them to you at the

At this time show management willinspect exhibits for compliance of all exhibit rules and regulations.The purpose of this inspection is to insure that all exhibitsprofessionally maintain the mission and purpose of the AARP Feria dela Segunda Juventud and do not in any way interfere with otherexhibitors. Please be certain that all materials you plan todistribute at the event are approved by AARP Services, Inc. inadvance of the event.It is not necessary for an exhibitor to be present for inspection. Youmay leave a phone number and contact name within your booth,prominently displayed for show management to contact you in case ofan inspection matter. If you wish to request a booth inspection whileyou are present in the exhibit, please stop by the exhibit managementoffice and make arrangements for an early inspection of your booth.AARP Services, Inc. may elect, in its sole discretion, to scheduleinspection in advance to accommodate the needs of AARP Services,Inc. and exhibitors.HOTELS:Hotel accommodations for exhibitors can be made at any of theOfficial Hotels listed in the Registration, Transportation & Housingsection of the Exhibitor Service Manual.An Exhibitor Group Housing Form is provided in the Registration,Housing and Transportation section of this manual. Please followinstructions on this form in order to secure your accommodations. Allhousing requests must be made with this form and sent directly to thehousing service. The deadline for hotel reservations is April 3, 2007.You are advised to send in your housing form early in order to get yourpreferred hotel rooms. You may register on-line .comNOTE: SUBMIT YOUR HOTEL RESERVATION FORMEARLY. Most of these rules andregulations are common sense. Follow these rules when constructingand dismantling your display. All materials used in booth construction should conform to thePuerto Rico Convention Center General Operating Policies andProcedure Guidelines. Please refer to the Convention CenterServices section of this manual. All exhibits must be confined to the booth area and must conformto AARP’s Exhibit Rules and Regulations. Aisles must be keptclear and all promotional activities must be confined to yourcontracted exhibit space; not in the aisles, foyers, seating areas,public spaces, or convention facilities, including hotels. Inclusive Management Services will perform all utilityconnections with jurisdiction over this service. Please refer to theinformation that is enclosed in the Exhibitor Services Section ofthis manual. Empty crates, cartons, etc. should not be stored in your booth,behind back drape, or in aisles. If you will require these “empty”containers at the conclusion of the show, label them with an“Empty” sticker. If you need empty containers removed from yourbooth, notify the general service contractor. Do not hang posters, signs, objects from the back drape. Also, donot affix any items, nails, or glue materials to the walls or floors ofthe convention center. Use or storage of any and all bottled or compressed gasses orflammable liquid is strictly prohibited. Please refer to theConvention Center Services section of this manual for specificguidelines on bottled gasses. Helium balloons are prohibited in the exhibit halls and throughoutthe convention center. Specific guidelines apply to motorized vehicles and fuel in tanks.Please refer to the section titled “Vehicles - Motorized” in theGeneral Information section of this manual.

These include fire hose cabinets, extinguishers, emergencysignal boxes, etc. Fire fighting equipment must be kept visible atall times. Exhibitors are to use the main entrances of the exhibit halls foraccess. No short cuts through unauthorized areas will be allowed.Exhibitors are kindly asked to stay clear of areas marked“Authorized Personnel Only.” Animals and pets are not permitted in the Puerto Rico ConventionCenter with out written approval from AARP and Puerto RicoConvention Center. Seeing eye dogs are exempted. Crowds are anticipated to occur in the exhibit hall in and aroundpopular displays. It is incumbent on each exhibitor to respect thework of security and assist as necessary to prevent overcrowdingin aisles or displays.Sampling of your product line is allowed on the exhibit floor fromwithin your booth. Food and beverages distributed by exhibitors arelimited as products manufactured, processed or distributed by theexhibiting firm and are limited to sample size. Please refer to theAARP Exhibit Rules and Regulations for specific information.The Puerto Rico Convention Center has the exclusive distributionrights within the Puerto Rico Convention Center of all food items andconcessions. Exhibitors may distribute sample food and/or beverageproducts, provided general conditions are met and within writtenapproval of The Puerto Rico Convention Center.Exhibitors are required to comply with all federal, state, and local laws,which govern the distribution and sampling of foods in order to meetspecific health and sanitation guidelines. That is, eachperson in the hall has a legitimate purpose for being there and isproperly badged. If you feel you need additional security for yourdisplay, please submit the Booth Guard Service Order form locatedunder the Exhibitor Services Manual.Neither AARP Services, Inc., nor The Puerto Rico Convention Center,or Inclusive Management Services, Inc. is responsible for the safety ofexhibitor’s property. AARP will provide perimeter security for theexhibit hall, including set-up and move-out, on a 24-hour basis.Exhibitors assume all risk of loss or damage of any kind to theirindividual display, its contents, personal belongings of its exhibit staff,rental items, etc.SHIPPING (In-bound):You may use any trucking company you wish to get your displays andgoods to the exposition. Regardless of the means, UPS, FedEx, PostalService, overnight courier, van line or common carrier, the followingrestrictions apply:Inclusive Management Services, will handle unloading or reloading atthe dock of any and all contracted carriers. You may ship in advance to the warehouse or directly to theconvention center. While advance shipments are slightly moreexpensive, they are much more effective. (See Shipping/Freightsection of this manual for more details). Inclusive Management Services will accept advance shipmentsbeginning April 2, 2007 at the address below and they must arriveat the warehouse no later than April 27, 2007. You willincur additional charges if the label shows a different place thanone of the two consignment addresses above. Make one largeshipment instead of many small ones. Each time a shipment ishandled, a minimum charge is applicable. Eliminate the extrahandling and save yourself money. Alert the general service contractor, Inclusive ManagementServices, in advance about your shipment. Follow the MaterialHandling instructions in the Shipping/Freight section of thismanual. Make certain your shipment is properly insured. Ship all materials pre-paid. Inclusive Management Services willnot accept collect shipments. Package your display and materials properly. Most damage togoods in transit can be avoided by using the correct packagingmaterials. Make certain cartons are securely taped and fastened. Make certain to ship your materials early, but within the allottedtime frame for shipments. Please be aware that for advance andshow-site in-bound shipments, charges may vary based on day andtime of delivery. Please read the Estimated Freight Chargessection of the Inclusive Management Services section of thismanual. If you have any questions, please contact InclusiveManagement Services at 1-817-337-3050.SHIPPING (International):In addition to the above guidelines, shipments originating fromCountries other than the U.S. must be cleared through customs. Pleasecontact Inclusive Management Services or an official customs brokerfor additional information.SHIPPING (Outbound):Outbound materials will be moved from booth to dock and reloaded onyour designated vehicles. To assist you with arrangements foroutbound shipments, Inclusive Management Services will have aService Desk where labels, bills of lading and shipping informationwill be available.When materials are labeled, packed and ready to be shipped,your completed bills of lading should be turned in to the Service Desk.Materials sold locally and awaiting customer pick-up should be dealtwith in the same manner as all other outbound shipments.In order to expedite removal of materials, Inclusive ManagementServices reserves the right to change designated carriers, if suchcarriers fail to pick-up or refuse to accept shipments. Where nodisposition is made, materials will be returned to the warehouseawaiting shipping instructions from exhibiting company and they willbe charged accordingly.

Please contact Inclusive Management Services if you willrequire this additional service on-site.Accessible storage is intended for additional brochures or giveawayitems that will not fit, in your booth due to quantity and fireregulations. If you use the additional storage, each day you can accessthe storage for additional supplies. There is a charge for this storage.VEHICLES (Motorized):Vehicles that remain in the convention center as part of a display musthave the following: fuel caps locked or taped shutbattery cables disconnectedfuel level in gas tanks to a maximum level of ½ or 10 gallons offuel whichever is lessUse or storage of LP gas in the Puerto Rico Convention Center isprohibited.Starting of engines is not permitted, except during move-in or moveout dates.AARP Feria de la Segunda Juventud show management looks forward to working with you and assisting you withyour exhibit plans. Group Cancellation PolicyAll group cancellations must be made in writing and sent via mail or fax to AARP Housing/Wyndham Jade, P.O. Box678192, Dallas, TX 75267-8192 or Fax (972) 349-7715. The deadline for cancellations of up to 10% (as specifiedabove) is April 3, 2007.
