Groupwise (offline for backups)Brian,I have just returned from an academic conference.Once again I was embarrassed to tell colleagues fromEurope and the US that I was not able to access criticalinformation due to the shut down of our system each night.

Rmail outages (a.k.a. Matrix)One of the three RMail mailstores rebooted at approximately4pm. Full service was restored by 4:11pm. This problemmay be related to the SAN outage we experienced last weekso we will be opening a call with.

Rmail/Groupwise SlowdownsDue to a mass mailing from outside Ryerson, the RMail andGroupwise systems, as well as other departmental e-mailsystems relying on spam and fi ltering services provided byCCS experienced a considerable slowdown in deliveringmail yesterday (Jan. 19).The slowdown began at 6pm and lasted until after midnight.One server experienced a longer delay until 5 am.

Rmail quotasDear Brian,Would it be possible to increase my mailbox quota another300mb, I am currently at 500mb. I am constantly travelingand based on all the projects and research I am currentlyinvolved with I cannot delete anything.

Why so expensive? Hardware renewals / yearly maintenance Software licences / yearly maintenance Support staff

What would 1.7 Million buy? Exchange and Security servers 70 Terabytes Backup licenses and media Software licenses Network drops, fibre interfaces, etc. Contractors to help with migration and planning

Google and Microsoft's Cloud Services “EDU” services leverages strategic multi-billion dollarinvestmentsNo University can afford to provide similar fullfeatured services with similar reliability and security.Things have changed since Hotmail first started orYahoo introduced the first 1 GB inbox quota.

Cloud Services vs. Local HostingMy old assumptions:1. University hosted systems are moresecure/trustworthy, so better protect E-mail and otherrecords than outsourcing to a third party would2. outsourcing to the US adds additional and signifi cantrisks because of the Patriot Act and jurisdictional issues

ACAC and CCS will: Investigate the benefits, costs, and risks of using a cloudservice from a provider like Google or Microsoft versuslocally hosted services;Engage the Ryerson community in a consultation processregarding options for improving E-mail and collaborationservices;Recommend to the Provost and Vice PresidentAcademic, and to the Vice President Administration andFinance, how Ryerson’s E-mail and collaboration systemsshould be improved or replaced.

Why are we doing this? Need to renew E-mail service; Need University-wide calendaring/scheduling; Need modern collaboration tools; Cloud services from Microsoft and Google havebecome surprisingly robust offerings;Look carefully for the best way to protectprivacy/confidentiality.

Today is about Privacy Help Ryerson begin to assess the privacy risks ofoutsourcing and local hosting options;Work to make sure privacy is embedded intowhatever system we select (and configure,customize, and integrate).
