Greene County 4-H Family FocusFair Edition 2009 Club Responsibilities Fair Setup DayClover Hall Host DutiesSunday, July 5 at 1:00 pm5th,Fair setup will again take place the Sunday before fair, Julybeginning at 1:00 pm at the fairgrounds. We have had such atremendous response to this in the past years and are so grateful forsuch dedicated 4-H families! As a reminder, ALL 4-H clubs andmembers are expected to participate in the setup day. Your clubleaders have already signed your clubs up for specific duties that dayso that you can get right to work when you arrive. If you get doneearly, please check with other clubs to see if they need help or swingby the livestock office to see what else needs to be done. We allwork together until everything gets done!Fairgrounds Tear-down & Clean-upMonday, July 13, following livestock saleSetup and clean up are critical parts of the county fair and it takes ateam effort to get everything done. It is critical to have as manymembers as possible present from your club on both days. Eventhough cleanup may not rank high on your list of favorites, it is a lotmore fun and goes much more quickly when everyone pitches in andhelps!Clover Café (4-H Food Stand)The Clover Café (food stand) is a very important part of the GreeneCounty Fair. The proceeds go directly to the 4-H program to makemany of our yearly 4-H activities possible!The success of Clover Café depends on YOU. Each shift is requiredto have a minimum of 5 adults and 8 youth. Please be on time foryour shifts, cover them with courtesy and kindness, and pitch in to doyour part. Show our customers and supporters what our 4-Hers aremade of!Every club is able to host Clover Hall at least once during the fair. Ashosts, you are representing all Greene County 4-H members. Theimpression you leave with the public may last a very long time!Remember to greet guests with a friendly smile and hello, and toanswer any questions as courteously and accurately as possible.Please also keep the building looking clean and neat.Clubs hosting Clover Hall should have at least one adult and 3-5youth in attendance. Club shifts are in two-hour increments. Feelfree to break your time up between youth, but please make sure yourshift is covered the entire time. 4-Hers should be wearing a 4-Hshirt while serving as hosts.Please take your responsibility seriously. Not only are you lettingthe public know what 4-H is all about, but you are also protectingthose hundreds of exhibits in the building. Here are some pointers tohelp you understand your roles as hosts of Clover Hall:1. Position club members at each end of the building, near thedoors, and greet visitors as they come in. Be alert, show enthusiasm,be friendly and smile! Approach visitors and ask if they have any questionsor need assistance.2. Read and know the fair schedule. The first group in the morning isresponsible to be sure the new daily schedule is out for the public to see. Beprepared to answer questions. Seek out answers from Fair Board members,Amanda, or from someone in the livestock office if you need help.3. Know the location of each club’s booth, the state fair exhibits,and the outstanding 4th grade exhibits. Most of the visitors are family of4-Hers and are there to find their 4-Her‘s exhibits. Please help direct peopleto where they would like to be.4. Tactfully ask people to be very careful when handling exhibits.(It is preferred that the exhibits are not handled, but many people like to readthe booklets and write-ups.) Please keep people from handling the state fairexhibits. There will be signs posted, but please stop people who may betouching or handling the exhibits as they will be shown and judged again.Club Booths5. Keep the booths clean and neat. If items fall or blow off of the tablesClub booth judging will take place shortly after 11:00 am onWednesday, July 8, 2009 at the county fair. While the judges areevaluating and making their decisions, Clover Hall will be closed.Signs will be posted at the winning booths some time Wednesdayafternoon.or pegboards, please take time to carefully put them back.6. Keep the building clean and neat.7. Near the end of your time on duty, sweep the floor. Brooms areavailable in the chair/table closet. Pick the dirt up and dump into thewastebasket (do NOT sweep the dirt out the door!).Clubs are encouraged to decorate their booth with either the countyfair theme, or in a way that best represents what the 4-H program is8. Greene County 4-H Family FocusFair Edition 2009 Livestock Information Livestock Entry Forms Due Now!Get Your Exhibitor Number Early!Forms must be completely filled out, including all signatures andinitials, and fees must be paid before entry is accepted. No entrieswill be accepted after 4:30 pm on June 30, 2009.Every 4-Her is assigned an exhibitor number which is pinned andworn on the back of your shirt when you are exhibiting your animals.Please pick up your exhibitor number at the livestock officeduring open hours. Do not count on someone showing up to yourshow with the numbers for you, or on finding someone to unlock thelivestock office to get your number last minute! Think ahead andplan accordingly (it decreases stress at show time!). You may alsowant to plan on having LOTS of extra safety pins in your show box.(There‘s not always enough in the livestock office for everyone tohave some.)Stall Fees for 2009: Note Change in BeddingPremium MoneyThere are changes this year in bedding supply for the Greene CountyFair. The Fair Board invested a lot of time in making this decision,and went the way they thought would benefit the most families.Please plan to pick up your premium money in the fair boar officefollowing the show. A running list will be kept on the whiteboard inthe office of what species‘ checks are ready.If you missed the June 15 th deadline to turn in your entry forms forfair, there is still time!Entry forms can be turned in until Tuesday, June 30by 4:30 pm with a late fee of 25.Livestock Office HoursBedding/stall fees for 2009 will be as follows: All bedding used at the fair will be either bagged wood chips, orthe provided large bulk wood chips for the cattle, and sand for thebeef pen of three (just like previous years, no change). Exhibitors will be given ONE bag of woodchips for eachspecies of their entered animals/pen. No extra woodchips will be available for sale at thefairgrounds.There is a reduction in stall fees this year for horse, sheep and swineexhibits since less bedding will be provided. Please arrange for anyextra bedding supplies for that week.By going this route, the fair board was able to lower entry fees asopposed to raise them, allowing families to only purchase extrabedding if needed instead of having to purchase bedding they maynot use.Livestock Treatment Records Due at Weigh-inThe Iowa 4-H Animal Care and Management Disclosure Statements(treatment records) must be filled out completely, signed, andhanded in to the livestock office in the show ring at the time of weighin. Forms for market beef, swine, and market lamb are availablefrom your club leader, at the extension office, or on the GreeneCounty 4-H website.6The 4-H Young Leaders will be in charge of the Livestock Office inthe livestock pavilion (showring) at the county fair. The LivestockOffice serves as an information booth, has supplies available forcheck-out, is a pick-up point for your exhibitor numbers, and a checkin place for any livestock records or forms. 4-H t-shits and othernecessary fair paperwork will be available there all week. Pleasenote the open hours and plan accordingly. All 4-Hers are expected to help cleanup after each show that they exhibit livestock in.If you win Grand Champion, you will be in charge of rounding upthe rest of the exhibitors immediately after the show, and for makingsure that they stay on task to get the livestock show area picked up.If the show area is not cleaned up, you will be asked to come back.This is good citizenship!Duties for the exhibitors cleaning the show area include picking uptrash and sweeping around bleachers immediately following eachlivestock show.
