Before joining RTD, Pearl spent fifteen years with Tiffany & Co in customer service, promoting andprotecting a brand that is synonymous with trust and integrity. At RTD, Pearl continues that work, going the extra mile topromote customer service with both clients and team members. We spoke to her recently about her latest initiative to promote increased communications in the office. As a growing 19person firm with offices in Philadelphia, Atlanta and other cities along the east coast, Pearl understands how crucialcommunications is to the success of the firm.Improved Internal CommunicationAs a quick method to ensure everyone is up to date on the office comings-and-goings, she uses the Daily Note feature inJunxure. According to Pearl, this simple tool has “changed everything for the better!”“Everyone is so spread out – some are in the Philadelphia office, out of the office, working remotely – it’s hard to keeptrack of that,” Pearl says. “This tool has been essential to improving our communication.”Pearl starts by gathering all the information that she’ll need to include in the next day’s message. She reviews calendars, checks for important meetings, conference calls, vacations and remote schedules, then compiles a summary for theteam. She posts the summary in the Daily Note, and when users log in the next morning, they can expect a recap for theday.“We have a lot of shareholders and staff who are out of the office for one reason or another, whether it’s for a conferenceor off-site meetings,” Pearl explains. “I list everyone in the office and their location for the day. If they have an importantmeeting or conference call, I list that there as well. Everyone knows exactly what’s going on.”Pearl doesn’t limit the Daily Note to work schedules – she also makes the Daily Note fun by mentioning specialoccasions, birthdays, and announcements. This personal touch builds team camaraderie and makes the summary anenjoyable way to start a busy day.“We are big sports fans here in both Philly and Atlanta, and we take it seriously!” Pearl laughs. “We have a little rivalrybetween us, so there’s always a message cheering for our local teams. We have a lot of fun with that. Everyone looksforward to reading the note.”Company-Wide Junxure AdoptionThe use of the Daily Note has also helped with adoption of Junxure. The expectation that the note will contain importantinformation for the office means everyone logs in and uses the program – something that Pearl credits the “JunxureGuru” in the office, Jeff Weiand, EVP and Chief Operating Officer, with helping to implement.“He’s the mastermind behind [the adoption],” Pearl says. “He was definitely the one who encouraged us to use Junxure, and to find ways to promote it in the office.”

The entire management team at RTD, in fact – Weiand, along with President Richard Busillo and Chairman and CEORoy Diliberto – were all at the forefront of promoting Junxure adoption in the firm. It was Richard Busillo, in fact, whoapproached our Director of Training, Erin Kincheloe, about their use of the daily note to promote Junxure use.The results have been nothing short of stellar.“That daily note has helped this company so much with communication,” Pearl says. “We’re a small firm and growing, and it’s really kept everyone in touch with what’s going on in all of our offices. I can only imagine how the daily note couldhelp a larger firm!”How to Use the Daily Note:In Junxure, go to Maintain System Edit Daily NoteThe Daily Note window opens. Enter in a date, a greeting and any information that is relevant and helpful to your officefor that day. Select the checkbox next to Display this Note for each user when they log on to ensure that everyone inthe office sees your note when they first log on to Junxure.Click Close to save your message. For more information, see our online help topic, Edit Daily Note.TopIs Everyone in the Office Using Junxure? One of our Junxure Solutions Group trainers, Holly Cambern, recently held what she called a “fantastic” personal trainingsession with a Junxure customer who was interested in tracking prospects and new business using Junxure.During the session, someone asked a question that Holly says comes up often with firms who are experiencing growth:How do we get everybody in the office using Junxure?

“As offices first begin using Junxure, it’s not unusual to find that people adopt at different paces and some simply preferto do things the ‘old’ way,” says Holly. “That means that the communication throughout the office is disjointed. .messages are missed, actions don’t get captured properly, or maybe something critical falls through the cracks.”These same symptoms can arise Holly says when dealing with new advisors come on board. To help firms betterunderstand the benefits of using Junxure, Holly came up with a Top 5 Hotlist that can help offices speed up theiradoption.Holly’s Top 5 Hotlist:1. Read Your Team. If you’re in charge of encouraging adoption of Junxure, then you’re likely the person whoknows your team best. Ask yourself, “How is each team member using Junxure today? What could they mostbenefit from?” As key users in the office begin benefitting, others will follow their lead.2. Present Your Case To The Jury. Nothing sways the crowd more than a quick demo of Junxure features thatmean something to your firm. Need help delegating? Talk about Action Sequences (Holly calls this the “AutomaticDelegation Tool”). Making client communications more consistent? Talk about the Notes Library.3. Small Wins, Big Payoffs. In a previous newsletter, Sophie Honeycutt, a Junxure user at Cook WealthManagement Group, explained how she started with the firm’s high-profile tax department to introduce a fewchanges that would be highly visible and positive for the company. What small changes can you make that wouldbenefit your office?4. Oh Yes, You Do Have Time! “That takes too much time to learn.” “I just don’t have time to go back and re-entereverything.” Sound familiar? Don’t expect a revolution - Take a “from now on” approach to get started. “The littletime it takes to enter something pays off big in your efficiency and your client experience,” says Holly.5. Bring in the Big Guns. Sessions like the one Holly held with this firm did wonders for opening people’s eyes tothe possibilities of Junxure. Check out all of your options for training and choose the right path for you.The goal of every firm is to provide an excellent and consistent client experience, and office-wide adoption of Junxure isone sure-fire path to success.
