TRS Supervisor Email NotificationsThe Time Reporting System (TRS) deadlines will trigger the system to auto‐generate email notifications. Individualswho have been designated as a Primary Supervisor will receive notices that special attention may be required. Theemail notifications will show up in the Primary Supervisor’s inbox as “Time Reporting System (DO NOT REPLY)”and will come from TRS@IT.UCLA.EDU. Primary supervisors should ensure the email notifications are not beingdirected to the spam and/or junk mail.To add or remove a TRS supervisor please complete the Primary/Back Up Supervisor Change Form.For the TRS supervisor deadlines please refer to the TRS – PPS Schedule.For questions or concerns, please contact centralpayroll@ucmerced.edu or (209) 228‐2729.Please note: Only the Primary Supervisor will receive the email notifications and should view the “Manage My Staff”tab and review the “Approve as Primary” tab. TRS Supervisor Email NotificationsNotification of Recalled Timesheet by EmployeeThis email notification is generated and received by the Primary Supervisor when an employee has recalled thetimesheet in order to make adjustments or corrections. Biweekly Employees‐The employee will be able to make the adjustments or corrections immediately thenresubmit timesheet to supervisor. Monthly Employees‐The employee will be able to make the adjustments or corrections immediately thenresubmit timesheet to supervisor. 2Updated 2/10/2017

TRS Supervisor Email NotificationsNotification of Resubmitted TimesheetThis email notification is generated and received by the Primary Supervisor when a timesheet has beenresubmitted and is awaiting review and approval after:1. Supervisor returned the timesheet to the employee for adjustments or corrections or,2. Employee recalled the timesheet for adjustments or corrections Biweekly Employees‐The supervisor will need to review, approve and resubmit the timesheet. Monthly Employees‐The supervisor will need to review, approve and resubmit the timesheet. 3Updated 2/10/2017

TRS Supervisor Email NotificationsNotification of Timesheet(s) Requiring Action or Awaiting ApprovalThis email notification is generated and received by the Primary Supervisor as a reminder that timesheets for thecurrent pay period may be awaiting approval. TRS will generate this general notice one the due date (not for everysubmitted timesheet). Please refer to the TRS – PPS Schedule for the TRS timesheet due dates. Biweekly Employees email notices are automatically generated on the due date(normally the Tuesday after the pay period ends). TRS Supervisor Email NotificationsNotification of Timesheet Submission Past Employee DeadlineThis email notification is generated and received by the Primary Supervisor if the employee has submitted thetimesheet after the employee timesheet due date and is awaiting supervisor review and approval. Please refer tothe TRS – PPS Schedule for the TRS timesheet due dates. Biweekly Employees‐If timesheet has not been submitted by the due date (Monday) the employee willreceive this email the following day (Tuesday). Monthly Employees‐If employee has not submitted timesheet by the due date (5th of the month) theemployee will receive this email on the 15th of the month. 5Updated 2/10/2017

TRS Supervisor Email NotificationsNotification of Returned Timesheet from DTAThis email notification is generated and received by the Primary Supervisor if the Department Time Administrator(DTA) returned a timesheet to the supervisor. The DTA’s comments are included in the email notice. Biweekly Employees‐The supervisor will need to return the timesheet to the employee for adjustments,then the employee will need to resubmit the timesheet in order for the supervisor to resubmit to DTA.
