An exhibitor’s point standing and the completepriority point policy are available upon request. Space assignments will be madestarting in March 2016. The College reserves the right to make variations in theestablished priority system and/ or relocate previously assigned space. If previouslyassigned space is relocated, the exhibitor is given 15 days in which to accept therelocation or request a refund. Canvassingor distributing of advertising matter outside theexhibitor’s own booth will not be permitted.Electrical or other mechanical apparatus mustbe muffled so noise does not interfere with otherexhibitors. Use of microphones, television or othersound aspects of displays, compressed air, gases orother similar media must be confined to the bootharea, may not interfere with other exhibitors and aresubject to being prohibited by Management, whichshall have absolute discretion in its judgment onsuch matters. Character of the exhibits is subject toapproval of the College.Booth Design Approval RequirementsAll island exhibit spaces 20x20 or larger mustsubmit a booth layout for management and FireMarshall approval by September 1, 2016. Plans canbe submitted to Elaine McCubbin, VP, Meetings &Exhibitions at emccubbin@gi.org.Booth RelocationThe Management of the American College ofGastroenterology reserves the right to alterthe exhibit hall layout at any time. If previouslyassigned space is relocated, the exhibitor isgiven 15 days in which to accept the relocationor request a refund.Booths and SignsCeiling height at The Venetian/Sands Expo Center is 32’.There must be a 5’ space between the top of the exhibitbooth and the ceiling. A uniformly lettered, two-linedecorative sign, 7” x 44”, indicating the companyname, city, state and booth number, will be furnishedand properly located at the top of the back of eachbooth. Additional signs for display purposes may beordered from the Official Decorator. Island booths arepermitted to hang signs from the ceiling. There mustbe a 1’ space between the top of the hanging sign andthe ceiling. Inline and corner booths are not permittedto have hanging signs over their booth space.Cancellation and Reduction PolicyNotice of cancellation or reduction must be receivedin writing. A service fee of 25% of the total booth costwill apply to any cancellation or space reduction.No refunds will be issued to firms canceling if spacecannot be resold or if the tradeshow floor does notsell out. There will be no refunds whatsoever forspace cancelled after March 15, 2016. Reductions andcancellations will result in a loss of priority points. Acomplete priority point policy is available upon request.Carpeting RequirementsCarpeting is required and is the responsibility ofthe exhibiting company. The exhibitor may providecarpeting or rent carpeting through the OfficialDecorator. At 12:00 noon on Sunday, October 16,an inspection will be made of the Exhibit Halls andexhibits that do not have carpeting will be assigned tothe Official Decorator for installation and cleaning priorto opening. Charges will be billed to the exhibitor.Exhibitors are not permitted to carpet outside oftheir booth area without prior permission from theAmerican College of Gastroenterology.Catering GuidelinesExhibitors are permitted to distribute food andbeverages within their booth space. All cateringitems must be ordered through The Venetian/SandsExpo Center. A menu selection and order form willbe included in the official Exhibitor Service Manual.Ceiling HeightCeiling height at The Venetian/Sands Expo Centeris 32’. There must be a 5’ space between the top ofthe exhibit booth and the ceiling. Island booths arepermitted to hang signs from the ceiling. There mustbe a 1’ space between the top of the hanging sign andthe ceiling. Inline and corner booths are not permittedto have hanging signs over their booth space.Company Descriptions and LogosExhibitors will be contacted in mid-March 2016regarding submission of the company description,logo and contact information. Companies haveuntil September 1st to submit this information. No solid exhibitconstruction will be permitted to exceed36” in height except in the back one-thirdof the booth. Maximum allowed height ofrear wall displays is 8’. Any variance fromthis must be cleared in writing with theCollege’s office.Interviews, demonstrations and thedistribution of literature or samples mustbe made within the booth area assigned tothe exhibitor. Canvassing or distributing ofadvertising matter outside the exhibitor’sown booth will not be permitted.Electrical or other mechanical apparatusmust be muffled so noise does notinterfere with other exhibitors. This applies todisplays, literature, advertising novelties,souvenirs, conduct of persons, etc. TheManagement of the American Collegeof Gastroenterology reserves the right torestrict at any time any exhibit deemedundesirable and the Management’sdecision must be accepted as final in anydisagreement between exhibitors.Exhibit Services/EAC RequirementsThe College and Exhibit Management(including exhibit managers, decorators,etc.) make every effort to accommodateexhibitors who prefer to use the services ofsubcontractors with whom the exhibitorcontracts or assigns certain duties. However,it is the Exhibit Management’s responsibilityto assure that the show opens on time andthat all regulations are observed. Therefore,the exhibitor acknowledges and assignsto the Exhibit Management the right anddiscretion to undertake any activities orservices, on behalf of exhibitor and at theexhibitor’s expense, which the ExhibitManagement believes are needed to meetthese requirements, if those activities orservices have not been timely providedby the exhibitor or by any subcontractordesignated by the exhibitor.Exhibitor agrees to be financiallyresponsible for any debts incurred eitherby himself, by his subcontractor(s), orby Exhibit Management on his behalf,both generally and under the specificcircumstances noted above. The exhibitorspecifically agrees to indemnify theCollege, exhibition management andtheir agents and to hold them harmless in12 ACG 2016 Exhibitor Prospectusany dispute over fees. In the event that asubcontractor fails to make payment to theCollege, Exhibit Management or any agentof either for any costs incurred on theexhibitor’s behalf, for whatever reason—including bankruptcy of the subcontractor,or payment dispute—exhibitor agreesthat such fees are his direct responsibility.Nothing included above shall constitutean obligation upon the College, or ExhibitManagement or their agents to arrangefor or otherwise provide any activities andservices normally the obligation of theexhibitor, and not specifically provided forelsewhere in this Agreement.Exhibitor designated contractors mustcarry their own insurance to cover exhibitmaterial against damage and loss, as wellas public liability insurance of at least 1million per occurrence and 1 millionaggregate against injury to the personand property of others. A certificate ofinsurance naming the American Collegeof Gastroenterology as additional insuredmust be received at least 30 days prior tothe Exhibit Hall opening.Exhibitor Service KitA complete Exhibitor Service Kit fromthe Official Decorator will be availablein June 2016. A link to the Kit will beavailable on the ACG Meeting websiteand will be emailed to each exhibitor.FDA GuidelinesThe FDA imposes rules and regulationson some of the products exhibited athealthcare meetings. It is the exhibitor’sresponsibility to understand and followthe FDA rules and regulations. Specificinformation may be obtained from the FDA.Fire RegulationsAll materials used in the Exhibit Hall mustbe flame proofed and fire resistant in orderto conform to the local fire ordinances andin accordance with regulations establishedby the local Fire Department. Crepe paperor corrugated paper, flame proofed orotherwise, will not be permitted. Excelsioror other paper is not to be used incrating merchandise. Display racks, signs,spotlights and special equipment must beapproved before usage, and all displays aresubject to inspection by the Fire PreventionBureau. Any exhibits or parts thereof foundnot to be fireproof may be dismantled.All aisles and exits must be kept clearat all times, and fire stations and fireextinguisher equipment are not to becovered or obstructed.Giveaways and Promotional ItemsThe American College ofGastroenterology requires approval forgiveaways. A giveaway approval form willbe included in the Official Exhibitor Kit.All exhibitors planning on giving awayproducts, novelties, souvenirs or any otheritem other than company literature arerequired to complete the form.The purpose of the exhibits is to furtherthe education of meeting attendeesthrough product and service displays anddemonstrations. Sales and order taking arepermitted if transactions are conducted ina manner consistent with the professionalnature of the meeting. The exhibitor isresponsible for any permits, occupationallicenses and city/state sales taxes, ifapplicable. The ACG reserves the rightto restrict sales activities that it deemsinappropriate or unprofessional.Hospitality SuitesOnly those companies participating in thecommercial exhibit program will be allowedto conduct hospitality suites in Las Vegas.Suites are limited to hospitality and maynot be used to display products or services.These hospitality suites may not be open oradvertised to be open at times that conflictwith official functions of the College suchas scientific sessions or College sponsoredsocial functions (including exhibits).Independence of ACG CMEEducation in Accordance withACCME RequirementsThe ACG and the exhibiting companyagree to the following conditions:1. Arrangements for commercialexhibits or advertisements cannotinfluence planning or interferewith the presentation, nor can theybe a condition of the provision ofcommercial support for CME activities.2. Product-promotion material or productspecific advertisement of any type isprohibited in or during CME activities.Live (staffed exhibits, presentations)or enduring (printed or electronicadvertisements) promotional activitiesmust be kept separate from CME activites.3. For live, face-to-face CME,advertisements and promotionalmaterials cannot be displayed ordistributed in the educational spaceimmediately before, during, or aftera CME activity. Providers cannotallow representatives of CommercialInterests to engage in sales orpromotional activities while in thespace or place of the CME activity.4. The ACG educational program/CMEactivity, during which exhibits areconducted in a separate area, is intendedfor scientific and educational purposesand will not directly or indirectlypromote the company’s products.5. In compliance with the ACCMEStandards for Commercial Support, nohonoraria or reimbursements will bepaid directly by a commercial interestto a presenter, planning committeemember or author.6.
