Exhibits and hospitality will be located near themeeting rooms whenever possible. At any time prior to the start of the conference,the NCJFCJ reserves the right to relocate the exhibit area in order to meet theneeds of the educational component of the conference.Instructions and information regarding shipping, electricity, furniture, audiovisual,and Internet service, will be forwarded to registered exhibitors as it becomesavailable. All exhibitors must abide by existing labor agreements and regulationscovering the use of these services. Please do not send materials/shipments to thehotel until instructed to do so by NCJFCJ.Payment PolicyExhibit AssignmentsExhibit space will be assigned at the discretion of the NCJFCJ, taking intoconsideration the level of sponsorship, order of registrations received, size andnecessary placement of such exhibits, as well as the best interest of the overallconference attendees.Use of Exhibit SpaceExhibitors must confine all demonstrations or promotional activities to the limits ofthe exhibit space. Interference with the light and space of other exhibitors isprohibited. All sound equipment and noise must be kept at a low level that will notdisturb the conference and/or other exhibitors.Payment is due at the time of application. Confirmation and receipt is sent uponapproval of application and after payment has been processed. We are unable torefund any processed sponsorships.Indemnity ClauseExhibitor assumes the entire responsibility and liability for losses, damages andclaims arising out of injury to persons or damages to exhibitor’s displays,equipment or other property brought upon the premises of the Hotel and agrees toindemnify, defend and hold harmless NCJFCJ, the Hotel and their owners,servants, agents, and employees against all claims or expenses for such losses,including reasonable attorney’s fees, arising out of the use of the Hotel or itsowners, servants, agents, and employees.Exhibit AcceptanceThe NCJFCJ reserves the right to accept or reject exhibitor, sponsor and/oradvertising applications based upon space limitations, relevance, appropriateness,timeliness, or other similar criteria. Participation in this program implies acceptanceof the terms and conditions listed herein.Security and InsuranceSecurity will not be provided by NCJFCJ or by the hotel properties.
