We sponsor a Mother-Daughter-Friend Luncheon forall women of the church and their guests, a fund raiser each yearto finance our events and projects and all circles meet togetherannually for fellowship, and study and to coordinate our projects8

WELCA COMMITTEE GUIDELINESEXPLANATION OF OFFERINGSWELCA COMMITTEE GUIDELINESThe work of St Stephen’s WELCA is based on three missions : Action,Community, and Growth. An Executive Committee comprised ofrepresentatives from each circle coordinates the church and communitywide activities related to the focus of these missions. Each circle hasthe responsibility for planning and organizing specific activities relatedto these missions each year. The circles coordinate the activities on arotating basis. The circle responsible for the key projects of the missionestablishes the preliminary plans and members of all circles participatein the activity to ensure the project is successful .Key circle wide activities that are essential to actualizing the followingmissions:MISSION: ACTIONPurpose:This mission deals with how we respond to God’s love. It seeks to establish women to act upon their faith as disciples in all areas of life.We demonstrate this by serving bereavement meals; supporting projects addressing world-wide hunger relief and domestic disaster relief,donating layettes, health kits, and school supplies; providing for theneeds of community homes for women, children, and veterans; andserving meals for students at UofSC.MISSION: COMMUNITYPurpose:This mission addresses how we as women are to relate to each other.It seeks to enable each woman to value herself and others, and to build upand celebrate relationships that are global, diverse, and interdependent.Examples of activities related to the community mission are: planning andsponsoring the annual Mother-Daughter-Friend Event, preparing debtretirement meals, conducting fund raisers to finance events and projects,working with other groups in the church in coordinating church receptions, covered-dish meals, and church-wide social eventsMISSION: GROWTHRegular OfferingsSt. Stephen’s WELCA contributes 250 quarterly to the statewide organization to be used for general operating expenses on the state andnational level. This offering is collected monthly at circle meetings andturned in to the church office or given to the treasurer. It is then sentfour times a year to the state treasurer.Circle OfferingsMost circles have a “Sunshine Fund” which is usually kept in the circle.This fund is often used to purchase food to be prepared for bereavement meals, to send cards to members who are ill and/or shut-ins, tosend greetings to “special friends,” or used in any manner decided bythe membership.ThankOfferingsThese gifts are given in thanks for the many blessings we receive andused to support ongoing ministries of the national WELCA organizationincluding justice and advocacy work administration of grants and scholarship programs and printed and online resources. Members drop acoin in a box at any time they experience a feeling of joy and thanksgiving as a means of showing gratitude to God for our many blessings.”These offerings are collected twice a year within the circle and sent bythe treasurer to the national organization.Purpose:Growth reflects our relationship with God. This mission seeks to providea variety of learning experiences that strengthen each woman as awhole person, develop her potential, and equip her for ministry.Some examples of how we embody growth include providing educational programs; promoting publications of WELCA, informing members ofretreats; supporting conference meetings and conventions; and overseeingthe annual WELCA Sunday worship service,1112

BEREAVEMENT MEAL PROCEDURESALTAR FLOWER PROCEDURESThe pastors will confirm with the family if they would like a family meal, lightdessert refreshments/reception or no meal. If they want a meal, the pastor willnotify the Bereavement Meal Coordinator of the type of meal, time, location andexpected number.The Women of the ELCA and the Worship and Music Committeehave established a joint project known as the Altar FlowerProgram, beginning at St. Stephen’s in 1997. An explanation ofhow this program works is as follows:The Bereavement Coordinator will contact Circle Bereavement Coordinators ona rotating basis with information on the type of meal to be provided and the timeand number of people expected. For larger gatherings more than one circlemaybe asked to serve.The pastors or church administrator will contact the property manager and indicate the number of tables to be set up for meals served in the Social Hall.Information for Circle Bereavement Coordinators A meal should include a meat or main dish, 2 or 3 vegetables, a starch (i.e.macaroni & cheese or potato salad), salad (i.e. green, fruit or congealed),bread, and dessert. Refreshments for a reception should include finger sandwiches, cookies,brownies or other bar type cookies, fruit, cheese straws or nuts. Light dessert refreshments should include cookies or cake/pie. If items are left in the kitchen or refrigerator before the meal, they should bewell labeled. For meals and refreshments that are served at the church, follow the directions on the coffee maker to make tea and coffee. Make sure coffee creamers and sugars are available. Provide pitchers of water as well as sweet and unsweet tea. Lemonademay be provided for reception or dessert meal. Table clothes are in the office. Ask someone to bring flowers and/or greenery from their yard to decorate the buffet table and the round tables if possible. Vases can be found in the closet next to the parlor in the Social Hall. Assign at least 2 to 3 people to set up and serve the meal depending onthe size of the group. Assign at least 2 to 3 people to clean up after the meal. Place dishes in thedishwasher and put them away after it is run or hand wash dishes and putaway. Wash pots and pans and return them to their proper places. Leavethe kitchen clean and tidy. Circle members should take the tablecloths and dish cloths home and launder and return. If a circle needs help purchasing items such as the meat or main course,there are some available funds. Please contact the Bereavement Mealcoordinator. A meal of refreshments may also be delivered to the family home.13At least a week in advance, the Parish Administrator will contactthe person who has agreed to provide flowers for the worshipservice. She will also contact the circle representative for thatmonth to remind her to check the chart for deliveries to be made.The flowers are available immediately after the Wednesday noonworship service. The flowers should be delivered as soon aspossible to members who are hospitalized or shut-ins. If one ormore members are currently hospitalized, it is usuallyrecommended that they receive one of the vases.
