Your employment begins on the commencementdate of your first assignmentYour Reed Consultant will confirm with you the details of eachassignment.Pensions Act 2008Under the Pensions Act 2008, Reed has a duty to automaticallyenrol eligible workers between the ages of 22 and StatePension Age into a qualifying workplace pension scheme.If you meet certain criteria, we will automatically enrol youand pension contributions will be processed through yourpayslip. Reed will be contributing to your pension too and youwill be eligible for tax relief from the government. You willhave the option to join the pension scheme earlier or opt-outonce you have been auto-enrolled.In the event that you have any form of pension scheme lifetimeallowance protection and do not wish to be enrolled in thepension, please email our Payroll Department ontemppayroll.ssc@reed.com, quoting your Payroll Number andstating that you do wish to be enrolled for this reasonReed has chosen to offer NEST as our workplace pensionscheme to meet our employer duties and to help you putmoney aside for your retirement. Equal treatment appliesin two ways:Day 1 Rights which include the right to be informed ofrelevant vacancies within a client’s organisation and accessto collective facilities. Access to low cost healthcare insurance.Week 12 Rights which include basic pay, holiday entitlementand working conditions equivalent to a comparable clientemployee.4

Unlessyour working environment makes it impractical, we need youto be contactable at all times during working hours for thepurpose of managing your assignments.AvailabilityYou must keep us informed of your availability so that we canplan future assignments accordingly. It is expected that you willkeep us informed of your availability on a weekly basis. Youmust also be easily contactable, because we need to be able tocommunicate details of assignments to you at short notice aswell as any special arrangements, for example, timesheetsubmission deadlines around public holidays.You must inform us of: Any dates that you will be unavailable for work, for exampleif you intend to take a short break or a holiday. Any changes in your requirements so that we can find yousuitable assignments in the future. Any change in contact details such as your address, e-mailaddress or telephone number, by logging in to XMS or bycalling your branch.- Professionalism Any circumstances which may affect your ability to reportfor work or finish an assignment.- Reliability If you are or plan to undertake secondary employment.- Hours of Work- Overtime- Rates of Pay- Alcohol, Drugs and Smoking- Dress Code- Fitting In- Confidentiality- Data ProtectionAbout your AssignmentsYour Reed Consultant will provide you with the informationyou require before each assignment commences. The briefingwill cover the company name and address, the contact detailsof the person you should report to, experience andqualifications needed for the role, start date, the hourly rate,any expenses payable and any health and safety issues theclient has indicated.5

Rates of PayWhen we take details of a new assignment from a client, wevisit their premises wherever possible. This enables us to gaina greater understanding of the environment in which you willbe working and ensures we have the information necessaryregarding the assignment.If at any time you find that the information we have given youis incorrect, or if anything changes, such as an alteration tothe hours of work, please let us know immediately. This willassist us in improving our service to you and the clientcompany.During your AssignmentsPlease make every effort to arrive in good time for the startof your assignment and leave all assignments at the agreedtime. If, for any reason, you are unable to attend anassignment, you should contact your Reed office as soon aspossible. You will be expected to complete each assignmentand to follow these guidelines at all times.Please conduct yourself in a professional manner at all timeswhen working through Reed. In particular, we ask you to payspecial attention to: Punctuality Standards of dress and courtesy Consideration and respect for clients, colleagues andsupervisors Confidentiality and integrityProfessionalismWhile on assignment, you are representing Reed, and weexpect you to present yourself in a professional and businesslike manner at all times. This includes punctuality, both at thebeginning of your day, on your return from any breaks and alsoleaving at the agreed time.ReliabilityIf you need time off or are unable to complete an assignmentthrough illness or another acceptable reason, please let yourReed Consultant know well before you are due to start workso there is time for your place of work to plan around yourabsence. We will liaise with the client and arrange emergencycover if necessary. Please notify your Reed Consultant whenyou are ready to return to work.Hours of WorkFor each assignment, you will be advised of the hours of workinvolved. These will vary from assignment to assignment andif you wish to work full-time, you should normally be availablefor a 37.5 hour working week. Similarly, the length ofindividual assignments will vary.OvertimeOn occasion, you may be asked to work overtime, as a highproportion of our work arises because clients have deadlinesto meet. When overtime is required, your Reed Consultant willadvise you if your pay rate will differ from your hourly rate.Your hourly rate of pay will vary from assignment toassignment, although your minimum hourly rate of pay for anassignment will always be set at or above the NationalMinimum Wage.You must meet travel and subsistence costs from your pay.If appropriate, you may seek to claim tax relief in respectof travel and subsistence costs. You will need to establishyourown entitlements (if any) and make an individual claim forthem when presenting your personal tax return.Your payslip will contain details of your pay and youraccrued holiday. You can access your payslips by logging in tothe X3 portal.Alcohol, Drugs & SmokingYou should avoid the consumption of alcohol during workinghours. You are not permitted to be in possession of, to beunder the influence of, or to be taking drugs (other thanspecifically prescribed to you by a registered medicalpractitioner) during working hours. The term ‘drugs’ includesillegal drugs, solvents and legal intoxicants (including legalhighs). You are reminded that smoking (which for thesepurposes includes electronic cigarettes and similar devices) inall enclosed premises and substantially enclosed premises isunlawful. You must adhere to the no smoking policy of thecompany in which you are working.Dress CodeWhenever possible, we will give you guidelines. Unlessinstructed otherwise, always dress in a business-like manner,i.e. suit, trousers/skirt, shirt/blouse and tie.Fitting InAlways familiarise yourself with the layout of the client’soffice/premises. Make an effort to establish good relationswith your line manager and immediate colleagues. Do nothesitate to ask questions – if you are in doubt about anything,then check with the client. You should observe all policies atyour place of work with regard to mobile phone use, makingpersonal telephone calls and sending personal emails. Ifnecessary, ask for permission and keep calls/emails to aminimum.ConfidentialityAll information that you come across during the course of yourassignments must be treated in the strictest confidence.Data ProtectionReed expects everyone who handles or processes Personal Datato comply with data protection law. You must therefore complywith the policies applicable to your assignments. Failure tohandle Personal Data properly can result in fines as well assignificant damage to reputation for the business.Personal Data is any data in any form, from which a livingperson can be identified.Special Category Data must be treated with extra care andsensitivity, and includes the following in relation to anindividual: Racial or ethnic origin; Political opinions; Religiousor similar beliefs; Trade union membership; Physical or mental6

health; Sex life or orientation; Bio metric and genetic data.Criminal Conviction Data is treated largely the same as SpecialCategory Data and should be given extra consideration.For more information on data protection law, you can find it onthe UK Regulators (Information Commissioners Office – ICO)website Home ICO. Give, promise to give, or offer, a payment, gift or hospitalitywith the expectation or hope that a business advantage willbe received, or to reward a business advantage already given. Give, promise to give, or offer, a payment, gift or hospitalityto a government official, agent or representative to“facilitate” or expedite a routine procedure (e.g. abureaucratic approval process of a licence application).Fraud Awareness Accept payment from a third party that you know or suspectis offered with the expectation that it will obtain a businessShould you identify fraudulent behaviour in the workplace whilstadvantage for them.working for Reed, you must notify your Reed Consultantimmediately. Seeking employment through Reed whilst on sick Accept a gift or hospitality from a third party if you know orleave or whilst claiming job seeker benefits may represent fraud.suspect that it is offered or provided with an expectation thatReed is a registered CIFAS member and is required to sharea business advantage will be provided in return.information relating to fraud with the relevant fraud prevention Threaten another worker who has refused to commit adatabases.bribery offence or who has raised concerns that an act ofFraud Preventionbribery has taken place.Reed may check your details with/against fraud preventiondatabases. Should our investigations identify fraud or thecommission of any other criminal offence by you when applyingfor, or during the course of your employment with us, we willrecord the details of this on the relevant fraud preventiondatabases. This information may be accessed and used by lawenforcement agencies, by Reed and other organisations withinthe UK to prevent fraud.Please contact your Reed Consultant if you want to receivedetails of the relevant fraud prevention databases throughwhich we share information.Criminal ConvictionsReed will ask all registering candidates whether they have anyunspent convictions. Candidates applying for any of thefollowing positions cannot classify any conviction as spent: Professions (such as medics, lawyers, accountants, chemistsand opticians).If you fail to comply with the Bribery Act 2010 or theinstructions above, you may be subject to disciplinaryproceedings for gross misconduct. If you are aware or areconcerned that acts of bribery have been committed by Reedor a Client, you should follow the Grievance Policy andProcedure or contact the HR department if you feel this ismore appropriate. Any complaints raised will be treated veryseriously and will be dealt with in the strictest confidence.Fire Safety and Evacuation ProceduresFire prevention is the joint responsibility of everyone in theworkplace. On arrival at a new assignment, it is imperativethat you familiarise yourself with: Location of the fire alarm points Evacuation procedure Location of firefighting equipment Location of fire exit(s) Roles upholding the law (such as judges and officers of thecourt, the police, prison officers and traffic wardens). Fire drill frequency Certain regulated occupations (such as financial services andthose in charge of certain types of nursing homes).Do not take risks. If you discover a fire: Roles working with children, providing care services tovulnerable adults or providing health services. Raise the alarm immediately Do not attempt to extinguish the fire yourself Roles where the work means you could pose a risk tonational security (such as air traffic controllers andcertain Crown employees). If possible, close doors and windows to preventfire spreadingYou must notify Reed of any convictions post registration and/or during your employment. Follow evacuation proceduresBriberyIt is a criminal offence under the Bribery Act 2010 to bribeanother person with the intention of inducing or rewarding thatperson for improperly providing a benefit in return. It is also acriminal offence to receive or request a bribe from anotherperson in return for improperly providing that person with abenefit. A bribe is not simply defined as a cash payment. A bribecan also be non- financial, such as a gift or invitation to ahospitality event.You must therefore fully comply with the provisions of theBribery Act 2010. You must also not: Try to remain calmHealth and SafetyEvery organisation you work in will have its own Health andSafety policy. It is your responsibility to familiarise yourself withthis policy and comply with it at all times. This is in your owninterest, as well as in the interests of your fellow workers. If yourefuse to work for a client on health and safety grounds, we willattempt to find you an alternative assignment.There are various laws relating to health and safety. Thefollowing is not an exhaustive list but a brief guide to someof the general duties prescribed by those laws. Furtherinformation on health and safety can be obtained from theHealth and Safety Executive website (www.hse.gov.uk).7

Under health and safety law it is your duty: To take reasonable care for the health and safety at work ofyourself and any other people who might be affected by youracts or omissions To cooperate with Reed and others to enable them tocomply with statutory duties and requirements Not to intentionally or recklessly misuse anything provided inthe interests of health, safety or welfare Use any equipment provided in the interests of safetymachine can be serviced.Further information can be obtained from the Health and SafetyExecutive website (www.hse.gov.uk). If you have concernsabout your workstation, you should notify your Reed Consultantand the manager of your department.Computer UseWhere our clients grant you access to their computer systems,these must only be used as authorised and not to gain access toany other data or programs. In general, please ensure that you: Follow health and safety instructions Keep any passwords safe Report anything you consider to be a danger Keep to the client’s policies and procedures Report any shortcomings in the protection arrangements forhealth and safety Log off immediately after useAccident ReportingYou have a duty to report all accidents, incidents and nearmisses without delay to both the client and your Reed consultantas soon as possible. Depending on the nature of the accident, itmay be necessary to report this accident under RIDDOR(Reporting of Injury, Dangerous Disease and other OccurrenceRegulations). RIDDOR covers those accidents/incidents wherean injury is sustained and requires hospital treatment and/orcauses absence from work for more than seven consecutivedays. It also includes incidents of a grave or serious nature suchas an unexpected death on the premises or a break-out of aninfectious disease.Workstation SafetyReed is not responsible for the suitability of workstationsused by our clients. If you have concerns over the health andsafety arrangements of the client, you should notify Reed andwe will ask the client to investigate and, if possible, makeimprovements.If your work is predominantly computer based, it is veryimportant that you take necessary steps to avoid injury. Thefollowing are some recommended steps but is not anexhaustive list:PostureYour eyes should be the same height as the top of your screen.Sit firmly back in the chair as opposed to perching on the edgeand try to keep your forearms horizontal when using thekeyboard. Tasks such as filing or photocopying should be used tobreak up long periods of work on the computer.Using a Keyboard and MouseSupport your forearm on the desk and make sure the mouse iswithin easy reach to avoid over stretching. Use a soft touch onthe keys and try to keep your wrists straight when typing.Ensure that there is a space in front of the keyboard to resthands and wrists when not typing. Ensure you take breaks fromintensive mouse work. Observe any local policies and procedures regardingpasswords, storage devices, DVDs/CDs and datastorage/transfer Do not load or introduce any programs onto the computer,unless specifically requested to do so by the clientSocial MediaReed understands that social media is widely used. This mayinclude blogs, wikis, social networks and virtual worlds.However, these sites are for personal use, so please do notlog into any such sites at your place of temporary work. Tobe clear, you must not use such sites at your place of workunless you have express permission from the client, and anybreach of this policy could lead to disciplinary action againstyou.If you are ever using any form of social media, please followthe simple but important guidelines below: Do not make negative comments about Reed or any clientsor candidates of Reed Be professional at all times Do not bring Reed or any clients or candidates of Reedinto disrepute Do not disclose any confidential and personal informationabout Reed, your place of temporary work and/or anyemployees, clients or customers Always follow the lawPlease remember that you are responsible for your actions.If you hold a LinkedIn profile and wish to refer to yourrelationship with Reed, please ensure that your profile showsthat you are a Temporary Employee. Logos must not be usedas part of a profile on LinkedIn, so please ensure that the Reedlogo is not shown on your profile.Pay and Procedures Timesheets- Paper-based TimesheetsEyesTry to prevent the screen from being in direct sunlight or brightlights. You can use blinds to avoid glare and reflections on thescreen. Ensure that the size of text you are using can be readeasily when you are sitting in a normal work position. If thereis a flicker on the screen, report it to your manager so that the Methods of Payment Tax and National Insurance- Tax Status- National Insurance8

- Tax Queries Grievances and Complaint Handling- Whistleblowing- Unsatisfactory ConductTimesheetsIt is your responsibility to submit your timesheet and ensurethat the client authorises it each week. It is important thatyou adhere to the timesheet deadlines confirmed by yourReed Consultant to allow Reed to calculate your qualificationperiod under the Agency Workers Regulations 2010 and toensure that you are paid promptly.In order to prevent delay in payment, you must enter thenumber of hours you work each day excluding lunch breaks.Please note, timesheets run from Saturday to Friday for themajority of Reed assignments but timesheets run from Mondayto Sunday for Candidates working through Reed Nurse, Healthand Doctor.You can update your details, manage your timesheets andpayslips and request your holidays via XMS at www.xmsportal.com.XMS Reed has developed a web-based timesheet system calledXMS that is used by the majority of our clients. This onlinesystem allows you to: Complete and submit your timesheets and holiday requestsfor authorisation View your previous online timesheets Access your current and historical payslipsXMS can be accessed via www.xms-portal.com, togetherwith full details on how to use the system. If you are workingfor a client that uses XMS you will need to register with thesystem via a link sent to your registered email address by yourReed Consultant. After clicking on the link, you will beprompted to set your own password. You should complete thecard at the back of this Handbook and keep it as a handyreminder of your login details.Paper-based TimesheetsIf the client you are working for does not use XMS you will begiven a paper timesheet. The authorised signatory mustsign the timesheet at the end of each week (or at the end of theassignment if this is less than a week). You must provide yourtimesheet to your local Reed branch as soon as it is signedor by the deadline communicated to you by your ReedConsultant at the very latest.*Remember: Ensure that the timesheet you are using is the correct one forthat week. Do not alter your details on the timesheet. Ifyou have an incorrect timesheet, contact your ReedConsultant who will forward you the correct one. Use only a Reed timesheet.* Public holidays may alter the schedule for timesheetsubmission and/or payment days. You will be notified ofany changes in advance.Methods of PaymentPayment is made by the BACS system directly into your bankor building society account. Your Reed Consultant will ask youfor your bank or building society details, which will be enteredonto our systems. You will be asked to sign these to confirmthey are correct.All banks and most building societies* will credit your accountwith your Reed earnings on the same day that they receive thecredit. Please check with your Reed Consultant as to yourcrediting day. If you are using the XMS system, your payslipwill be available online by visiting www.smx-portal.com andlogging in to XMS . Please see the Timesheet section of thisHandbook for details of how to register with XMS . Should youchange your bank or account number, please contact yourReed Consultant with the new details as a matter of urgency.*Some building societies do not operate this same dayprocedure, please check with your building society to see ifthey do.Tax and National InsuranceAs a Temporary Employee you are taxable under the ‘Pay AsYou Earn’ scheme. Please ensure you give your P45 to your ReedConsultant before you commence your first assignment withReed. Provided your P45 is current to this tax year, we will usethe tax code indicated on it for taxing your earnings.If you do not have a P45, please inform your Ree
