Welcome to Genesee Education Consultant Services,Inc. Orientation!Please read through this presentation prior tocompleting New-Hire paperwork.Please make sure you have your photo ID, SocialSecurity card, TB test results if necessary, andcredentialing documentation (degrees, transcripts,resume, recommendation letter, etc.) for a completeenrollment packet.At the end of your enrollment process, you will bephotographed and provided with an ID if youhavesatisfiedtheOrientationprocessrequirements.

Located at G-6235 Corunna Road, GECS provides hoursof service 8 a.m.- 4:30 p.m. daily.Genesee Education Consultant Services, Inc. (GECS) is anon-profit corporation under the Genesee CountyEducational Foundation.Its first employees were hired in January, 2012.GECS is an employment agency providing qualityemployees throughout Genesee County.Currently, GECS employs over 1,500 people in manyschool districts throughout Genesee, Lapeer, andOakland counties.We provide cost-effective, collaborative employee services.

Your employment is completely at the will ofyou and GECS.It can be ended at any time by you or GECS forany reason not prohibited by law.You are not under contract or a member of abargaining unit with GECS.You will sign a form in your packet indicatingyour understanding and agreement after youreview the policies listed on the statement.

Employersare required to submit theNew Hire Reporting Form to the Stateof Michigan. The form is included inyour enrollment packet. Pleasecomplete the mandatoryemployee information section of thisform.

TheConviction Disclosure Form isincluded. You must disclose whether or notyou pled guilty, no contest, or have beenfound guilty of any crime. (Initial whicheveris applicable.) Indicateany felony and misdemeanorconvictions—Review the “ConvictionsRequiring Disclosure for School Employees”list—this list is yours to keep.

Explain all crimes (offense, date, court,city,state,circumstancesaroundconviction and disposition of charges)You cannot be employed by GECS if you havebeen convicted of a felony, unless it is approvedby GECS Board of Directors.In the unlikely event you are arraigned for anyfelony or misdemeanor while employed, you needto report it to GECS’ HR Department. (See pg. 15of the Employee Handbook for the disclosureform)

All employees working in a school setting are requiredto have a criminal records check. If you have never been fingerprinted before, you willneed to request a Livescan Request Form from yourhiring district.If you have been fingerprinted before and haveNOT had a break in service, your print results willbe requested from the holding district.Your employment is contingent on the review ofyour criminal records check by your hiring district.

This form is available on this website. It maybe required depending on the reason forabsence or at the discretion of yoursupervisor. If you are unsure, call in on theday of your absence.Your supervisor will sign the form and send itto GECS’ office.You can download additional forms fromGECS’ website @ www.gecs-inc.org underStaff Resources/Forms.

Thenext slide shows an example ofhow to complete the Biweekly RecordsTimesheet. Onthe last Friday of GECS’ payrollperiod, you will complete and submityour Biweekly Record Timesheet to yourSite Coordinator or Payroll Secretary, i.e.your 1st level of approval.

Fill in ALL dates toensure the properdate is recorded onthe correct day.** Please make sureto sign the timesheetAND have yoursupervisor sign it aswell.Not getting asupervisor signaturecould result indelayed pay.

Your Site Coordinator or Payroll Secretary willsubmit your Biweekly Record Timesheet toyour Supervisor for final approval, who willsend it to GECS payroll department by theTuesday after the payroll period ends.If you submit your Biweekly RecordTimesheet late, you may not be paid untilthe next applicable payroll period.More forms are on GECS’ website@ www.gecs-inc.org under Forms.

You will find this 2019-20 calendar on theGECS website (Staff Resources PayrollCalendar).Please keep in mind that there is a two-weeklag in payroll timing.Please note when your timesheet is due.

Below is a sample on how the processworks. Sally began working 6/11/12. Her 1st payroll period ended on Sunday, 6/24/12. Provided she submitted her Biweekly Record onFriday, 6/22/12, she would have received herpayroll deposit on 7/6/12.

If your job requires the use of a computer,you will be asked to sign an acceptable usepolicy. Please make sure you read itthoroughly. It is yours to keep for futurereference.You are not to use company/districtcomputers for recreational or personalpurposes.If working with students using computers,make sure they are supervised.

If relying on the Internet for your job, makesure you have a back-up lesson plan if itthe system should be inaccessible.Always check with your worksite supervisorbefore disseminating any studentinformation to ensure signed parentalpermission slips have been obtainedauthorizing the dissemination!

Employee web is a useful tool to view paystubs, W4 information, ReasonableAssurance letters, and other importantinformation.You will receive a six digit employee ID so you canaccess the Employee Web. This will be sent onceyou are cleared to start working. Please save the IDfor future use to access your wages. You also needyour ID Number to access online training modules.Your PIN for the Employee Web will initially be thelast 4 digits of your SSN—if you wish, you can

change your PIN anytime after logging in to thesystem.

You can access the Employee Web throughGECS’ website @ www.gecs-inc.org underStaff Resources/Employee web. The Employee Web allows you to view andprint your basic info, contacts, attendance,deductions, W4 info, payroll (current andhistory) and W2 info once your first payrollis processed.

Youwill find this form in your packet. Complete the EmployeeHandbook Acknowledgementform. You can access the Employee Handbookonline at GECS’ website at: www.gecs-inc.orgunder Staff Resources/Employee Handbook. Itis password protected and the password is:GECS2012PW. You must use all caps because itis case sensitive.

Pleasereturn the receipt to GECS afteryou have read the Handbook online.

Dependingon your position, you mayneed to provide proof of negative TBtest results before you can begin work.TB test results must be within previousyear.

Your worksite supervisor will: Set your work schedule and calendar. (days/weeks,start/end hours, lunch, and break recess periods) Explain how to call in absences. (and time off) Determine the appropriate dress code. Assign you the tasks to be completed. Provide input andshare information to GECS, along with monitoring andsharing your performance with GECS HR. Provide you with knowledge of the workplace safety drillsand procedures, regarding emergency situations. Make sure you are familiar with your worksite location’ssafety plans and your responsibilities.

Feedback Your supervisor may completeFeedback forms regarding yourperformance. HR Contact HR for general informationregarding training, work related injuries, TBtest updates, auto insurance updates, etc. Parking Do not park in Handicapped (unless youhave a permit), Reserved, or Visitor Parking,

nor in driveways or school bus loadingzones.

Ifschools are closed due toinclement weather, you may or maynot be paid, depending on youremployment contract. WatchWJRT-TV 12 or listen to WCRZ(CARS 108FM) for school closings. Otherstations are listed in the handbook.

Administrative GuidelinesThese will soon be available on the GECS websiteat www.gecs -inc.org, under the Staff Resourcestab. You are responsible for reviewing these. Bloodborne Infectious Diseases Exposure Depending on the position, annual trainingis required to eliminate or minimizeemployee exposure. Training is mandatory for employees working withchildren; check with your worksite supervisor for thetraining plan. Training is available at the GECS websiteonline accessible with an employee IDNumber.

BombThreat/Suspicious Objects If you receive a bomb threat, notifythe principal/administrator (or designee)at your worksite location immediately. Review the Bomb Threat Phone Check Sheetin the Employee Handbook (pgs. 26-27). Make sure you know yourworksite’s procedures.

CorrectiveAction(pgs. 29-32) Generally progressive, but depending onthe circumstances, could result in acceleratedaction. Three levels: Verbal warning Written Warning Termination

Reportof work related IncidentAccident/injury/communicable disease/ suspectedexposure to Bloodborne Infectious Diseases (pgs. 56-58). Immediately report to your supervisor.Complete the report form, available in all buildingsand bus garages.Person you report incident/exposure to will forwardit to GECS.

Confidentiality(pgs. 28) Donotdivulgeconfidentialinformationcontained in any records or files of GECS oranywhere where you are working as an employeeof GECS. Do not divulge confidential information toany other employee unless he/she needs itfor their job. Social Security Numbers are restricted and to bekept secure. If you are asked for confidential information, referthe requestor to your supervisor.

Equal Employment Opportunity/NonDiscrimination(pgs. 38-40) GECS does not discriminate on basis of race, color, religion,national origin, sex, disability, age, height, weight, maritalstatus or any other legally protected characteristic.

Harassment/Bullying(pgs. 41-53) Harassment of employees, applicants foremployment or students is prohibited. In the unlikely event that you feel you arepersonally being harassed or bullied, contact yoursupervisor immediately. If you are notcomfortable contacting your supervisor, contactthe Human Resources Department or the CEO.

Safeand Drug-Free Workplace(pgs. 59-66) GECS employees are strictly prohibited from: the unlawful manufacture,distribution,dispensing,possession and/oruse/consumption of, orbeing under the influence of a controlledsubstance and/or alcohol anywhere inthe workplace or while performing jobresponsibilities.

Professional Dress Code(pgs. 67-68) GECS employees are expected to set an examplein their dress and grooming, dressingappropriately for their position. They are to present an image of dignity thatencourages respect. Dress requirements may be more extensive,depending on an employee’s position.

Staff Ethics(pg. 69) All GECS employees are expected to maintain highstandards in their working relationships and inperformance of their professional responsibilities. Employees must exercise due care to protect themental and physical safety of students, colleaguesand subordinates.

Tobacco Free and Weapon Free Schools(pgs.71-72) You are prohibited from using tobacco productson school grounds, in district facilities, in vehiclesparked on school property and in school busesand other school vehicles. You are also prohibited from carrying orpossessing a weapon on school premises withoutprior written approval of the worksite supervisor.

TobaccoFree and Weapon Free Schoolscontinued (pgs. 71-72) Weapons include, but are not limited to: Firearms including guns of any type Knives and Razors Clubs Electric weapons Metallic knuckles and Martial Arts weapons Ammunition and Explosives.

WorkplaceSafety(pgs. 78-79) GECS wants to ensure its employee’sworking environments are free fromdisruptive, threatening and/or violentbehavior. Employees are responsible for maintaininga safe work environment and participatingin investigations as necessary.

Workplace Safety(pgs. 78-79) If an employee is involved in an investigation orprovides information during an investigation,steps will be taken to ensure he/she does notsuffer retaliation. Employees involved in inappropriate workplacebehavior may be subject to corrective action.

You will be able to receive an ID badge after yourorientation paperwork is completed and turned intoGECS. ID badges are made at the GECS office; 6235Corunna Road, Flint, Suite “C”.Your orientation paperwork is located at www.gecsinc.org Staff Resources Employment paperworkunder “forms”. Paperwork can be: Faxed (810) 720-4341 Scanned and emailed contactus@gecs-inc.org Though, It is highly recommended that paperwork is taken tothe GECS office to ensure it is completed correctly in order to bepaid timely.
