To help plan, expect an average daytime hightemperature of 82 F with an evening low of 66 F. The average rainfall in is 2.8 inches. The Boston Convention andExhibition Center utilizes air conditioning to maintain minimal comfort levels during move-in and move-out but werecommend that you plan to wear attire that keeps you cool during these times.Booth GiveawaysExhibitors may conduct giveaways in their booth, as long as all promotion and the drawing itself takes place within thecontracted exhibit space. ASHE will not announce winners of exhibitor booth giveaways over the microphone.Booth PackageExhibit booth back walls will be black drape (8’ high) with black (3’ high) side drape. A company identification sign (7” x44”) will also be provided. Any additional furnishings and services can be ordered by using the forms in the ExhibitorServices Kit. Please note that the hall is not carpeted and all exhibitors are required to carpet their booth(s).Exhibitors may bring their own carpet or may rent carpet from The Expo Group. The aisle carpet is still being determinedby ASHE.BrandingASHE has created an Exhibitor Marketing Kit to help exhibitors promote their presence at this conference. The ExhibitorMarketing Kit can be found under the Exhibitor Service Kit section of the Exhibitor Resources Page and includesexhibitor/sponsor logos, sample email copy, social media information and more. Business ServicesThe Boston Convention and Exhibition Center “Business Center” is located on Level 1 of the Center and offers a variety ofservices for clients. The UPS Store is your full-service business center, offering UPS shipping, spiral and steel backbinding, banners, posters, computer and copier rentals, and shredding services. For more information about services,email USA1323@FEDEX.COM.Catering / Food / Beverage DispensingAny exhibitor wishing to provide food or non-alcoholic beverages in their booth during exhibit hours must receivepermission from ASHE Show Management. Serving alcoholic beverages in exhibit booths is strictly prohibited. Forinformation on how to submit item(s) for approval, email ASHE@smithbucklin.com. Please note that outside food andbeverages are prohibited and any items provided should be ordered through the Boston Convention and ExhibitionCenter’s Catering Department, as the official food service provider.City of BostonYou won’t find a city more multicultural, vibrant, and immersing than Boston. To help you plan for your trip, visit this site.Contract Conditions/Rules & RegulationsExhibitors must comply with all of the policies, rules, terms and regulations contained with this manual. A copy of ASHE’sContract Conditions/Rules & Regulations is included in this Exhibitor Services Manual under the Rules and Regulationssection. Exhibitors are responsible for compliance with all facility regulations and codes concerning fire, safety and health,which may be applicable in the exhibit hall during the event.Convention CenterBoston Convention and Exhibition Center415 Summer St,Boston, MA 02210The Exhibit Hall is located on the Exhibit Level of the BCEC in Exhibit Hall A. For more information on travel and hotelarrangements, please refer to the Housing and Registration section of the Exhibitor Service Kit.Directory of Contractors & Staff ListIn the past, unofficial vendors have reached out to exhibitors to solicit business, giving the impression they are an officialASHE vendor. A full list of ASHE staff and the Directory of Contractors & Staff can be found in the General InformationSection of the Exhibitor Services Kit. If unsure of a vendor, please ask a Show Management representative or refer to theDirectory of Contractors & Staff.Dismantling of ExhibitsExhibits are to be kept intact until the closing of the Event on at 2:00 pm on Tuesday, July 19, 2022. No part of an exhibitshall be removed during the Event without special permission from ASHE Show Management. Any Exhibitor who beginsdismantling of its booth before the close of the Event may lose part or all of their priority points and may entirely lose theprivilege of exhibiting at future ASHE events. All carrier must check-in by 10:00 am on Wednesday, July 20, 2022. Allfreight must be removed from Facility by 12:00 pm, Wednesday, July 20, 2022. If exhibits are not removed by this time,ASHE reserves the right to remove exhibits and charge the expense to the Exhibitor and ASHE shall have no liability forany loss or damage to Exhibitor’s exhibit property caused by such removal.Exhibit Hall Admission HoursExhibitors will be allowed on the exhibit floor at the following times:Saturday, July 16Sunday, July 17Monday, July 18Tuesday, July 19Wednesday, July 208:00 a.m. to 5:00 p.m.8:00 a.m. to 5:00 p.m.7:00 a.m. to 6:00 p.m.9:00 a.m. to 8:00 p.m.8:00 a.m. to 12:00 p.m.Exhibitors can gain access to the exhibit hall Saturday, July 16 starting at 8:00 a.m. by obtaining a wristband at theexhibit hall entrance from the security guard. Starting on Sunday, July 17 an ASHE Exhibitor badge is required foradmittance to the exhibit hall. Management representative onsite to receive an Early/Late Pass. ASHE Show Management’s onsite office will belocated next to the Exhibitor Service Center in the back of the Exhibit Hall.Exhibit Space SelectionASHE utilizes a priority point system outlined below to assign exhibit space.Points:1 point will be awarded for each 10' x 10' booth space rented at the 1995, 1996, 1997, 1998, 1999, 2000, 2001, 2002,2003, 2004, 2005, 2006, 2007, 2008, 2009, 2010, 2011, 2012, 2013, 2014, 2015, 2016, 2017, 2018, 2019, 2020, and2021* Annual Conference.1 point will also be awarded for each year of participation in the 1995, 1996, 1997, 1998, 1999, 2000, 2001, 2002, 2003,2004, 2005, 2006, 2007, 2008, 2009, 2010, 2011, 2012, 2013, 2014, 2015, 2016, 2017, 2018, 2019, 2020, and 2021*Annual Conference.Additional points shall be awarded to companies that sponsored activities/functions at past Annual Conferences. If anexhibiting company purchases a joint sponsorship for the Annual Conference and the International Summit & Exhibitionon Health Facility Planning, Design & Construction (PDC Summit), and the exhibiting company exhibits at both the AnnualConference and PDC Summit, the points shall be divided between the two events. Points shall be awarded based on thedollar amounts outlined below. Total points will be a cumulative score of these criteria.Points: 5,000 – 9,999 10,000 – 14,999 15,000 – 24,999 25,000 – 34,999 35,000 and above1 point2 points3 points4 points5 pointsASHE reserves the right, at its sole discretion, to modify the floor plan to accommodate space sales or to avoid conflicts,and, should conditions dictate, ASHE reserves the right to adjust the floor plan and relocate exhibit booths as necessary.Exhibitor Appointed Contractors (EACs)All Exhibitor Appointed Contractors (EACs) must obtain a temporary set-up/tear-down wristband from the security guardsfor access to the exhibit hall during move-in and move-out. All EACs must be registered using the EAC Notification Formlocated in The Expo Group section of the Exhibitor Services Kit by Monday, June 20.Exhibitor EventsExhibitor activities that conflict with the conference program are not permitted. If an exhibitor wants to host event, theyshould fill out the Meeting Space and Ancillary Event Application located in the Exhibitor Services Kit and return to ASHEShow Management at ASHE@smithbucklin.com by Tuesday, July 5.Exhibitor LoungeASHE will provide an Exhibitor Lounge for exhibitors’ enjoyment on the show floor. Plan to stop by for complimentarycoffee and snacks throughout the day.Exhibitor Service CenterThe Expo Group will staff an Exhibitor Service Center throughout the show to help exhibitors with all of their orders. TheService Center will be located in the back of the Exhibit Hall. Exhibitors may follow up on advance orders as well as placeany onsite orders at the Exhibitor Service Center. Unofficial housing vendors may reach out to exhibitors to solicit business, giving the impression they are the official ASHEhousing vendor. The Omni Boston at the Seaport and The Westin Boston Seaport District will not call exhibitors to makehousing arrangements. Exhibitors will receive the link to book housing in their registration confirmation email, as you mustbe registered before booking your housing. The housing cut-off date for all hotels is Thursday, June 16 (given there isstill availability), but exhibitors are encouraged to make hotel reservations as soon as possible as we anticipate that theroom block will fill up quickly.Lead RetrievalCVENT is the official LeadCapture vendor of the 2022 ASHE Annual Conference. LeadCapture Licenses can bepurchased through the Exhibitor Registration Portal with access provided to the primary contact for your company.Mobile AppThe 2022 ASHE Annual Conference - Mobile App will be available in the iTunes and Google Play stores in July 2022.There will also be a mobile web version for anyone using a device other than an iOS or Android platform.Each exhibitor is entitled to a complimentary listing in the Mobile App including a 35-word company description. Allcompany information within the Mobile App will pull directly from your company’s profile within the ExhibitorRegistration Portal (powered by Cvent).ParkingThe Boston Convention and Exhibition CenterThe Convention Center offers self-parking begin at 20 for regular sized vehicles in its south parking lot. Valet parking isalso available during most events for 30. In the event that onsite parking has reached capacity, additional parking maybe available at either the Boston Marine Industrial Park (BMIP) Garage or various parking lots on the Waterfront. Allalternate parking lots are on a first come, first served basis and are within walking distance of the BCEC. For information,review the parking website or email info@massconvention.com.PaymentExhibit space and sponsorship payment is due on or before Friday, July 1. Payment is due immediately from exhibitorsand sponsors who sign up after this date. Exhibitor BadgesExhibitors are provided (3) complimentary Exhibit Hall badges and (1) complimentary Full Conference badge for the first100 sq. ft. of exhibit space purchased. Exhibitor badges are for Exhibitor’s full and part time employees or contractors.Exhibitors who purchase more than 100 sq. ft. are provided four (4) additional badges for every 100 sq. ft. purchased.Additional Exhibit Hall badges are 100 each and Full Conference badges are 750 each. Exhibitor badges are for theexhibit hall only and do not allow access to concurrent sessions. Event attendees do not have access to the Exhibit Halluntil Monday, July 18 at 10:30 am. Exhibitors who give their badges to an Event attendee in order for the attendee to gainaccess to the Exhibit Hall prior to this time may, at the sole discretion of ASHE, lose part or all of its company’s prioritypoints, and may entirely lose the privilege of exhibiting in future ASHE events. ASHE reserves the right to give an ExhibitHall pass to any Exhibitor or Event attendee in order to grant them access to the Exhibit Hall at any time.Exhibiting company employees can pick-up their badges at registration desk in the Boston Convention and ExhibitionCenter beginning at 6:30 a.m. on Sunday, July 17.Exhibitor LunchAll exhibitor badges, i.e. complimentary and additional badges purchased, include (2) lunch vouchers redeemable at theBCEC’s concession stands during the event.ScheduleYou can view the 2022 ASHE Annual Conference schedule online here. A detailed Exhibit Hall schedule can be found inthe General Information section of the Exhibitor Services Kit and in the Exhibitor Schedule section of this ExhibitorResource Guide.SecurityIndependent guards will be engaged to provide protection for the overall exhibition from the beginning of move-in to theend of move-out, but not for any particular exhibit. The Boston Convention and Exhibition Center, ASHE, Smithbucklin,The Expo Group and the security vendor are not responsible for the safety of the property of exhibitors from theft, damageby fire, accident, vandalism or other causes. ASHE strongly recommends that each exhibiting company secure a riderpolicy through its insurance agent to cover all booth and display items during transportation to and from this conference,as well as during installation, exhibit days, and dismantling.
