Any exhibitor failing tooccupy space contracted for is not relieved ofthe obligation of paying the full rental price forthat space, and LeadingAge New York has theright to use any space not occupied by 6:30p.m. on May 22, 2018.2. Cancellation of Exhibit Space. It isunderstood that there will be no refund ofthe exhibit fee if the contract is canceled afterApril 14. Cancellation on or prior to thatdate requires payment of 25 percent of theexposition fee.3. Insurance. Alldecorative materials must be fire-resistantand in accordance with the standardsestablished by the National Board of FireUnderwriters. Certificates attesting thatall materials referred to have been flameproofed must be notarized and submittedupon request. Exhibitors may startinstalling displays on Tuesday, May 22, 2018 at9:30 a.m. and must be completed by 6:30 p.m.4.Dismantling Date. Dismantling of theexposition will begin on Wednesday, May23, 2018 after the prizes are awarded(approximately 2:45 p.m.). All exhibits mustbe packed at the close of the show andremoved from the Saratoga City Center/The Saratoga Hilton no later than 5 p.m.on Wednesday, May 23, 2018. Freight notremoved by 5 p.m. will be transferred outof the Saratoga City Center/The SaratogaHilton at the expense of the exhibitor.Damage Control1. Protection of Building. Nothing should beposted, tacked, nailed, screwed or otherwiseattached to columns, walls, floors or otherparts of the building or furniture. Whateveris necessary to properly protect the building,equipment or furniture will be at the expenseof the exhibitors. Exhibitors are liable for anydamage they cause.2. Plastic for Floor Surfaces. Plastic sheetingmust be placed under all machinery or displayscontaining oil or other substances that mayleak onto the floor surface. Please bring thiswith you.Security1. Guard Service. Security guards will be inattendance Tuesday, May 22 and Wednesday,May 23, 2018.Aesthetic Aspects1. Backgrounds may not exceed the heightof the rear curtain (8’). The sides of thedisplay must not exceed the height of theside curtain (3’) except in those instanceswhere side support is deemed necessary forsupport of the back of the display. It will bethe responsibility of the exhibitor to ensurethat his/her display is aesthetically finished onall sides visible to the public.2. Obstructions. In no case may any decoration,sign or fixture interfere with another exhibit.3. Appearance. All displays should be professionallooking so as not to detract from the overallappearance of the exposition.Miscellaneous1. Food/Beverages. No food or beveragesmay be served in the exposition area unlesswritten permission has been obtained priorto the event.2. Registration. Show management shall havesole control over admission policies at alltimes. All persons visiting the conference andexposition, as well as exposition personnel,shall be required to register and wear anappropriate badge while in attendance.Only registered conference attendees andregistered booth exhibitors are allowed inexposition area.3. Sales Signs. The exposition is not a specificsales facility for individual exhibitors. Itspurpose is the promotion and stimulationof interest in, and demand for, the industry’sproducts and services in general, andit is conducted in a manner reasonablycalculated to achieve that purpose. Nosigns of any nature may be displayed onor near any equipment or supplies orany part of an exhibit booth, nor may anyprinted information be distributed that anysales were made during the exposition.The right to exhibit does not constitute anendorsement of product or service.4.
