Matters arising from the Minutes:a) Council Rates: Emails regarding this matter were sent to MRS on January 15thand again on January 27th but there has still been no reply from MRS. Meetingsthat had been arranged between SIMRA and MRS have been cancelled on at least2 occasions in the past 2 months.It was decided that the Appeal decision between RAAFA at Erskine and theMandurah City Council be forwarded to MRS to be attached to their submissionto Melville City Council.

As some residents are still concerned about whether they should pay their rates itwas decided that Graeme Brown would circulate updated information on thismatter.Moved: Ted Johnston; Seconded: Helen Hope; Carried.b) Maintenance and Replacements Guidelines Response: Two papers have beenprepared by Ted Johnston.MRS Maintenance and Replacement Guidelines Version 1 – SIMRA responsesaddressing:a) Villas - external and structural.b) Villas – plant and externalc) Villas and Apartments internal.Maintenance Guidelines Unfairness. The Leases are legal and we have signedthem but we consider that some things are unfair. It was decided that these papersbe forwarded to WARVRA for consideration.Moved: Ted Johnston; Seconded: Glenda Raison; Carried.Thanks Ted for the work that has been put into the preparation of these papers.c) SMRA Membership: The updated welcome letter and SIMRA information hasbeen circulated and now delivered to new residents. It was decided that a list ofnon-members would be supplied to Yvette and all Committee members. Afunction is being considered to be held later in the year which will be free orsubsidized (by SIMRA) and be invitation to only residents who are members.d) Future storage for Revue costumes and props: Andrea reported that a suitablestorage space has been found for the costumes and props. These will be movedsoon. Many thanks to Edith Sharpe who has managed all these in her apartmentfor some years now. This has been much appreciated.e) Renaissance Walkway: We are still awaiting a response from MRS on thismatter.f) Plants in Homestead: Andrea reported that the scope and quote had beenaccepted and these will be delivered at the end of February or early March. Thesewill be totally maintained by the company providing them.8. Reports:a) Social Convener: (Attached) The cost of special entertainments remains at 10per head. This covers the cost of the entertainment and leaves a little over fordecorations etc if needed. It was decided that we advertise that the tables beavailable for people to select (and set if they wish) from 3pm on the day.Glenda will present the Social Convener’s report in Yvette’s absence at theOGM.Yvette discussed an email from George Forbes about running a fun day on AnzacDay from 4.00pm in the Garden Cafe. Following discussion it was decided toendorse the proposal, and because SIMRA funds were currently in a goodcondition, it was recommended that proceeds from the day should only bedonated to charitable organizations. Yvette is to discuss with George.

b) Finance Sub-Committee: Graeme Hickmott said that as there are somediscrepancies in the end of year figures so it is still under discussion. A meetingis being held on 6th February with St Ives to finalize.c) Treasurer’s Report: (Attached) Bill Loneragan (Acting Treasurer) presented theTreasurer’s Report.Moved: Bill Loneragan; Seconded: Sandra Smith Carried.Accounts were passed for payment.Moved: Ted Johnston; Seconded: Yvette CorbettSandra thanked Bill for standing in as Treasurer in her absence. Bill thankedGlenda for looking after the books while he was away over Christmas.d) Communications Report: At a recent meeting of the Communications SubCommittee it was decided that SIMRA should replace the current informalarrangement with the Website Administrator, Des Birt, with a formal agreement,and that SIMRA should pay a monthly fee for his service instead of the sponsorpaying him direct. This was approved by the SIMRA Committee and TedJohnston will draw up a contract. Income from Website sponsorships (currentlyonly Terry White Chemist) will be retained by SIMRA. Further sponsorshipoptions will be investigated.9. General Business:a) Electricity costs/New contract/Electricity Audit. Graeme Hickmott advised thatthere had been a problem with the rate charged last July and analysis and adjustmentsare being investigated.b) We will ask MRS again for an update of the Energy Audit. There has been noinformation from MRS regarding the new electricity supply contract to apply fromend of March, and an email has been sent to MRS via St Ives asking for details.c) Ponds update. Andrea reported that quotes have been obtained and agreed beforeChristmas and St Ives are still waiting for MRS to approve the go ahead.d) Phone outages and /medi alert concern. After many calls to Telstra to fix theproblems and the problem still not solved the meeting decided that Graeme Brownwould write to Peter Tinley about the frequent phone outages in the village and ourconcerns because the medi alerts don’t work when the landline is down. An issue isthat Telstra will not talk with St Ives about residents problems because residents areindividual account holders, not St Ives.e) Arrangements for OGM on February 15th. The afternoon tea after the meeting willconsist of tea and coffee served by the ladies who do the morning teas, sandwichesorganized by Margaret Loneragan and a group of helpers, and slices made by ladiesin the village. Thanks to all these people for their support.f) St Ives monthly account system. Andrea reported that there has been someconfusion and mistakes made with the new accounting system.

g) Kitchen modifications in the Den. The Committee is of the opinion that it is time toupdate the Den. Glenda Raison, Graeme Hickmott and Leon Watt will prepare asubmission to Andrea.h) Restaurant prices for young children. Andrea and David (the Chef) are currentlydiscussing this issue.i) Possible use of paper/plastic/wipe able tablecloths for large events. This would beconsiderable saving on the cost of laundering the tablecloths. This is beinginvestigated.j) Cinema: Andrea suggested that the office should keep a list of those who borrow thekey and check that they are aware of how to work the system.k) TV in Garden Café: We are investigating the possibility of raising the TV to enableit to be seen across the whole of the café.l) Keyboard for the village: Brian Hanks presented a verbal quote for a new keyboardfor approximately 2000. The old keyboard needs repairs. The meeting decided thattheir preference is for the purchase a new one and would approve the cost. Howeverwe are not keen to spend a lot of money fixing the old one.m) Security in the Village: The Farrington Road gate and the Windelya Rd South gatehave not been closing properly and there has been evidence of intruders inside thevillage at night on a few occasions.Andrea reported that both gates have now been repaired and emphasized that peopleshould make sure that the Farrington Rd pedestrian gate shuts properly when theycome through.‘Eyes on the Street’ and CCTV on the gates are being investigated.Andrea stressed that people should always report the presence of intruders to theOffice or Duty officer.n) Synthetic sports Grounds at the University: As a result of this the village will havenowhere to dump our green waste. Andrea is investigating monthly Skip Bins.o) Computer for the audio visual system in the Homestead: A new computer hasbeen purchased for use with the new system. This will enable any Speaker to showtheir talk on the big screen no matter what their system.Today was the second anniversary of Andrea‘s management in the Village. She was presentedflowers marking the occasion thanking her for her work over the past 2 years.Next Meeting: Thursday March 2nd.

SOCIAL CONVENORS REPORT – JANUARY/FEBRUARY 2017The Christmas Dinner without entertainment was well attended. Interestingto note that many residents attend both functions.The Family Christmas Buffet Lunch got off to a slow start but eventually wasvery successful. Beaumonde Caterers did an excellent job. If we have thisfunction again this year I would set-up two food stations. We were extremelylucky with the weather and having it on the verandah made for a very pleasantsetting. It was also nice to be able to acknowledge and celebrate two specialbirthdays at this event.Christmas Dinner with entertainment by Glen – Stepback Guitarist was a veryhappy occasion. Food as usual was excellent and the evening was mostenjoyable.New Years Eve saw possibly the highest number of residents at a function.Atmosphere was great. Only one minor niggle with a resident notunderstanding/or appreciating why these functions have to be advertised asFREE SEATING.When arranging mid week functions with entertainment I recommend we setthe price at 10 per head. This is reasonable and allows further entertainmentto be booked without using funds from the Residents Association.I would also like to thank the residents who help at these events be it settingup tables and chairs, washing glasses and generally leaving the Clubhouse aswe find it.FUTURE EVENTSMid week function – Beatles and Buble - MarchCoach trips booked for March, May, July, September and December.Have contacted Royal Navy Band – awaiting to hear from them.7th Heaven – decision if we use them for Members only function.SOCIAL CONVENOR29/1/17

The number of people, who used the site during thetime shown, is in the table and graph below.Considering there are 514 residents, and some of our ‘users’ have one logon for two residents sothis could be about 41% of residents have used the site in the last two weeks. The huge increase in ‘most recent users’ was due tosending out emails notifying users of articles of importance to the whole village.Mostrecent 14daysBetween14 and 100daysThis graph shows the number of articles enteredduring each month since August 2014, when thesite commenced.Event CalendarThe event calendar was used to produce Diary Dates. Thanks to the Website Editors whocontinue to keep the event calendar correct.

The Calendar software has been improved: Sunday now shows in the ‘week’ view.Events that have been edited or added show on the calendar as soon as the event has beensaved. Events can now be deleted without the website crashing.It should be noted that the event calendar is used for events that any resident or their guests canattend. There are other informal events where the facility is booked, but does not show on theevent calendar or Diary Dates. These bookings are however kept in the office. Residents need tobe aware of these, events as well, when looking for a facility to book.MATVChanel 351 has been working OK; Chanel 352 is showing the 2016 Revue.Phone ListUpdated lists were placed on the Website during January (thanks Kaye). An additional list thatincludes street names has been also added to the website.Library PC’sKaye has checked both of the library computers, and reports: I tidied up the Windows computer (so messy - bookmarks especially) checked the Windows computer history - all good checked the iMac. tidied up the desktop. installed the “new” operating system - OSX Sierra checked all applicationsEverything is working well.We are fortunate that Kaye manages these computers for us!Geoff Hurle, 27 January 2017
