Income Protection PlanAll new, permanent UCD employees are automatically included in the income protection plan. Thebenefits are underwritten by Irish Life Assurance plc and details are outlined in your employee welcomepack. Permanent employees not already in the scheme are welcome to join. The object of the plan is toprovide financial protection in the event of permanent disability and to supplement any early retirementpension available under the pension scheme and State benefits (if any). It also provides a source ofincome in the event of long-term partial disability provided such disability follows a period of receipt ofbenefit for total disability. Further details are available from UCD Personnel (T: 353 1 716 1384).Life Assurance PlanUCD operates a life assurance plan for permanent employees underwritten by Irish Life Assurance plc.The object of the plan is to provide an additional lump sum for the benefit of your dependants and/orestate in the event of your death while in service. The lump sum would supplement the benefit payableunder the UCD pension scheme. Further details are available from UCD Personnel (T: 353 1 7161384).Leave ArrangementsMaternity Leave is available for a period of 26 weeks to female staff under the terms of the MaternityProtection Act 2005. An additional period of 16 weeks leave may be taken immediately following thematernity leave period. Time off for ante and post-natal medical appointments will be given as necessary.Paternity Leave of up to three days paid absence is available for fathers on the birth of a child. Leave isalso provided to facilitate the father’s attendance at the last two antenatal classes prior to the birth wherethese are not available out of working hours.Carer’s Leave provides for the temporary absence from employment of employees for the purpose of theprovision of full-time care and attention to a relevant person requiring it. Under the Carer’s Leave Act2001, a relevant person is defined as one who needs continuous supervision. Carer’s leave can be takenas a continuous block of 65 weeks for each relevant person.Compassionate Leave may be granted for a maximum period of three days in any 12-month period at atime of emergent personal or family need (death or critical illness in the immediate family).Full details of these and other leave arrangements can be found in the staff manual available athttp://www.ucd.ie/personl/html/manual/staff manual.htmlPensions and BenefitsUCD operates a staff pension scheme for permanent staff members. You can also find out about transferring a previous pension to the UCDpension scheme. Those staff and students ineligible for the staff pension scheme can avail of a PRSA(Personal Retirement Savings Account). PRSAs were introduced in 2002 to provide an alternative to thetraditional pension style product and broaden the scope of pension provision. They are available fromvarious financial institutions such as banks, building societies or through a financial advisor. Revenue/Tax OfficeRevenue's core business is the assessment and collection of taxes and duties. Revenue's mandatederives from obligations imposed by statute, by Government and as a result of Ireland's membership ofthe European Union. The tax paid on earnings is PAYE (pay as you earn). The majority of Dublin services terminate in Busáras (Central Bus Station) from where it isa short walk to O'Connell Street for connecting buses to UCD.Bus Éireann operates two free daily shuttle services from Belfield to Busáras. These services operatedaily to Busáras, departing Belfield at 16.15 and 16.30 (Mon-Fri) during term and are available for holdersof valid Bus Éireann tickets only. In addition to this, several services from the greater Dublin area actuallyserve Belfield direct. Bus Éireann adult / single tickets are on sale in all UCD Student Union shops. Aircoach (www.aircoach.ie) also operates routes toand from Belfast, Portlaoise and Cork.By trainTwo main railway stations; Connolly and Heuston serve Dublin. There are frequentconnecting buses to the city centre including a special shuttle service, which brings passengers directly toBusáras (Central Bus Station, Amiens St.).Aircoach operate a service to Leopardstown/ Sandyford/Stillorgan, which passes UCD to and from Dublin Airport. It ispossible to hail a taxi from the street, but convenient taxi ranks are located outside Wynn's Hotel, MiddleAbbey Street and opposite the Bank of Ireland, Dame Street. The fare to UCD is approximately 10/12,depending on traffic and the time of day.5Version 9

ON-CAMPUS SERVICESSection 2Accommodation10% of on-campus accommodation is reserved each year for postgraduate students at Proby House,Glenomena and Blackrock. Newspapers such as The Evening Herald and Irish Independent are goodsources of accommodation in Dublin. The websites www.daft.ie and www.myhome.ie are also useful. Acomputerised list of off-campus lodgings is available from the UCD Accommodation Office together withinformation on a limited number of flats, houses, bed-sitters and owner-occupier accommodation. The centre can help with the designand layout of print material, photography, video streaming and conferencing, web design as well as the hireof audio-visual equipment and general technical advice and assistance. Opening hours are from 10.00am to 4.00pm, Monday to Friday, including lunchtime and until5.00pm on Thursday (T: 269 4499 or internal extension 2876 / 2877). There is also a branch of AIB justoutside the Clonskeagh entrance. There is a branch of Bank of Ireland next to the Jurys Montrose Hotelon the Stillorgan Road. Opening hours are Monday, Tuesday and Friday 10.00am to 4.00pm,Wednesday 10.30am to 4.00pm and Thursday 10.00am to 5.00pm. Bank machines for withdrawal ofcash are located at various locations around the campus – at the Student Centre, outside the librarybuilding, outside the main restaurant and outside the AIB campus branch.CrècheA crêche on the campus provides nursery facilities (8.30am to 5.30pm) for the pre-school children of staffand students. There is a play school or montessori for older age groups. Places are limited so earlyapplication is advisable. Enquiries should be made to the supervisor before the commencement of thesession (T: 269 5143).Credit UnionCredit Unions offer low interest rates for loans. They are non-profit making financial co-operatives, ownedand controlled by their members. All permanent UCD staff members or those with a contract of one yearor more are eligible to join. Deductions are made through payroll. Membership forms, payroll deductionforms and full details are available from the Belfield Credit Union Ltd office in Woodview, located to therear of the Veterinary Hospital. Opening hours are: Monday (5.30pm - 6.30pm), Wednesday (1.30pm 2.30pm) and Friday (1.15pm - 2.00pm). Insomnia at UCD Conway Institute offers awide range of light meals and drinks; there is a second branch of Insomnia at UCD Quinn School ofBusiness. The Conway Institute building has kitchens on each floor, which may be used to maketea/coffee and prepare light snacks. Food is not permitted in the laboratories or meeting rooms. CaféBrava, offering burgers and light snacks, and The Grind, offering freshly made up sandwiches and wrapsare located in UCD Student Centre. O’Brien’s sandwich bar is located in the Health Sciences complex.Near the main library building is Nine One One and the Arts Café is on the ground floor of the JohnHenry Newman building (the Arts Block) near the lake. For more substantial meals, the main restaurantis on the right past UCD Michael Tierney (Administration) building. Opening hours are from 8am to 7pm.It is the policy of UCD Conway Institute that food and beverages are only permitted in the boardroom.Food is not permitted in other meeting rooms, lecture theatre and seminar rooms. Health and safetyregulations do not permit any food or drink in any of the Institute’s laboratories.6Version 9

There are bars in the Student Centre (The Forum), and the Student Union Bar. The Forum and StudentUnion Bar also serve a selection of hot & cold food.Health Services and PharmacyBelfield Pharmacy is located on the first floor of UCD Student Centre, beside The Grind sandwich bar.Opening Hours:In-term:9.00am – 5.00pm, Monday – FridayOut-of-term:9.00am – 1.00pm, Monday – FridayThe pharmacy offers a 10% reduction in prescription medicine charges for staff and students. To borrow from the library, you will need to have a studentor staff card containing your student or staff number. Fully registered students will have received a cardon registration. Staff who are permanent or on a contract greater than three months are entitled to a staffidentification card. A request form may be downloaded from UCD Personnel department’s personnelprocedures staff manual on sed/staffid.docLibrary catalogues and electronic journals can be accessed on line at http://www.ucd.ie/library/ andstatus of borrowings can also be checked. Joining the library at UCD entitles you to borrow from all UCDlibraries, located at the Main Library, Belfield (Humanities, Social Science, Commerce, Law, Pure andApplied Sciences) Blackrock (Business Studies), Earlsfort Terrace (Medicine, Civil Engineering,Agriculture and Food Engineering), Richview, Clonskeagh (Architecture and Planning), VeterinaryMedicine at Belfield and the Undergraduate Nursing Library at Belfield. These cards may be used in any of the photocopiers on campus byentering your assigned pin number into the machine. Cards can be topped up at Copi-Print centreslocated around the campus or at the main desk. For further information, contact Copi-Print (T: 716 8295).The main desk sells stationery and offers a binding service. In order to conserve space in the readingareas users are encouraged to print directly to the photocopiers located throughout the Institute. Pleasecontact Copi-Print for further details.Post OfficeThe post office is located on the ground floor of the main library building and a stamp vending machine issituated outside. Opening hours are 9.30am to 1.00pm and 2.15pm to 5.30pm Monday to Friday. Postboxes are located in the post office itself and outside the library building.ShopsStudent Union shops are located on the ground floor of the Student Centre, ground floor of the UCDScience building and the ground floor of the library building selling newspapers, sweets, drinks and cards.Bus tickets, UCD clothing and souvenirs, and stationery are available in the library building shop andtickets for concerts are available in the Student Centre shop. There is also a student shop at BelgroveResidences.Barber ShopThere is a barber shop in the UCD Sports Centre. Opening hours are Monday to Saturday 10.00am to5.30pm.7Version 9

Bicycle ShopThe Belfield bike shop, situated at UCD Belfield House (opposite the athletic track), sells new andsecond-hand bicycles, cycling accessories and offers a repair service. Bikes are also available for hire.(T: 716 1697).Book ShopThe book shop is located on the ground floor of the library building and stocks prescribed text books andreference books. Contact details are: T: 269 1384; E: campus.bookshop@ucd.ieGrocery ShopThere is a small Centra supermarket at Merville Residences and a Spar supermarket located at thecorner of Foster’s Avenue and Roebuck Road.Sports and SocialThe environment of UCD provides a vibrant social life to all members of the university. Further information on societiesis available by contacting Richard Butler, Societies Officer, UCD Student Centre, Belfield (T: 716 3100; E:richard.butler@ucd.ie.UCD Sports Centre, located near the Clonskeagh gate end of UCD, has a gym with reasonable joiningfees, two multi-purpose sports halls suitable for basketball, indoor soccer, volleyball, badminton, aerobics,martial arts etc., five squash courts, a handball/racquetball alley and a climbing wall open to staff andstudents. There is also a sports injuries clinic also located in this building as well as a bar, sports shopand a barber shop. Opening hours are 7.00am to 10.00pm Monday to Saturday and 9.55am to 5.30pmSaturday and Sunday. Contact reception for further details (T: 716 2185/2145).Outdoor facilities include a running track, twenty-two natural grass pitches, synthetic grass pitches, ahockey pitch and tennis courts. Further information can be obtained from the sports centre reception (T:716 2145/2185 or from www.ucd.ie/sport).Travel Pass SchemeThe UCD Travel Pass Scheme is open to all permanent members of staff; and employees on a contractwith an end date not less than 12 months from the start date of the scheme they wish to join. Easi TravelPlan is a facility whereby employees can purchase an annual bus/rail ticket through their employer andsave up to 48% of travel costs as a result of tax and PRSI benefits. The UCD Travel Pass Scheme offersststtwo opportunities to join each year – 1 April and 1 October. You can make an appointment on ext.8317 or 8204 or simply drop in. The office in UCD Science building is room 122, ext. 2100. The church islocated at the Clonskeagh end of the central walkway, almost opposite UCD Student Centre. Service timesare as follows:Catholic – Monday, Wednesday and Friday at 1.05pm, Tuesday and Thursday at 5.35pm, Saturday in St.Stephen’s Chaplaincy Centre at 6.00pm and Sunday at 11.35pm. Sacrament of reconciliation is on everyMonday in term time from 1.30pm onwards.Church of Ireland – Communion service every Thursday in term time at 1.05pmMethodist – Morning services at Dublin Central Mission, Lower Abbey Street, Dublin 1 at 11.00am andCentenary, Leeson Park, Dublin 6 at 11.15am.Muslim – There is a prayer room on the ground floor of UCD Science building. The nearest mosque islocated in The Islamic Cultural Centre, 19 Roebuck Road, Clonskeagh, Dublin 14, which is only a shortdistance from the Clonskeagh entrance to UCD. Access and EgressSection 3Access to UCD Conway Institute is by proximity card only. Cards are available to all authorised staff andpostgraduate students. Undergraduate and occasional students are required to pay a deposit. To obtain aproximity card, the appropriate form must to be filled in and signed. An example of this form and conditionsof use can be found in appendix I. Access will only be granted once this form has been fully completed.Access forms are also available from the receptionist who will also issue the access card once the form iscompleted and authorised. At the end of your contract period, your access card will be deleted from thesystem and you will not be able to gain access to the Institute. The access card should then be returned toreception.Access within the building is restricted at all times. This means that during normal opening hours you will notrequire a proximity card to gain access through the main entrance and into Insomnia café but you will need itstndto gain access to other restricted areas e.g. the 1 or 2 floors.Normal Hours of Operation8am to 7pm, Monday to Friday (excl. Public and Bank Holidays)During this time, access to UCD Conway Institute is through the main entrance into the reception area anduse of the proximity card is not required for access. Access may also be gained via the undergraduate area(revolving doors) at the back right of the building during normal working hours. Access at all other times willthrequire a proximity card. Access for 4 year students is from 8am to 6pm, Monday to Friday.Out-of-Hours Access24-hour access, Monday - SundayArrangements are in place to facilitate out of hours access for research activity in UCD Conway Institute.There is an access control system in place for out-of-hours access. The purpose of this is to ensure thesafety and security of individuals working in the building outside normal working hours.Outside normal hours, authorised staff may enter the building using a proximity access card at the mainentrance. Proximity readers, located at stairs and lifts, will restrict access beyond the reception area. UCDConway Institute will programme proximity cards with the appropriate access rights.Researchers requiring 24hr access have a particular responsibility to ensure their own safety and that ofothers. In particular the following restrictions apply:oUnsupervised out-of –hours work by undergraduate students is strictly forbiddenoA risk assessment is required for all out-of-hours activitiesoWhere appropriate, and particularly when access to the research laboratories is requiredafter 10pm at night, the relevant wing manager must be informed on all occasions.oThe researcher must not suffer from any medical condition that would make him/herunsuitable for lone working. If in doubt, contact the safety office or your wing manageroAvoid high-risk activities and be aware of all security and safety arrangementsoThe out-of-hours register must be signed for those working in the Institute after 10pm eachnight as well as those working weekends and bank holidays9Version 9

Conway SafetySection 4Visitor PolicyUCD Conway Institute is the working environment for some 350 people, the majority involved in activeresearch projects. The Institute is also home to a range of administrative, technical and support staff.Contracting, catering and cleaning staff also have access to the building. The Institute’s normal working dayis 7.00am to 10.00pm, Monday to Sunday. However, the nature of research projects is such that people maybe present in the building at any time of the day or night.This complex work environment places particular duties and responsibilities on occupiers who will havepeople visiting them from time to time as part of their professional activity.It is your responsibility to bring the following guidelines to the attention of anyone visiting you at the Institute. The reception desk is open from 9.00am to 5.00 pm, Monday to Friday. All visitors must report to thereceptionist who will in turn notify you by phone of the arrival of your visitor. UCD Conway Institutepersonnel should then meet any visitor at reception and accompany them for the duration of the visit. Access cards will not normally be issued to visitors. However, if in the case of someone needing accessfor more than a few days, a temporary access card may be issued. Children, and especially infants, are not allowed in the working environment of the Institute. Conwaypersonnel are very welcome to meet visitors with children in reception or Insomnia cafe. In general, unless visitors have specific reason to be in the research laboratories, their visit to theInstitute should be restricted to office or open plan reading areas. Company representatives should have specific appointments with Institute personnel and again shouldnot have access to the any of the laboratories. Undergraduate students meeting academic or other staff should use the Undergraduate Student Officeas their contact point. Visitors should be made aware by the people they are visiting of any risks or hazards they may beexposed to while visiting the Institute. Visitors should not be present in the Institute outside of normal business hours.10Version 9

Safety RegulationsEveryone should observe safety precautions and rules. The prevention of accidents in offices, libraries,laboratories, stores, workshops, kitchens and other places of work is the duty of every individual using orentering them. Ensuring the safety of others at work is just as important as the avoidance of personalinjury.
