There will be an opportunity for two, one-year extensions to the three-year contract atthe sole discretion of Holyoke Community Charter School. Our school is approximately 98,000sq.ft. made up of classrooms, offices, bathrooms, etc.Awarding of Contract:The Bid Specification will be available for distribution on May 16, 2022, at Holyoke CommunityCharter School in the front office between the hours of 9:00am to 3:00pm located at 2200Northampton Street, Holyoke, MA 01040, or requested by email to info@hccs-sabis.net.There will be a walkthrough of the facility on Tuesday May 31, 2022, at 10:00am. This is not amandatory activity and attendance will not affect the awarding of the contract. Sealed proposalsare due on Monday June 10, 2022, at Holyoke Community Charter School by 11:00am. Thecontract will begin on July 1, 2022.Our students are impacted by the physical environment where they perform their educationalactivities and therefore, your cleaning services are important to the overall well-being of ourstudent’s education.Holyoke Community Charter School reserves the right to reject any and all proposals.Cleaning Program Time SectionsThere are three parts to the cleaning program consisting of the daily school cleaning of 180 days.This time period is identified in the specifications as “Part One”. This is the period when ourstudents are attending the regular school year.The second part of the cleaning program consists of the two vacations occurring during theregular school year. Typically, these weeks occur in December and April. This time period isidentified as “Part Two”.The third part of the cleaning program consists of preparing the school for our new school yearwhich typically begins late June and ends in late August. All the assigned tasks for this must becompleted prior to the opening of the new school year.

Wet mop floors using a disinfectant cleaner and deodorizer7. Inspect vents for cleanliness and clean when neededRestrooms (Daily)1. Empty all trash receptacles2. Clean and sanitize all sinks, urinals, toilet bowls and dispensers3. Wash mirrors4. Spot clean walls as necessary5. Remove graffiti from all surfaces6. Inspect vents for cleanliness and clean when needed7. Urinals and toilets are to be cleaned daily to prevent staining of bowls8. Refill dispensers for soap, paper towels, toilet paper and waste basket liners9. Disinfectant and deodorize all surfaces10. Wet mop floorsAdditional Cleaning Activities1. Dust all horizontal surfaces in offices and classrooms once a week2. Locker tops to be washed once a week3. Clean all glass in school entrance and reception area daily4. Clean entry mats and carpet in school entrance daily5. Clean all windows inside and out once a month (with the exception of #3above)PART ONE: ConsiderationsOccasionally, during the school year you will be asked to perform other tasks as needed by theschool by either the School Director or the Director of Facilities. Your staff will be expected toperform these tasks and if additional compensation is needed and warranted, the amount for therequested tasks will be agreed upon prior to the performance of such tasks. In general, these tasksare a result of an emergency where unanticipated issues present themselves and must beimmediately addressed.*PLEASE PROVIDE AN INSPECTION CHECKLIST TO BE FILLED OUT BY THE CLEANING CREWSUPERVISOR CERTIFYING THAT THE WORK WAS PERFORMED AND THAT SUCH WORKMEETS THE STANDARDS OF EXCELLENCE.

Carpets – Rotary scrub and pre-treat stains, then high pressure extract, clean allcarpets using a cleaner and deodorizer.3. Reception area chairs are to be cleaned as neededNurses Office & Restrooms (Three times annually during school year)1. Foam-clean all areas using a disinfectant cleaner and deodorizer, including thewalls and fixtures.2. Machine scrub floors with disinfectant cleaner and deodorizer.Pricing Cost: Please list the price for the above activities. .PART III: Scope of Services cont’dSummer Break Clean Up (This work is to be performed during the summer vacationmonths but must be completed prior to the fall school start up.)1. Wash down all desks, tables, chairs, and remove any stickers, gum, or graffiti6. Foam-clean all restrooms and seal floors7. Machine scrub and extract all carpets8. Machine strip and refinish all floors with 8 coats of a high-quality, high gloss finish.9. Clean and remove all graffiti from student lockers

Cleaning of the facilitycannot take place until all students have left the building. The selected vendor will be responsiblefor securing the building and setting the alarm upon completion of their evening duties. You willalso be required to sign a confidentiality agreement regarding the information pertaining to ouralarm system.The vendor will be expected to supply all the cleaning chemicals, equipment, and floor finishequipment. All supervision is the responsibility of the vendor over the duties and responsibilitiesassigned to the supervision and management of their staff. The vendor will accept all liabilityassociated with the performance of their employees. The vendor will be required to carry insuranceand bonding. Items such as paper towels, toilet paper, sanitary napkins, trash liners, and hand soapwill be provided by Holyoke Community Charter School.If school is cancelled due to weather or any emergency, a notification of such will be available onChannel 22 or Channel 40. If there are any questions regarding the above, the Director of Facilitieswill make his phone number available to answer any questions that may arise.Measures should also be taken when stripping the VCT flooring to help prevent the harsh fumesfrom effecting the employees of HCCS. If this should occur, directions to abate such will be givenby the HCCS Director of Facilities.All bidders will supply the Holyoke Community Charter School with proof of insurance.Reference the following: Workers Compensation Insurance which will be in compliance with the MassachusettsGeneral Laws governing such.Liability Insurance in the amount of One Million Dollars per occurrenceUmbrella Insurance in the amount of One Million DollarsCompany must be bonded along with its employees with a minimum of 2,500.00.Property Damage Liability limits 500,000.00 / 1,000,000.00.
