Introduction:Welcome to Southern Cross Workforce! This is your personal copy of the Policy’s, Procedures and Safetyguidelines for all Southern Cross Workforce (SCW) employees. At (SCW), we pride ourselves on selecting theright person for the right job. If you are going to be late or cannotmake it to the assignment for any reason, call your SCW consultant immediately.Remember our consultants are available 24 hours a day, 7 days a week.If you cannot get through to your consultant, please leave a message and they will get back to you as soonas possible. It is SCW’s responsibility to notify the client on your behalf and replace you for the day ifnecessary to protect yours or someone else’s job.When clients contact us with placement requirements, it is our policy to provide the client with theopportunity to have personnel who have already worked for them to return to that assignment. Yourassignment will only be offered to other personnel where you are unable to accept the assignment for anyreason.Please Note: The contract we have with our client does not allow you to work directly for them. If apermanent position is offered to you, you MUST tell us immediately.Passing your business card and or contact details to the client is a breach of your contract and may result intermination of employment. Any problems with assignments MUST be disclosed to us immediately. Please advise your consultant or ouroffice and we will discuss any issues with the client on your behalf.SCW promote a harassment free work environment. If you are experiencing any form of harassment whilston assignment, please contact us immediately. We recognize that good management of safety, health andthe environment is good for you and our business. Our work is never so urgent or important that we cannottake the time to do it safely and protect the environment.As part of your application and as a candidate with SCW, we ask that you take note of the Occupational,Health, Safety and Welfare policies and procedures (OHS&W) in this manual and safety presentation you willbe shown.During the induction process you will be asked questions relating to your safety awareness and fitnessapplicable to certain tasks whilst at work.We take safety very seriously conduct a safety audit of each workplace before personnel start work with anynew client. Before starting you will need to participate in a general safety induction specific to the client’ssite.You will be advised of any Personal Protective Equipment (PPE) you may be required to take prior tocommencing the assignment. If you do not have all the correct clothing and equipment, we may be able toassist you.Please read this guide carefully and keep it with you. Refer to it whenever you have a question. If yourquestion can’t be answered in the guide, or if you require any further information, please ask for assistance.OHS&W and WorkforceThis explains SCW current procedures, safety policies, general safety rules and regulations and your rightsto worker’s compensation insurance benefits if you are injured at work. You have the following rights underour program: To be advised of occupational health and safety hazards and receive training in conjunction with safetywork practices, work conditions and personal protective equipment.We will give you an OHS&W induction and on placement your Job Site safety induction and training willbe provided by the host employer.To provide information to us about safety hazards, request information or make safety suggestionswithout fear of reprisal.To be involved in a rehabilitation program in the event you experience an injury at work. You have a duty tocomply with the following requirements to make the work place safe for yourself and your fellowemployees.You must: Know the safe practices for the general work area for your job. Comply with safe work practices and personal protective equipment for your job. Report all unsafe work conditions to your onsite supervisor and SCW OHS&W Manager immediatelyusing the required reporting format. Notify you’re on site supervisor and SCW OHS&W Manager of any changes in your job duties that differfrom the duties you were assigned to perform at the host employment site. Report any injury/incident or near miss on the accident/incident near miss report form (at your hostemployer’s site) It is our sincere hope that you will never become involved in a work place injury. SCW has a vestedinterest in its employees and takes all reasonable steps in respect to OHS&W to ensure this does notoccur. However, if you are injured we want you to receive the best medical care without delay. Report the accident/near-miss even if medical attention is not necessary. This may help to prevent anaccident or injury in the future to you or a fellow work colleague!Safety Policy StatementSCW are committed to the health and safety of all personnel and employees and strive to be anacknowledged leader of the industry. Our goal is to have an injury free workplace. SCW will work toeliminate hazards, practices and behaviour that could cause accidents, injuries or illness to employees,contractors and visitors.Primary GoalThe primary goal of the policy and associated procedures is to assist in providing a safe and healthy workenvironment for SCW employees, contractors and visitors.Safety Policy Objectives The objectives of this policy are to: Comply with all relevant statutory obligations Provide adequate recourses to establish and maintain a safe system of work Maintain health and safety competencies Integrate health and safety requirements in all aspects of our business Continuously improving performance through innovative technology, education and good managementpractices Provide health and safety training for employees Employ only those contractors who aspire to the same health and safety standards as SCW Promote a positive health and safety culture which is based on the principal that all accidents can beprevented Provide an emergency response program for unforeseen events to minimize hazards to people, assetsand the environment.All managers, supervisors, consultants, employees and contractors are accountable for health and safetyperformance in their areas. All employees and contractors are required to follow rules of health and safetyoperations, report hazards to their supervisors and wear, where required, Personal Protective Equipment.Our commitment to health and safety is as important as our commitment to all other business objectives.Safety ProceduresThe Safety Policy and associated procedures will be reviewed and considered with the appropriate parties onan annual basis for relevance and effectiveness. It is SCW’s policy that accident prevention will be consideredas primary importance in all phases of our operation and administration.It is the intention of SCW management to provide safe and healthy working conditions and to establish andinsist upon safe practices at all times by all host employers.Federal and State Occupational Health Safety and Welfare Acts together with good safe work practices requirethat all employers provide safe and healthy working conditions for all their employees. This requirement isespecially difficult for a recruitment company because we have minimal direct control over workingconditions/hazards in the facilities the majority of our employees are assigned to work. Therefore, in order tomeet these obligations, SCW management, in consultation with host employers, will together endeavour toprovide a safe working environment for all employees. Our ultimate goal is to have all our employees remainfree from work related injuries and to ensure that every employee is provided with a safe & healthy workingenvironment.OHS&W and Job AssignmentsWhen you are assigned to a specific host employer you will be given a job description and a site induction bythe host employer. Every employee needs to know and understand the following:No employee is expected to undertake a job until he/she has received instructions on how to do it properly,safely and has been authorized to perform that job. No employee should undertake a job that appears to beunsafe or use chemicals without understanding their hazardous properties, if any. Mechanical safeguards mustbe in place at all times.We expect you to report to us any and all unsafe conditions you encounter during your work to yourimmediate supervisor and SCW consultant.Any work-related injury or illness suffered by you, must be reported immediately (no later than 24hrs fromtime of occurrence) to the SCW office from which you received your assignment.Machinery that is shut down for repair or maintenance must be locked out or tagged out in accordance withOHS&W requirements. Check with your job site supervisor for instructions.Employee Participation and ResponsibilityIt is your duty to follow all safety rules and procedures of both agency and host employers.These include: Knowing your job and always following safe work practices.Recognizing the hazards of the job and taking precautions to ensure the safety of yourself and others.Informing your supervisor and SCW consultant of hazards and making recommendations to improve safety.Actively participating and co-operating in the overall safety program of SCW.Using all personal protective equipment provided.Attend any training you are requested of by the client in regard to safety issues.Horseplay, scuffing and other acts which tend to endanger the safety or wellbeing of co-employees isprohibited.Work will be supervised to prevent injuries when working with equipment and when handling heavymaterials and/or machinery.When lifting heavy objects, employees should use proper lifting techniques.General Safety RulesTo guard against incidents in the workplace the following general safety rules and procedures are preventivemeasures to be observed by all personnel. The observance of these safety rules and procedures will help youperform your job safely and help you maintain safe working conditions. All employees should familiarizethemselves with these safety rules, which are company policy. SCW are careful to ensure all operations areconducted safely. Your compliance with the General Safety Rules listed below will assist us in achieving thisobjective. These rules represent the minimum guidelines for working safely. Your continued awareness andcooperation is a vital part of your job. It is your duty to apply these safety standards accordingly. Beforestarting any job assignment, get a copy of the duties you are to perform from your SCW consultant. Do notperform any work you consider potentially dangerous to your safety or health, or that of others, without firstdiscussing it with your supervisor and SCW OHS&W Manager. If you are asked to change duties after youarrive at the job, call your SCW consultant immediately. Do not change duties without our knowledge orapproval.General Safety Rules Always wear hard hat in designated “Hard HAT” areas, wear safety glasses or goggles, safety gloves,safety belts, etc where advised or mandatory. You must have all PPE before commencing any work onsite. If you don’t, contact your SCW consultant for instructions. Wear safe work attire. Wear appropriate hard sole shoes and/or safety shoes. Do not wear ill-fitting or baggy clothes or dangling jewelry around moving machinery. These items are asafety hazard and must not be worn while working.Long hair must be kept behind the neck and shoulders to prevent entanglement with machinery.Remove jewelry before working around moving machinery or electrical equipment and while handlingheavy objects.If you are involved in any accident that results in personal injury, get first aid attention promptly, informyour onsite supervisor and advise SCW immediately (no later than 24hrs from occurrence)Do not operate any equipment which, in your opinion is not in a safe condition. Instead, speak to youronsite Supervisor and if necessary, call your SCW consultant.Always ask your onsite OHS&W Manager for instructions. If they can’t provide them, speak with yourSCW OHS&W Manager.Obey all work site rules, government regulations, signs, markings and instructions.Be particularly familiar with those that apply directly to you. If you don’t know or are unsure then ASK.Office Safety Rules Know your job and follow instructions. If you do not know the safe way to do the job, ask your onsitesupervisor. If the office equipment is not working properly report the malfunction to your onsite supervisorimmediately. Worn out electrical wiring, overloaded outlets, or defective equipment should not be used. Do not stand on any chairs, tables or desks to obtain any articles that may be out of reach. Instead, askfor assistance. Do not attempt to move office equipment. Ask your supervisor to arrange for any moving that isrequired. Keep desk and file cabinet drawers closed when not in use to avoid tripping or striking. Be careful to avoid injuring hands when using copy machines, addressing machines or paper cutters. If you are required to carry heavy amounts of printed materials or similar, refer to the manual handlingsection of this guide.Manual Handling When lifting, use the approved lifting technique - Bend your knees keeping your back straight, secure afirm grip on the load in both hands and slide it close to your body. Then raise it keeping your backstraight and the package as close to your body as possible, continue lifting while straightening your legs. Never lift while your body is twisted. This puts the entire weight of the load on the muscles of one side ofyour body. Ask for help, when necessary, to lift or move any objects which, because of its weight orshape, is difficult for one person to handle safely. Weight is not used to prescribe absolute limits, but is one of the important factors to be considered whenassessing and controlling risk. Horseplay and practical jokes frequently cause serious injury and they are not permitted on the job. Do not distract or startle fellow workers while they are working or using tools or equipment. Avoid unnecessary talking, shouting or other laud noises that may take the attention of employees awayfrom their work and create a safety hazard to you and to others. Always use the right tools and equipment for the job. Use them safely and only when authorized. Be constantly alert when moving equipment and loads. Always stand clear of operating machinery and equipment. Do not run inside or outside of the building. Pick up objects from the floor that may be safety hazards. Report any spilt liquids and inform your onsite supervisor immediately. Carry large items in a manner that provides you with a clear visual path in the direction you are walking. Use the hand rail to give support and balance when ascending or descending steps or stairs. particularly careful when wearing high heels.Always keep to the left and approach corridor intersections carefully.Open doors slowly using the handle or push plate.Do not go into rooms or stairways that are not properly lit.Do not obstruct doorways or pathways to work areas with materials or objects. Look out for conditionsand situations such as objects on floors or stairways, which are likely to cause falls.Report all unsafe conditions to your onsite supervisor immediately. This includes broken furniture, brokenglass and defective office equipment.If you are required to enter a production area, be constantly alert of moving machinery and equipment.Always stand clear of operating equipment of any kind. In designated areas, wear required personalsafety equipment, e.g. safety glasses, safety boots, hard hats, etc.Plan You should know your own strength and therefore can work out whether a load can be moved by you orrequires a team of people or special machinery. If you can lift it, use the approved lifting technique as mentioned above. Alternate heavy and light loads. This will allow the muscles to recover.Team Lifting Lifting partners should be of similar height and build, and trained in team lifting. A lift should be plannedand have a team leader. Ask yourself: Is the weight of the object; 1. more than 4.5kg and can be handled from a seated positionor 2. more than 16kg and needs to be handled using the approved lifting technique?If You Have Any Questions About OHS&WAsk your SCW Consultant to help you with any matters that pertain to your claim. If you feel your questionshave not been answered, you have the right to call Work Cover or you can contact your OHS&WManager, Jan Simmons on 08 8357 1882.Workers Compensation InsuranceSCW employees are entitled to Worker’s compensation benefits as defined by the various Workers’Compensation Laws.Worker’s Compensation Laws generally provide medical treatment and payments while you are disabledfrom a work-related injury. Additional benefits may be available if the work-related injury results inpermanent disability or death. All benefits are established by the various State Legislatures, under whichemployees are covered.What to Do When You Have Been Injured on The JobSCW require you to report every injury or near miss immediately. This is to ensure that you do not incurfurther harm. For example, a minor cut that may later become infected. Reporting your injury also helpsensure that any unsafe condition that could cause serious injury to the next person who performs that taskis eliminated. You must follow the steps outlined below in order to have your worker’s compensation claimprocessed promptly.1.2.3.4.Report the injury immediately to your onsite supervisor.Call your SCW Consultant without delay. She/he will get the necessary incident information from you.Seek the medical treatment you need.Dependent upon the type and nature of the injury you sustain, your onsite supervisor or SCWrepresentative will either; suggest first aid treatment at the job site, or refer/suggest a medical facility fortreatment.5. Above all, do not treat yourself! Prompt care is the best investment for your recovery. “Prescribed Worker’s Compensation” certificate from your doctor.6. All forms, certificates and medical bills must be sent to your SCW Consultant as soon as possible. Failureto meet this requirement may result in your claim being negated.7. It takes approximately three weeks to receive notification on whether the claim is accepted. Payments canbe made when liability is accepted by the relevant state authority or insurance company.SCW Injury Report FormYour cooperation is very important is gathering this vital information. In some states you may be asked forinformation about your injury by the physician or medical facility and in others, the information may beobtained from you at the job site or having filled out the SCW Injury Report Form. SCW will coordinate theremaining claims procedure with our insurance carrier or claims administrator.You may call your SCW OHS&W Manager with any questions you have about payments or returning to work.Hazard, Incident or Injury ActionHazard (Anything that has the potential to harm).Complete the onsite hazard report form and report to your SCW Consultant.Incident (or near miss)Complete onsite incident report form and report to your SCW Consultant.InjuryReport immediately to your onsite supervisor, seek medical attention if required and obtain a Work CoverCertificate. Then complete a Work Cover form and report to your SCW Consultant.RehabilitationInjured workers are entitled to assistance with return to work programs and other rehabilitation services, toensure their quick and safe return to work. Entitlements differ from state to state, however SCW are committedto working with injured workers to ensure rehabilitation needs are met and an early return to work is gained.If you are injured, an early assessment will be made by rehabilitation consultants to establish the most suitablereturn to work program for you. You will be expected to fully participate in any rehabilitation program which isdeveloped.Employee Citations and Written WarningsWe want to remind you that the SCW substance abuse policies prohibit the sale or purchase or attempted saleor purchase of narcotics, drugs and/or any illegal or controlled substances and their possession and/or use inthe workplace.You may be checked for drugs and/or alcohol when you are injured on the job and go to a medical facility fortreatment. If you have any questions about these policies, ask your SCW consultant.Failure to follow safety guidelines while working for SCW or failure to heed any safety rules, even if notspecified herein, may result in documented notice of unacceptable behaviour and may be grounds forimmediate dismissal.Such notice of unacceptable behaviour will be placed on your permanent personal file. Two such notices in yourpersonal file within a six-month period will result in termination of your employment with SCW.The purpose of our company’s disciplinary action policy is to help promote and ensure safety on the job. Ourpolicy is not intended to punish employees; its purpose is to help maintain a safe work place for you and yourfellow workers.The safety policies and this document is for your benefit. It is provided to help you work safely during yourassignment for SCW. The following statement explains how we manage the collection of personal information whenyou are registering for employment.Personal information: Is any information or an opinion (whether true or not) about you.May range from the very sensitive (e.g. Medical history or condition) to the everyday (e.g. address orphone number).Can include the opinions of others about your work performance (whether true or not), your workexperience and qualifications, aptitude test results, and other information obtained by us in connectionwith your possible work placements.Timesheet InformationYour timesheets are a receipt for your hours and authority for us to invoice our client.Please ensure your timesheets are complete and signed by yourself and your supervisor to ensure no delays inprocessing your wages.For your pay to be paid to you on the following Thursday, you must ensure that your time sheet is provided tous by 10.00am on the Monday for the previous week.
