POLICIES & GUIDELINESEXCLUSIVITYLevy Restaurants is proud to be the exclusiveprovider of all food and beverage services atthe Spokane Convention Center, and ofSpokane Public Facility’s District. As “a familyof passionate restaurateurs,” we seek toexceed your guests’ expectations bydelighting them with delicious food, creativelypresented by friendly, helpful staff in afun-filled atmosphere. We also strive toexceed your expectations by making the eventplanning process simple, easy, and worry freefor you. Because we live the restaurantbusiness every day, we are able to advise youon the most popular menu items and the mosteffective methods to ensure your guests fondlyremember your event long after they havedeparted. To follow are some generalguidelines to get you started on your eventplanning process.PRICING & GUARANTEESPrices quoted in the menu do not include the21.5% administrative fee or 8.9% sales tax,unless otherwise noted. Prices are subject tochange without notice. Guaranteed prices willbe confirmed (60) days prior to the event. Aguaranteed number of guests/quantities offood is required (7) business days prior to theevent date. (A business day is defined asMonday through Friday. Holidays andWeekends are excluded from receivingguarantees.) This guarantee must besubmitted by noon. If the guarantee is notreceived, Levy Restaurants reserves the rightto charge for the number of guests/quantitiesspecified on the contracted event order.Guarantees increased less than (7) fullbusiness days prior to an event will be subjectto a minimum 10% surcharge on the price foreach additional guest or increase. Any on-siteincreases will be subject to a 25% surcharge.Cancellations and reductions of guarantee aresubject to full charges. Attendance higher thanthe guarantee will be charged the actual eventattendance. Should attendance exceed thenumber specified in the final guarantee, LevyRestaurants will neither be responsible norliable for serving these additional numbers, butwill do so on a first come, first served basis asable. Client agrees that there will be noreduction in the Event Price if fewer than theguaranteed guests attend the event.MENUCANCELLATIONSBEVERAGE SERVICESMenu selections and other details pertinent toyour function must be submitted to theCatering and Sales Department at least (30)days prior to the event date. Your CateringSales Manager will assist you in selecting theexciting menu items and making arrangementsto ensure your most successful event ever.Events over 1,000 guests may requirespecialized menus and our culinary staff ishappy to customize the perfect menu for yourevent.Any event cancelled within (30) days prior tothe event will incur 100% of the estimatedcharges. Please note, for specialty menus oritems, a longer window of cancellation maybe necessary.We offer a complete selection of beveragesto compliment your event. Please note thatalcoholic beverage services are regulated bythe Washington State Liquor and CannabisBoard (WSLCB). Levy Restaurants, as licensee,is responsible for the administration of theseregulations: NO ALCOHOLIC BEVERAGESMAY BE BROUGHT ONTO THE PREMISESFROM OUTSIDE SOURCES; WE RESERVETHE RIGHT TO REFUSE ALCOHOL SERVICE TO INTOXICATED OR UNDERAGEPERSONS. No alcoholic beverage can beremoved from the premises. Levy Restaurantsmust supply all beer, wine and liquor andmust be served by a Levy employed WLSCBCertified Bartender.SERVICE STAFFGuest - server ratio is 1 server per 30 guestsfor plated-meal functions, and 1 server per 100guests at buffet functions. This is for serviceat rounds of ten or twelve guests. Rounds ofless than ten guests or a request for additionalstaffing is subject to labor fees. Eachadditional staff is charged at a four-hourminimum of 225.00 per four-hour shift witheach additional hour of 30 per hour.Levy Restaurants will provide a maximumoverset of 30 guests. There will be anadditional 75 charge for each over-set of 10guests or each additional round of 10. Thisoverset does not include food preparation butsimply the additional staff to set and serviceadditional place settings.EVENT TIMELINEPrices are based on a two-hour meal period forbreakfast, lunch, and dinner service. Additionalservice time may be subject to additional fees.Event start or end times that deviate more thanthirty minutes from contracted times may becharged additional fees. In order to providethe freshest food, we must limit buffet serviceto two hours.CATERING CONTRACTSA signed copy of the contract outlining allcatering services must be returned to yourCatering Sales Manager prior to the eventbefore services will be confirmed orperformed. The signed contract, terms,addendums and specified function sheets,constitute the entire agreement betweenClient and Levy Restaurants. Your CateringSales Manager will outline the payment andcontract process.PAYMENTWe will not commence service withoutreceipt of a NON-REFUNDABLE DEPOSITin the amount of 75% of the estimated eventprice at least sixty (60) full calendar days priorto the event, and the remaining 25% of theestimated event price at least (7) full calendardays prior to the event (collectively, the“Deposit”). Outstanding event pricebalances shall be paid within (30) full calendardays of the event, provided billingprivileges have been previously approved inwriting through the General Manager’s office.Client understands that we will suffersubstantial harm if Client cancels the event.Accordingly, the deposit will be in all casesNON-REFUNDABLE and deemed to beliquidated damages to compensate us for theloss due to Client’s cancellation. No interestwill be payable to client on the deposit.Payment can be made in certified check, wiretransfers or by an authorized credit card. Amajor credit card is required to be on-file forall events. Card will be used to guaranteepayment of any replenishment or new ordersrequested during an event. These charges willbe billed to the credit card unless payment isreceived at the end of the event. We believethat every occasion should be extraordinary. It’sall about the food, and the thousands ofdetails that surround it.
