Introduction“Make it Safe. Make it Happen”e-PTW software proves to be a very useful and convenient tool to establish Control, Coordination and Communication following correct work sequences among the participatingagencies through computer system, facilitating:Full view of the entire work scenario to enable the in charge to take correct and fastdecisionRight, definite and quick communicationSmooth flow of work, saving time, avoiding lengthy paper workEasy & quickly retrieval data bankASK-EHS has successfully designed custom-made module and implemented the aboverequired system in India & abroad which are excellent by working the entire satisfaction ofthe clients.e-PTWpermit to work complete solutionsWhy e-PTW?When the control centers are located at far distances and in tough geographicalterrain, exercising physical control becomes extremely tedious and time consumingIf any reference is needed with previous jobs undertaken earlier, one has to search thesame physically from maintained library of documentsThe authority in command is faced with large number of PTW applications for thevarious location of the complex and he has to scrutinize among them taking intoconsideration the entire work processIntroductionFor lengthy, intricate, and voluminous jobs engaging largenumber of agencies and work-force and tackling variety ofhazardous work situation with application of lockout-tagoutisolation systems, it becomes a gigantic work to run about, contactpeople personally, take their clearances, making entries on the forms withsignature etc.01

Permit Control“Everybody understands simplicity”Management of permit to work documents and certificates. System supports the full cycleof Permits and Certificates and comes with a customized workflow to validate steps topromote safe working practices.PERMIT FLOWe-PTW controls the sequence ofstatus changes a permit is movedthrough during its life cycle with itsflow engine. Isolation & Control“Making plant SAFE to work on”e-PTW contains feature to manage the entire isolation process withcontrols and checks to support logical process flow, ensuring thesynchronization of plant isolation with permits. The software guides users through the process by selecting theisolations required while checking if they are already being shared byother work. The isolation & de-isolation process can be managed with Lock or Tagcontrol. It gives engineer the ability to print out Isolations list & Tagsthat can be taken to the worksite and used to carry out the requiredisolations which are then recoded in the software.2. Mobiledevices can be used to upload specifiedisolation points in order to provide plantengineers the ability to locate and confirm theisolation points as specified.Appropriate isolation sequences and individualpoints are provided to the user to perform andconfirm the work using RFID plant identificationand matching tag label barcodes. Oncompletion, the information can be uploadedto affirm specified isolation points have beenapplied. The system facilities de-isolationprocedure in a similar manner.Isolation & Control1. Job Safety Analysis“PDraft JSAs can be printed and used to visit the worksite to evaluate the hazard present, followed with the JSA update, refinement and addition of hazards and controls.Supplementary assessments such as materials, hazards, lifting plans or crafts can also besupported with the document attachment facilities of the system.JSA STEPS1Work Request, Define andCategorize Work2Raise JSA and define theEquipment and Work Scope3Form a JSA Team (if required)4Define Work Steps5Conduct Work Site Assessment6Conduct Risk Assessment6.1 Identify all the Hazards anddetermine risk ratings6.2 Assign controls to risks thatare not acceptable6.3 Determine risk ratings aftercontrols are applied6.4 Re-assign controls until allrisks are acceptable6.5 Finalize documents7Submit for approval8Approve or Re-AssessCLEAR WORKING PARTY COMMUNICATIONJob safety analysis provides the work team with identified hazards, controls, barriers andsafety documents that require communicating prior to work commencement. The JSA canact as or support a Toolbox Talk where the individual input, agreement, roles andresponsibilities can be agreed with the working party prior to starting work.Job Safety AnalysisA client-specific Hazard library is provided to stimulate thought and to assist in defining thehazards and controls of each work step.TOESCTI S”CA TIEPR VIK TIR CO AW RKTO WOED GLI INPP URAD SDOH NTET EM CIDED CR FATU OC KU SR RIST EA THG EIN GD AVI NO MARFollowing task definition the job can be broken down into a series of work steps, each beingrecorded on the JSA. Each work step is then analyzed separately to determine the potentialhazards related to it.04

FeaturesKnowledge sharingPermit MonitoringKnowledge-based processing of safety information, such as JSA, Isolations, alliedwith the capture of lesson learnt following work tasks and experiences gathered atwork sites during execution of actual job, provide safety engineers and otherassociated agencies with powerful tool to process permits and certificates in aninformed and highly integrated manner.Facilitates to maintain log of ongoing permits with wireless hand held devicesIsolation managementApplication maintains record of each equipment, their isolation points and isolationprocedure with relevant aids like actual photographs, drawings and diagrams. Our Approach & Implementation234RequirementsThe initial stage will confirm the objectives and scope of the project, identify tasksto be carried out and determine software configuration.Software ConfigurationThis stage involves making the baseline software work the way a customer wants.A core element to this process is to build a set of WYSIWYG. These are data inputscreens that closely resembles the resulting hard copy printouts and rule logic.TestingTesting is normally split into two phases, Factory Acceptance Testing (FAT) andUser Acceptance Testing (UAT)TrainingWhile administrator and customer project manager will have undergonesufficient training to enable them to participate in tasks such as process mapping,FAT and UAT, additional staff training is still required.Formal, role-specific training and assessment materials have to be prepared, ITstaff needs formal training on system administration and we normally organizeroll-out training sessions led by the administrator to provide confidence.5Go-LiveWith preparation, configuration, testing and training completed we reach themoment everyone has been working for – go-live. Staff should be aware of theimpending switch from an existing system to an electronic system from acombination of a co-ordinate awareness campaign and roll-out training.Final data is set up, software is installed and tested on user workstations and keyusers are selected to begin the process of using the system to process the livedata.ASK-EHS provides on-site support to staff during this early confidence buildingstage and finally the project is signed off and formally handed over to the ASK-EHSsupport department who provide ongoing support as and when required. Our Approach & Implementation107

System Configuration“Your system, your rules”A core design goal of e-PTW system is to provide you with a systemthat adapts to your process and required permit forms andchecklists, rather than forcing procedural change to match thesoftware. The architecture allows the system to be configured preciserequirements using instruction sets that are utilized by you. Some of thecommon configuration features are;Permits and Certificates – ability to operate client specific forms for alldocument types in the form of software screens that closely represent thepaper JSA, Permits and Certificates. The system supports any number oftypes, which has its own layout, logic and data to provide users withimmediate familiarity and rule based.Hard copy Certificates and Permits – The format of printed Permits anddocuments is also client specific. ASK-EHS has implemented different sizes, color, styles, watermarks, single/double side and continuation sheethandling on many printer types.Hazard & Control library – Risk assessment is supported by Hazard library. This can be changed by client to contain their own applicable hazards andpotential controls. The library can be added to and developed by the clientto evolve as new hazard and controls are recognized through work tasks.Use
